Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsPrepare IT teams for AI adoption by treating each AI workload as a controlled change to an existing service—not as a tool employees can simply switch on. Set ownership, assess the use case and its data, put access and monitoring controls in place, train people for their roles, and pilot against operational criteria before expanding access. Scale only when there is evidence of value and the teams responsible can support the workload.
Make AI readiness part of service ownership
AI readiness is organizational as well as technical. A platform may provide security features, but teams still need to decide who approves a use case, who operates it, who handles incidents, and who can stop it. Connect these responsibilities to existing change-management and incident-management processes rather than creating an unowned parallel system. Microsoft’s organizational readiness guidance distinguishes platform-level governance and security from workload teams’ focus on business value and delivery.

| Role or group | Operational responsibility |
|---|---|
| Executive sponsor | Confirms the business objective, accountable owner, and authority to pause or end the work. |
| Platform and IT operations | Provides approved infrastructure and guardrails; plans deployment, service support, monitoring, and recovery. |
| Security and risk | Reviews access, data flows, threats, and risk controls; defines escalation and incident-handling expectations. |
| Business or workload owner | Defines intended use, users, acceptable outcomes, human review points, and the value to be measured. |
| Data, legal, or compliance specialists | Advise on data suitability, obligations, retention, and other requirements relevant to the use case. |
These roles can be combined in a smaller organization, but the decisions themselves should still have named owners. NIST’s AI Risk Management Framework groups risk work into Govern, Map, Measure, and Manage. Those functions are meant to inform risk management across a system’s lifecycle, not to prescribe a universal four-step project checklist. NIST describes the framework in its AI RMF Core and offers supporting practices in its Playbook.

Choose a bounded use case before choosing a platform
Start with a specific task and a named group of users, not a broad goal such as “add AI to IT.” For each candidate, record:

Compare candidates by data sensitivity and residency, error impact, fit with existing identity and service-management systems, evaluation and monitoring options, support skills, vendor dependencies, and total value against the current process—including the cost of controls and a fallback. AWS’s security and governance guidance calls out factors such as intended audience, model use, data sensitivity, and application criticality; NIST’s AI RMF supports mapping risks to the context of a particular use.
Do not assume AI is suitable just because a task can be automated. NIST’s Manage guidance includes deciding whether a system achieves its intended purpose and whether deployment should proceed.

Set minimum safeguards before widening access
Agree on a baseline for the use case before inviting more users or connecting more data. Tailor its strictness to data sensitivity and operational criticality. At minimum, define:
- Approved use and data rules: which tasks are in scope, what information users may submit, and what must not be entered or exposed.
- Identity and permissions: who and what can access the model, application, data, and integrations, using least privilege and appropriately separated roles.
- Data and workload protection: protections for sensitive information and the application’s network, identity, and data flows.
- Inventory and visibility: which AI models and applications are approved, who owns them, and what logging and security monitoring apply.
- Escalation and containment: how users report suspected misuse or failure, who investigates, and who can suspend access or the workload.
Microsoft recommends coordinating security, technology, and business teams, protecting sensitive data, applying Zero Trust principles to AI identities and data flows, and extending monitoring to AI workloads in its secure AI guidance. AWS likewise recommends granular permissions, layered controls, assessments, documentation, and security awareness training in its security and governance guidance.

Train people for the work they will actually do
Training should prepare employees to use the system within its boundaries and prepare support teams to operate it when something goes wrong. Microsoft’s readiness guidance recommends role-specific skills development and change management; NIST’s Govern guidance includes workforce training and role clarity.
- AI users: teach approved uses, data-handling rules, how to recognize uncertain or unsuitable output, and how to report a problem.
- IT operators: cover deployment, permissions, logs, monitoring, dependencies, escalation, and recovery procedures for the workload.
- Security and risk personnel: prepare them to assess the use case, investigate incidents, and coordinate containment or remediation.
- Reviewers and managers: clarify when human review is required and who can correct, override, or suspend an AI-assisted process.
Schedule support coverage and escalation routes before a pilot begins. Microsoft identifies tailored training sessions or bootcamps as possible approaches, but the format should suit the team’s responsibilities and existing change practices.

Run a pilot with operational checks, not just a demo
Before the pilot, define what success looks like and what would cause the team to stop, pause, or remediate it. Evaluate the system on its intended task against a relevant manual or existing-system baseline. NIST’s Measure guidance emphasizes evaluation, monitoring, feedback, response quality, and comparison with baselines.
- Limit the initial scope. Specify the users, data, integrations, and tasks included; avoid enabling access beyond the group and workflow being evaluated.
- Test realistic conditions. Check output quality, access behavior, expected operational load, failure handling, and what happens when a connected service is slow or unavailable.
- Keep people in control where needed. Make review, appeal, correction, or override available at the points identified in the use-case assessment.
- Monitor and collect feedback. Review relevant logs and performance signals, invite user reports, and track incidents and changes that could affect the workload.
- Apply the decision criteria. Compare observed results with the baseline and agreed success and stop conditions; record whether to expand, remediate, pause, or retire the pilot.
NIST’s post-deployment guidance covers monitoring, user input, appeal and override, incident response, recovery, change management, and decommissioning. Neither this guidance nor the cited vendor material establishes one pilot duration or numerical pass threshold for every organization, so set criteria appropriate to the workload rather than borrowing an unsupported universal number.

Expand only when the service can be supported
Review pilot evidence with the workload owner, IT operations, and relevant risk stakeholders. Expansion is appropriate when the use case demonstrates business value, the risks are acceptable to the accountable owners, and support teams can operate it under expected conditions. AWS’s enterprise readiness guidance frames scaling as a combination of infrastructure, approved models, security and governance, and repeatable application patterns.
- Expand when results meet the agreed criteria and operational ownership, monitoring, and support are ready for the larger scope.
- Remediate when the use case is promising but evaluation, controls, training, or support reveal fixable gaps.
- Pause when the team cannot contain a failure, establish reliable oversight, or manage an operational dependency.
- Retire when the system does not achieve its intended purpose or its value does not justify its risks and operating burden.
As adoption grows, use monitoring results and incidents to update controls, training, and operating procedures. NIST describes AI RMF 1.0 as under revision and says its Playbook will be updated after that revision; consult the current Playbook when applying its guidance.
