A strong urban design presentation tells a clear visual story: what the project is meant to achieve, where it sits, what conditions shaped it, how the design responds, and what decision or feedback is needed. Show the proposal in relation to its surroundings—not just inside the application boundary—and check the receiving authority’s current requirements before preparing the final pack.
1. Start with the brief and the decision you need
Open with a short project summary: the site, the proposal’s purpose, its main aims, and the questions reviewers are being asked to consider. This gives the audience a frame for reading the drawings that follow. Oxford City Council recommends setting out the brief, aims, and objectives; Kingston’s guidance suggests a concise project summary.

Be clear about the presentation’s purpose. A design-review discussion, a planning application, and a stakeholder meeting may need different levels of detail. State what is settled, what remains open, and whether you are seeking feedback, a recommendation, or a formal decision.
2. Locate the site and establish its context
Use a site map to show exactly where the project is and how much of the surrounding area is relevant. Pair it with an aerial image and selected photographs of existing conditions. Explain the site’s relationship to adjoining properties, streets, public spaces, and the wider urban pattern. Oxford and Kingston both ask presenters to address context beyond the application boundary; Seattle’s street-concept template calls for a site map and existing-condition photographs.

Select context evidence that affects the design
Choose information because it helps explain a design decision, rather than trying to fit every available fact onto the slides. Depending on the site, useful topics may include:
- Access, movement routes, street and block patterns, and nearby destinations.
- Topography, important views, landscape character, and public realm.
- Heritage designations or historic development where relevant.
- Current or planned neighboring projects that affect relationships, movement, or scale.
Hamilton’s contextual-analysis guidance covers many of these topics. The appropriate evidence depends on the proposal and its setting; a context plan should make relevant relationships legible, not become an inventory detached from the design.

3. Explain how the design developed
Show the important choices that led from the brief and site analysis to the preferred proposal. Oxford and Kingston both call for a design-development story, including alternatives that were considered and rejected. Explain why the selected approach best addresses the project objectives and context, and identify its trade-offs.
When comparing options, use consistent context and evidence for each. Useful comparison questions include how well each option fits the wider urban pattern, handles access and movement, relates in scale and massing to its neighbors, affects heritage or key views, supports public realm and landscape, and meets the brief. Include daylight, sunlight, wind, or sustainability considerations when relevant to the project and review. The cited guidance does not prescribe one scoring method, so use a clear explanation of the factors that actually informed the choice.
Rank #3

4. Choose drawings that make the proposal understandable
Use drawings at a level of detail suited to the decision under review. A site plan, relevant floor plans, sections, and elevations can explain layout, use, dimensions, and the relationship between parts of the project. Where it matters, show land ownership and what is retained, demolished, or built. Sections through the street or building can reveal topography and relationships that a plan alone cannot show.
Seattle’s street-concept template gives 1 inch to 20 feet as a suggested scale for an existing street section. That is a local example, not a universal standard; follow the receiving authority’s requirements for scale and drawing conventions.
Rank #4

Match each view to a question
- Site plan: Where does the proposal sit, and how does it connect to its surroundings?
- Floor plans: How are spaces arranged, and how do people move through them?
- Sections: How do levels, topography, height, and adjoining conditions relate?
- Elevations: What are the building faces and their relationship to the street or public realm?
- Contextual views: How will the proposal appear from important viewpoints?
5. Show the proposal accurately in its setting
Use contextual elevations, photomontages, axonometric drawings, or a 3D model when they help viewers understand scale and relationships. Belfast’s guidance describes contextual design information as visual material that accurately represents the proposal in its immediate and local context, and gives these formats as examples. Choose viewpoints that clarify important relationships rather than relying only on attractive or unrepresentative angles.
Distinguish analytical evidence from illustration. Label visualizations clearly, and do not let a persuasive rendering stand in for a measured study. If you use screenshots of online context material to assemble a reference board, keep the source and capture date with the image and verify usage rights and attribution requirements. A screenshot is a record of what appeared in a browser, not proof that the underlying map, image, or data may be republished without permission.

Capture a reference page when it helps the presentation
For a quick, one-off record of a public webpage, you can use the browser’s print or screenshot function and save the result as an image or PDF. Check that the page has finished loading, capture the relevant area at a readable scale, and label the source and date in your working files. For a presentation image, use material you have permission to reproduce and avoid implying that a browser capture is an official plan or survey.

6. Add supporting studies selectively
Include daylight or sunlight analysis, landscape and ecology information, wind studies, sustainability targets, or evidence of how engagement feedback affected the design when they are relevant to the proposal or requested for the review. These are not universal requirements across the cited guidance. Check the receiving authority’s current guidance and project-specific validation checklist rather than treating a generic list as mandatory.
7. Close with the request and prepare for local requirements
End by stating what feedback or decision is sought and which design issues remain open. Keep supporting studies available if a panel asks for them; Kingston notes that further supporting information may be useful on request.
There is no universal presentation duration in the official examples cited here. Oxford City Council says presenters have approximately 40 minutes, while the Royal Borough of Kingston upon Thames allocates 30 minutes including consultant input. These are authority-specific examples, not a general allowance. Requirements can depend on proposal stage, scale, setting, and potential impacts. Belfast’s guidance says contextual information should be appropriate to the proposal’s nature, location, scale, and potential impacts. Guidance can change: Victoria’s guidelines page identifies version 2.0 and an update in September 2026. Confirm current requirements, including timing, scale, file format, and deadlines, with the authority receiving the presentation.
