How to Print Images in Excel: A Step by Step Guide

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Printing images in Excel can be surprisingly useful when you need to include product photos, screenshots, logos, diagrams, scanned forms, or visual references alongside spreadsheet data. To get a clean result, the image needs to be inserted properly, sized to fit the worksheet, positioned within the printable area, and checked against Excel’s page layout settings before printing.

A good printout depends on more than simply placing a picture on the sheet. Margins, scaling, page breaks, print area settings, image quality, and object formatting can all affect whether the image appears clearly and in the right location on paper or in a PDF.

This guide walks through the full process step by step, from preparing the worksheet and inserting the image to adjusting layout options, previewing the result, and fixing common problems when images are missing, distorted, cropped, or printing at poor quality.

Preparing Your Excel Worksheet for Image Printing

Before inserting an image, set up the worksheet so Excel has a clear printable area to work with. Images in Excel are placed on top of the grid rather than inside cells by default, so the surrounding sheet layout affects how the final page prints. Start by deciding whether the image will be printed by itself, alongside data, or as part of a form, report, invoice, label sheet, or dashboard. This decision determines the page orientation, margins, scaling, and amount of space you need to reserve.

Open the worksheet and remove anything that should not appear on the printed page, such as unused s, extra rows, temporary calculations, or objects outside the main layout. If the sheet already contains data, adjust column widths and row heights before adding the image. This helps prevent the picture from being squeezed, clipped, or pushed onto an extra page later. For a clean print layout, keep the image within a defined block of cells and leave enough blank space around it for margins and captions.

Set the basic page layout first

Use the Page Layout tab to choose the main print settings before placing the image. Select Orientation and choose either Portrait for taller layouts or Landscape for wide images and reports. Then open Margins and choose a preset such as Normal, Wide, or Narrow. If the image needs to line up precisely, use Custom Margins and set the top, bottom, left, and right margins manually.

  • Portrait: Best for forms, product photos, ID images, and single-column reports.
  • Landscape: Best for wide screenshots, charts, floor plans, and dashboards.
  • Narrow margins: Useful when the image needs more printable space.
  • Custom margins: Useful when matching a company template or printed form.

Check paper size and scaling

Next, confirm the paper size under Page Layout > Size. Common options include Letter, A4, and Legal. The paper size in Excel should match the paper selected in your printer settings; otherwise, the printed image may shift, shrink, or split across pages. If you plan to print a full-page image, set the correct paper size before resizing the picture so you are working against the same boundaries the printer will use.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Scaling also affects image output. In the Scale to Fit group, Excel can shrink content to fit a certain number of pages wide or tall. This is helpful for reports, but it can reduce image size and sharpness if used too aggressively. For image-heavy worksheets, start with Width: 1 page only when you need everything to fit across one printed page. Avoid forcing both width and height to one page unless the layout is simple and the image can tolerate being reduced.

Use Page Break Preview to see print boundaries

Switch to View > Page Break Preview to see where Excel will divide the worksheet into printed pages. Blue lines show page boundaries, and anything outside those boundaries may print on another sheet. Drag the page break lines if needed, or return to Normal view after confirming the available space. Preparing these boundaries before inserting the image makes it easier to place the picture accurately and avoid last-minute layout changes.

If the worksheet will include headings, labels, or grid-based alignment, add those elements now. You can also turn off gridlines for printing from Page Layout by clearing the Print checkbox under Gridlines. Once the page size, orientation, margins, scaling, and printable space are set, the worksheet is ready for image insertion with fewer surprises during print preview.

Inserting an Image into Excel

Once your worksheet is prepared, the next step is to place the image into the file. Excel supports common image formats such as JPG, PNG, GIF, BMP, and TIFF, though JPG and PNG are usually the best choices for printing. JPG files work well for photos, while PNG files are better for logos, screenshots, icons, and images that need sharp edges or transparent backgrounds.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

To insert a picture from your computer, click the cell near where you want the image to appear. Then go to Insert on the ribbon, select Pictures, and choose This Device. Browse to the image file, select it, and click Insert. Excel places the image on top of the worksheet grid rather than inside a cell, so it can be moved and resized freely. If you are using Microsoft 365, you may also see options for Stock Images or Online Pictures, which can be useful for adding icons or reference images directly from built-in sources.

Insert an image from a saved file

  1. Open the worksheet where the image should appear.
  2. Select a nearby cell to guide the placement.
  3. Go to Insert > Pictures > This Device.
  4. Choose the image file from your computer.
  5. Click Insert.

After the image appears, select it once to display the resize handles around its edges and corners. You will also see the Picture Format tab on the ribbon. This tab contains tools for cropping, rotating, adding borders, correcting brightness, compressing images, and changing the image style. For a printed worksheet, use these tools carefully. Heavy shadows, glow effects, and artistic filters may look different on paper than they do on screen, especially on black-and-white printers.

If the image is meant to support worksheet data, place it close to the related cells. For example, a product photo should sit beside the product name, SKU, and price rather than floating far from the row it describes. If you are inserting a logo for a form, invoice, or report, position it near the top of the sheet and leave enough margin space so it does not get clipped during printing. You can also insert mulle images, but large files can increase workbook size and slow down printing, so use images with a practical resolution rather than oversized originals from a camera or phone.

Choosing the right image source

Image source Best use Printing consideration
This Device Company logos, product photos, screenshots Gives the most control over file quality and format
Stock Images Icons, symbols, simple illustrations Check that the style matches the worksheet design
Online Pictures Web-based reference images Confirm that the image is clear enough and allowed for your use

For the best print quality, avoid copying and pasting low-resolution images from websites or messaging apps. These images may look acceptable on screen but print blurry or pixelated. Whenever possible, insert the original image file using the Pictures command. This gives Excel a cleaner source file to work with and makes later resizing, formatting, and print adjustments more reliable.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Resizing and Positioning the Image

After inserting an image into Excel, adjust its size and placement before moving on to page layout or print settings. Click the image once to select it. Small circular handles appear around the border, and these let you resize the picture directly on the worksheet. Drag a corner handle inward or outward to make the image smaller or larger while keeping its proportions. Avoid dragging the side handles unless you intentionally want to stretch the image horizontally or vertically, since that can distort logos, photos, charts, and scanned documents.

For more precise sizing, select the image and open the Picture Format tab on the ribbon. In the Size group, enter exact values for Height and Width. This is useful when several images need to match, such as product photos in a catalog, employee headshots, inspection photos, or receipt images. If the image changes shape when you edit one dimension, open the size options and make sure Lock aspect ratio is enabled. Keeping the original aspect ratio helps the image print cleanly and prevents unwanted compression.

Position the image within the worksheet

To move the image, click and drag it to the desired location. Use the worksheet gridlines as visual guides, or align the image with specific cells if the printout needs a structured layout. For example, you might place a company logo in the upper-left corner, a product image beside a description, or a scanned signature near an approval line. To make placement more accurate, hold Alt while dragging the image. Excel will snap the image edges to nearby cell borders, making it easier to line up with rows and columns.

If the image should stay connected to certain worksheet content, adjust its object positioning behavior. Right-click the image, choose Size and Properties, then open the Properties section. Select one of these options depending on how you want the image to behave when cells change:

  • Move and size with cells: The image moves and resizes when the related rows or columns are adjusted. This works well for image lists, catalogs, and row-based records.
  • Move but don’t size with cells: The image stays anchored to nearby cells but keeps its current dimensions. This is useful for logos, stamps, and fixed-size graphics.
  • Don’t move or size with cells: The image remains in its current worksheet position even if rows or columns are resized. Use this for background-style images or fixed page elements.

Align multiple images neatly

When working with more than one image, use Excel’s alignment tools instead of positioning each one by eye. Select the images by holding Ctrl and clicking each picture, then go to Picture Format and use Align. You can align images to the left, right, top, bottom, or center, and you can distribute them evenly across the page. This creates a cleaner print layout and reduces the chance of images overlapping text, page margins, or each other.

Before setting the final print area, check whether any part of the image extends beyond the intended page boundary. Images that sit partly outside the printable area may be cut off when printed. It is also helpful to switch to Page Layout view from the View tab, since this shows how the image sits on the printed page rather than only within the worksheet grid. Once the image is sized, aligned, and anchored correctly, the next step is to adjust page layout and print area settings so the worksheet prints exactly as expected.

Adjusting Page Layout and Print Area Settings

After the image is inserted, resized, and placed where you want it, use Excel’s page layout tools to control exactly what prints. This step is especially useful when your worksheet contains extra rows, columns, s, or calculations that should not appear on paper. Start by clicking anywhere on the worksheet, then go to the Page Layout tab. The settings in this tab determine paper size, orientation, margins, scaling, and the printable range.

First, choose the correct paper orientation. Select Orientation and pick Portrait for tall layouts or Landscape for wide images, dashboards, forms, or charts. If your image is wider than it is tall, Landscape usually gives it more room and prevents unwanted shrinking. Next, open Size and confirm that the selected paper size matches your printer paper, such as Letter, A4, or Legal. A mismatch between Excel’s paper size and the printer’s paper size can cause clipping, scaling changes, or unexpected blank space.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Set the print area around the image

To print only the section that contains your image, drag to select the cells surrounding the image and any labels, headings, or borders that should appear with it. Then go to Page Layout > Print Area > Set Print Area. Excel will print only the selected range, which helps preserve the intended layout and avoids printing unrelated worksheet content. If the image extends beyond the selected cells, expand the selection and set the print area again.

  • Clear an old print area: Go to Page Layout > Print Area > Clear Print Area.
  • Check page breaks: Use View > Page Break Preview to see where Excel will split pages.
  • Keep the image on one page: Move or resize the image so it stays within the blue page boundary in Page Break Preview.

Margins also affect how the image fits on the printed page. In the Page Layout tab, select Margins and choose Narrow if you need more printable space. For a centered layout, open Custom Margins, then use the centering options to center the worksheet Horizontally, Vertically, or both. This is helpful when printing a single product photo, floor plan, certificate, scanned form, or worksheet cover page.

Use scaling carefully

The Scale to Fit options can make the printed image match the page better, but they can also reduce image quality if the worksheet is compressed too much. To fit the image neatly on one sheet, set Width to 1 page and Height to 1 page. If the image becomes too small, return Height to Automatic or increase the print area size by adjusting rows, columns, margins, and orientation. For sharper output, avoid stretching a small low-resolution image across a full page; use a higher-resolution source file whenever possible.

Setting Best Use
Landscape orientation Wide images, dashboards, timelines, and charts
Narrow margins Maximizing printable space around a large image
Set Print Area Printing only the cells and image you selected
Fit to 1 page wide Preventing a layout from spilling across multiple pages

Previewing and Printing the Worksheet

After the image is inserted, sized, positioned, and included in the print area, use Excel’s print preview to confirm that the worksheet will print exactly as intended. Go to File > Print to open the print preview screen. This view shows the selected printer, page count, orientation, margins, scaling, and a live preview of how the image and worksheet content will appear on paper. If the image is cut off, shifted onto another page, or too small to read, return to the worksheet and adjust the layout before printing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use the page navigation arrows at the bottom of the preview pane to check every printed page, especially if your worksheet spans mulle pages. Images near page breaks can split unexpectedly if they are not fully inside the printable area. If the image appears on the wrong page, close the preview and review Page Layout > Print Area, Page Layout > Breaks, and the scaling options. For worksheets with charts, logos, screenshots, or product images, it is often best to keep each important image fully within one page boundary.

Print settings to check before printing

  • Printer: Select the correct printer, especially if you have both office printers and PDF printers installed.
  • Copies: Set the number of copies needed before sending the job.
  • Print range: Choose whether to print the active sheets, the entire workbook, or only the current selection.
  • Orientation: Use Portrait for tall layouts and Landscape for wide worksheets or large images.
  • Paper size: Match the paper size to the printer tray, such as Letter, A4, or Legal.
  • Margins: Use normal, narrow, or custom margins depending on how close the image should appear to the page edge.
  • Scaling: Choose No Scaling, Fit Sheet on One Page, Fit All Columns on One Page, or Fit All Rows on One Page based on the layout.

Scaling has the biggest effect on image print quality. If you select Fit Sheet on One Page for a large worksheet, Excel may shrink the entire sheet, making images and text harder to see. For image-heavy worksheets, a better option may be Fit All Columns on One Page while allowing the content to continue onto additional pages vertically. This keeps the width controlled without compressing the image too aggressively. If the printed image must remain sharp, avoid excessive scaling and use the image’s original size whenever possible.

If you need a final check before using paper and ink, print the worksheet to PDF first. In the printer list, choose Microsoft Print to PDF on Windows or use the PDF option in the print dialog on Mac. Open the PDF and zoom in to inspect the image edges, alignment, and clarity. This is especially useful for invoices, reports, labels, forms, dashboards, and worksheets that will be emailed or archived. Once the PDF preview looks correct, return to File > Print, select the physical printer, confirm the settings, and click Print.

Troubleshooting Common Image Printing Problems

If an image looks correct on the worksheet but prints incorrectly, the issue is usually related to object settings, page scaling, printer drivers, or image resolution. Start by checking the simplest items first: confirm that the picture is inside the defined print area, visible on the active sheet, and not hidden behind another object or placed outside the printable page boundary.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Image Does Not Print at All

When a picture appears on screen but is missing from the printed page or PDF, check whether Excel is set to print the object. Right-click the image, choose Format Picture, open Size & Properties, then expand Properties. Make sure Print object is selected. If this option is cleared, Excel will display the image while editing but exclude it from printed output.

  • Open File > Print and verify the image appears in the print preview.
  • Check Page Layout > Print Area to confirm the picture is included.
  • Make sure the image is not placed in a hidden row, hidden column, or hidden worksheet.
  • If printing selected sheets, confirm you selected the sheet that contains the image.

Image Prints in the Wrong Position

If the image shifts when printing, review how it is anchored to the worksheet. Right-click the picture, select Format Picture, then go to Size & Properties. Under Properties, choose Move but don’t size with cells if you want the image to stay aligned with nearby rows and columns without stretching. Use Don’t move or size with cells for logos, headers, or fixed-position graphics that should remain stable regardless of worksheet edits.

Also check your scaling settings under Page Layout. Options such as Fit Sheet on One Page or custom scale percentages can shrink or reposition worksheet content. If exact placement matters, set a consistent print area, use page breaks, and avoid making last-minute row-height or column-width changes after positioning the image.

Image Looks Blurry or Pixelated

Blurry output is often caused by using a low-resolution image or enlarging a small picture too much. For best results, insert the highest-quality version available, especially for product photos, diagrams, certificates, or labels. Avoid copying small images from websites and stretching them across a large area in Excel. If possible, use PNG for screenshots and graphics with sharp edges, and JPEG for photographs.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Resize images from the corners to keep the original proportions.
  • Avoid enlarging an image far beyond its original dimensions.
  • Use File > Options > Advanced and check image size and quality settings if Excel is compressing pictures.
  • Print to PDF first to compare Excel output with printer output.

Image Is Cropped, Cut Off, or Split Across Pages

If only part of the image prints, it may extend beyond the page margin or cross a page break. Go to View > Page Break Preview to see exactly where Excel divides the worksheet. Move the image fully inside one page, adjust margins from Page Layout > Margins, or change orientation from Portrait to Landscape if the picture is wide.

Problem Setting to Check Best Fix
Missing image Print object Enable printing in Format Picture properties
Image shifted Object positioning Set how the picture moves or sizes with cells
Blurry print Image resolution Use a higher-quality source file
Cut-off image Margins and page breaks Move image inside the printable area

If the worksheet still prints incorrectly, update the printer driver, try exporting the sheet as a PDF, or print from another printer to isolate whether the problem is in Excel or the printer setup. Saving as PDF is especially useful because it preserves the worksheet layout and makes it easier to confirm whether Excel is generating the page correctly before sending it to paper.

Frequently Asked Questions

How do I stop an image from moving or resizing when I adjust Excel cells?

Right-click the image, choose Size and Properties, and open the Properties section. Select Don’t move or size with cells if you want the image to stay fixed, or Move but don’t size with cells if it should follow nearby rows and columns without stretching.

Why is my image not showing up when I print from Excel?

First, make sure the image is inside the selected print area by going to Page Layout and checking Print Area. Also confirm that the picture is not set as a background, because Excel sheet backgrounds do not print. If the image is an object, right-click it, open Size and Properties, and make sure Print object is enabled.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How can I print an Excel sheet with images on one page?

Go to Page Layout, open the Scale to Fit settings, and set the width and height to 1 page. Then check File > Print to confirm the image and worksheet still look readable. If the image becomes too small, switch the page orientation to landscape or reduce margins before scaling everything down.

Why does my printed image look blurry in Excel?

Blurry printing usually happens when the original image is low resolution or has been enlarged too much inside Excel. Use a higher-resolution image, avoid stretching it beyond its original size, and check your printer settings for a higher quality or photo printing option. Saving the workbook as a PDF before printing can also help preserve the layout and image sharpness.

Can I place an image behind Excel cells and print it like a watermark?

Excel’s normal sheet background feature will not print, so it is not reliable for watermarks. Instead, insert the image into the header or footer, or place a transparent image directly on the sheet and send it behind other objects if needed. Use Print Preview to confirm it appears in the correct position before printing.

Bottom Line

Printing images in Excel works best when you insert the picture properly, resize it with proportions intact, anchor it to the right cells, and preview the page before printing. A quick check of margins, scaling, print area, and image placement can prevent most layout surprises.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If an image does not print correctly, review its formatting options, make sure it is included in the print area, and test with Print Preview or a PDF export first. Once your setup looks right there, you can print with much more confidence.
