Sending the wrong email happens to everyone—wrong recipient, wrong attachment, wrong tone. Outlook for Mac includes a message recall feature, but it’s far more limited than most people expect.
This guide shows the exact clicks to recall an email in Outlook for Mac, what conditions must be true for it to work, and what to do when the recall option is missing or returns an error.

What Email Recall Can (and Can’t) Do in Outlook for Mac
Outlook’s “recall” feature attempts to remove the message from the recipient’s mailbox after you’ve already sent it. In the real world, recall only succeeds under specific server and mailbox conditions.

When recall works, the recipient may receive a recall notification, and the original message can be deleted from their inbox. When recall can’t work, you’ll typically just send additional messages without removing the original email.

Requirements: When Recall Works
Recall is designed for Microsoft Exchange / Microsoft 365 environments. Before you spend time trying, confirm these requirements are met.
- Your mailbox type: You need an Exchange or Microsoft 365 account configured in Outlook for Mac.
- Recipient mailbox type: The recipient should also be in the same Exchange/Microsoft 365 environment (same organization/tenant).
- Message state: The recipient must not have opened the email yet (and sometimes must still have it in the folder where recall applies).
- Folder and delivery behavior: If the message was moved, filtered, or delivered in ways that prevent recall, it may fail.
- Internet recipients: Recall generally won’t work across unrelated providers (for example, Gmail/Yahoo) because the receiving system won’t honor the Exchange recall request.
If any of the above isn’t true, plan on sending a fast correction message instead.

1) Open the sent message in Outlook for Mac
Find the message you sent and open it from your Sent folder. The recall option is tied to the selected sent email.
- Open Outlook on your Mac.
- Go to Sent (usually under your mailbox in the left sidebar).
- Locate the email you want to recall.
- Double-click it to open the message view.
2) Look for the recall option on the message menu
Once the message is open, the recall command should appear under message actions or the ribbon-style controls (depending on your Outlook layout).
- Select the message so it’s actively displayed.
- Check the top toolbar for a Message, Actions, or similar menu.
- Look for an option labeled Recall This Message (or Recall Message).
3) Submit the recall request
When you choose recall, you’ll be asked what to do with the recipient’s copy. The labels vary slightly, but the logic is consistent.

- Click Recall This Message.
- Choose one of the common options:
- Delete unread copies of this message
- Optionally, Delete unread copies and replace with a new message (if shown)
- If you choose replacement, compose the corrected email in the recall flow.
- Click OK or Send to submit the recall.
Time matters: recall succeeds more often when the recipient hasn’t opened the email. If the email went out minutes ago and you realize the mistake quickly, you’re still in the best window.
4) Confirm you can actually track the outcome
Depending on your account policies, Outlook may track recall results and update you with status information.
- After submitting recall, check for any notification or status message in Outlook.
- Look for a recall report under your message tracking UI if your tenant supports it.
What You’ll See After You Submit the Recall
Recall doesn’t always provide a clean “success” indicator. Expect one of three outcomes:
- Success: Outlook indicates the recipient’s unread copy was deleted (or replaced copy took effect).
- Partial/failed: The recipient opened the email or the message moved; you may see a failure status or no practical effect.
- No action: The recall command might submit but won’t affect external recipients or non-Exchange mailboxes.
If you see errors or no result, don’t wait too long—send a correction immediately.
Troubleshooting: Recall Fails or You Don’t See the Option
Missing “Recall This Message” usually means Outlook can’t perform the recall for your specific sent item. Work through the checks below in order.

- Wrong mailbox type: Recall is typically unavailable for non-Exchange accounts (for example, some IMAP/POP setups).
- Recipient isn’t in the same Exchange/Microsoft 365 org: If the message was sent to external addresses, recall often won’t be offered.
- You didn’t open the message from Sent: Recall is tied to a sent item you can reference. Open it directly from Sent.
- Message format/provider limitations: Some messages (system-generated or unusual delivery paths) can’t be recalled.
If you can’t find the recall control at all, skip to the alternatives section and send a corrective message.

You submitted recall, but the message still appears
- The recipient opened the message: Recall generally fails after reading.
- The recipient rules moved it: Message processing that changes folder location can break recall.
- Transport timing: Server-side propagation may take time; the recipient’s mailbox might already have processed delivery.
In practice, once a message is opened, recall is unreliable—treat it as a best-effort attempt.
Try a quick sanity check: verify you’re using a supported Outlook client
Microsoft’s recall feature behavior depends on the Outlook client and mail platform. For best results, ensure your Outlook for Mac is up to date.
- Open Outlook on your Mac.
- Check for updates via Help → Check for Updates.
- Sign out/in or restart Outlook if the UI doesn’t refresh properly.
If your organization restricts recall or tracking, those controls can also affect availability and results.

If recall isn’t available (or if it fails), you still have strong options. The goal is to reduce harm: inform recipients, correct the content, and prevent accidental action on the wrong message.
Send a fast follow-up correction
Immediately send a clarifying email to the same recipients. Keep it short, explicit, and action-oriented.
- Subject example: Correction: [Original subject]
- First line: Please ignore the email sent at [time] that contained [mistake].
- Provide the correct content in the follow-up.
- If needed, ask for confirmation: Reply OK once reviewed.
If attachments were wrong, resend with the correct file
When the issue is an attachment, a corrected resend beats a “recall attempt” every time. Mention exactly what changed (file name, version, or date).

Recall is a workaround, not a safety net. If you send important emails frequently, delay delivery is the best prevention you can set up in Microsoft 365/Exchange scenarios.
Set Delay Delivery (Exchange/Microsoft 365)
Exact UI wording can vary by tenant, but the setting typically lives in Outlook’s mail options.
- Open Outlook on your Mac.
- Go to Outlook → Settings.
- Find Mail.
- Look for Message handling or Send options related to delay.
- Enable Delay delivery and choose a delay period (common choices are 1 or 2 minutes).
A 1-minute delay is often enough to catch a wrong attachment or recipient, without slowing normal work.

For messages with attachments or external recipients, compose in a draft and wait 10–30 seconds before sending. It sounds small, but it prevents the “oops” moment.

FAQs
Does recall work for Gmail or other external recipients?
Usually no. Recall is built for Exchange/Microsoft 365 mailboxes that understand and honor recall requests.
Can I recall an email after the recipient has opened it?
Recalls commonly fail once the recipient opens the message. If you realize the mistake quickly, try anyway, but don’t rely on it.
Why can’t I see the Recall This Message button?
Most often it’s because the message isn’t eligible for recall (wrong mailbox/account type, external recipients, or the email can’t be processed for recall). In those cases, use a corrective follow-up immediately.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Will the recipient get notified that I attempted a recall?
They may. Outlook can send recall notifications depending on tenant settings and the recipient’s mailbox behavior. If you need certainty, send a direct correction message.
Bottom Line
To recall an email in Outlook for Mac, open the message from Sent, choose Recall This Message, and submit a “delete unread copies” or “replace with a new message” request. It’s fast, but it only works under Exchange/Microsoft 365 conditions and usually before the recipient opens the email.
If recall isn’t available or you’re past the window, don’t wait—send a concise correction right away and prevent future issues with delay delivery and drafts for sensitive messages.
