When deadlines collide, prioritize by checking what can move the project finish date, what work must happen first, and which people are actually available—not by sorting tasks by due date alone. Find the critical path and each task’s slack, resolve resource conflicts, then make any unavoidable scope, schedule, or cost tradeoff explicit.
Why the nearest due date may not be the top priority
A due date matters, but it does not tell you whether slipping a task will delay the whole project. A task with a later date may sit on the sequence that determines delivery, while an earlier task may have enough slack to move without changing the finish date. Dependencies, duration, resource availability, and imposed dates all constrain how quickly a schedule can be completed, as Timothy J. Kloppenborg explains in his PMI Global Congress 2007 paper.

So treat competing deadlines as a schedule problem with four questions: What work must precede other work? Which sequence has little or no slack? Are the people with the required skills available? If the plan still cannot fit, what can change?
How to prioritize tasks in a project with competing deadlines
-
Validate the schedule logic
Check that task durations are credible, milestones and imposed dates are recorded, dependencies reflect real work order, and assignments reflect actual availability. A task list with missing or unnecessary links can make the wrong work appear urgent. Confirm dependency assumptions with the people doing the work; not every preferred sequence is a hard requirement.

Identify the critical path and available slack
The critical path is the sequence of tasks that dictates the project finish date. Tasks on that path with no usable slack are especially sensitive: a delay can move the finish date. Tasks with slack have some room to move before affecting it. Microsoft explains these concepts in its Project critical-path guidance.
Use slack deliberately rather than treating every due date as immovable. A task with float may be a candidate to shift so a constrained person can work on a more schedule-sensitive task, provided the shift does not create another problem downstream.

Respect dependencies, but verify they are necessary
In Microsoft Project, the default task link is finish-to-start: the successor cannot begin until its predecessor finishes. Other link types include start-to-start, finish-to-finish, and start-to-finish. See Microsoft’s explanation of task scheduling and links.

Resolve conflicts over people and specialist skills
A task may be critical and still be blocked because its assigned specialist is committed elsewhere. Consider reassignment to a qualified person, adding capacity, or leveling the workload. Resource leveling can delay or split tasks to reduce an overallocation; afterward, inspect the new dates and check whether the critical path changed. Microsoft describes this process in its resource allocation guidance.
-
Reassess after changes
Recheck priorities when a task finishes, a delay occurs, or resource availability changes. The critical path is not necessarily fixed: completing critical tasks or delaying another sequence can change which tasks govern the finish date, according to Microsoft’s critical-path guidance.

What to do when the current plan cannot meet every deadline
If critical work cannot fit the available time and team while keeping the agreed scope, there is a real tradeoff to decide—not a priority trick that can preserve every commitment unchanged. Compare options by their effect on the finish date, dependencies, people, cost, scope, and quality. Microsoft’s project triangle guidance describes schedule-compression choices and their tradeoffs.

| Option | What to check |
|---|---|
| Shorten task duration or add overtime | Whether the affected work is on the critical path, whether the estimate is realistic, and what extra effort or cost is required. |
| Add or reassign resources | Whether qualified people are available and whether the move overloads another task or project. |
| Overlap eligible work | Whether dependencies permit parallel execution and whether added coordination or quality risk is acceptable. |
| Reduce scope or move a date | Which deliverables or commitments change, who must approve the change, and how it affects the intended outcome. |
These are options to evaluate, not guaranteed fixes. For example, overlapping work is not appropriate if a successor truly depends on a predecessor’s completed output; adding people can affect cost and may not help if the work requires a scarce skill.

When the conflict spans multiple projects
If several projects need the same people or specialist skills, the decision may belong above the individual project team. Set priorities in relation to organizational strategy, urgency, and delivery criticality, then give constrained resources a clear allocation. PMI’s guidance on managing multiple projects and portfolio priorities notes that treating every project as the top priority leaves teams without a basis for allocating scarce resources; priorities can also change as business and technical conditions change.
Bring the conflict to the person or group authorized to decide which commitment moves. Present the affected dates, dependencies, available slack, resource constraint, and consequences of the viable choices so the decision is about an explicit tradeoff rather than an unworkable promise.
