Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →To prevent duplicate expense reports in n8n, first choose a stable key that identifies one logical report, then use it to filter repeats in the incoming batch and check persistent state before any approval, accounting, or payment action. A simple lookup is useful, but it is not an atomic guarantee: overlapping workflow executions can both find a key missing. For stronger protection, enforce uniqueness in a database or use an idempotency feature provided by the downstream service.
Start by defining what counts as the same report
n8n can compare values and store markers, but it cannot decide which business records represent the same expense report. That is a business rule your workflow must make explicit. If you choose the wrong identity, the workflow may let duplicates through—or suppress a legitimate report.

Prefer an immutable source ID
Use the expense platform’s immutable report ID when available. An immutable submission or webhook event ID can also work if the source preserves it for retries of the same report, or changes it deliberately when a new submission should count as a new record. Keep delivery or event IDs as separate fields when they help diagnose retries.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteUse a composite key only when necessary
If there is no suitable source ID, construct and document a composite key from business-relevant fields—for example, employee ID, merchant, transaction date, currency, and amount. This is an implementation choice, not a canonical n8n expense-report standard. Two legitimate reports can share those values, while an amended report can change them. Include a report sequence or source identifier where possible.

Normalize the fields consistently before building the key: trim whitespace, standardize dates, and represent amount and currency consistently. Normalize case only where case is not meaningful. Overly broad normalization can merge distinct reports. Do not use an n8n execution ID as the report key: a retry or resubmission may create a new execution even when it concerns the same report.
Remove duplicates arriving in the same input
The n8n Remove Duplicates node can filter repeated items in its current input. Compare the selected identity key, not every field: descriptions or other non-identity data may differ between copies of the same report. See the n8n workflow examples for the Remove Duplicates node, which include current-input deduplication.

Remember reports across workflow executions
For cross-execution checks, n8n Data Tables provide structured storage within an n8n environment. n8n documents duplicate-run markers as one possible use and the Data Table node supports conditional row operations and upsert. A table can hold the report key and a processing status; see n8n Data tables documentation and Data Table node row operations.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Check stored state before approval, accounting, payment, or another consequential side effect. A practical status model is received, processing, completed, and failed. These labels and the workflow around them are a design pattern, not a built-in expense-report feature. Use the key to determine whether to proceed, and define what each status means for retries and manual recovery.

Choose the right duplicate-prevention mechanism
| Approach | Best use | Persistence | Concurrency protection | Main limitation |
|---|---|---|---|---|
| Remove Duplicates within current input | Repeated items in one batch | Applies to the node’s input | Not a database uniqueness guarantee | Needs a chosen key; does not by itself protect separate or overlapping executions |
| Remove Duplicates across previous executions | Simple workflow-level filtering of previously seen values | Node’s previous-execution memory | Not equivalent to an atomic database write | Confirm memory behavior and retention suit the workflow; see n8n workflow examples |
| Data Table existence check plus insert or upsert | Visible workflow state and status tracking | Persistent Data Table rows | Do not assume a separate check and write are atomic | Race handling and recovery must be designed explicitly |
| Database unique key or atomic conditional write | Higher assurance under parallel requests | Database-managed | Strongest of these options when properly configured | Requires a configured database and handling for uniqueness conflicts or failed writes |
Protect against concurrent triggers
A read-then-write sequence has a race window. If two executions check the same key at nearly the same time, each can see that no row exists and both can continue before either records the key. An n8n Data Table existence check followed by a separate insert or upsert should not be assumed to close that window.
When parallel webhook deliveries are possible or the action has financial consequences, use an atomic mechanism: for example, a database unique constraint on the report key, an atomic conditional write, or an idempotency key passed to a downstream API that supports it. Handle a uniqueness conflict as an already-claimed report rather than proceeding as though the write succeeded. n8n’s API idempotency guide discusses unique constraints, optimistic locking, conditional updates, and delivery-ID checks.

Design retries around partial failures
A workflow can fail after an external service has accepted an approval or payment but before n8n records the report as completed. If a retry blindly repeats the side effect, the outcome may be duplicated. Conversely, marking a report completed before the external action is confirmed can cause a genuine failure to be skipped.
- Record or claim the report key before starting consequential work, using an atomic mechanism where concurrency matters.
- Set the status to
processingand retain enough information to trace the downstream request. - After the external action, reconcile its response or query the downstream system before marking the record
completed. - On retry, inspect both the stored status and the downstream result. Repeat a non-idempotent action only when you have established it did not already succeed, or when the downstream service guarantees idempotency for the supplied key.
- Define how operators investigate and recover records left in
processingor markedfailed.
There is no universally safe recovery action if a service may have succeeded but its response was lost. The workflow needs a downstream lookup, a supported idempotency key, or a deliberate manual reconciliation path for that uncertainty.

Handle legitimate amendments separately from duplicates
A later submission may be an amendment, not a duplicate. If it has the same immutable report ID, update the existing record or keep a version history. If the source assigns a new ID, define whether that means a new report or a revision linked to the earlier one. Avoid silently discarding every later submission that matches a broad employee/date/amount composite key; it can erase valid expenses.
Implementation limits to keep in mind
These are n8n capabilities and implementation patterns, not a tested expense-report template. The n8n documentation describes Data Tables, conditional row operations, and Remove Duplicates examples, but it does not prescribe an expense identity key or establish that a multi-node existence-check-plus-write operation is atomic. Match the identity and concurrency design to the expense source, downstream system, and consequences of a repeated action.
