To prepare for hosting a webinar, start by deciding who it is for and what attendees should leave knowing or doing. Then choose a format and platform, assign event roles, prepare the speakers and registration flow, rehearse the full session, test the setup, and plan how you will handle questions and follow up. This order keeps the event focused before you spend time on equipment or promotion.
1. Define the audience, purpose, and outcome
Be specific about who the webinar is meant to help and what they should learn or do by the end. A clear outcome guides the length, content, format, speaker choices, and promotion. It also gives you a useful way to evaluate the event afterward.

Choose measures that match your goal. Registrations and attendance can help assess reach; survey responses can indicate whether attendees found the session useful; and leads may matter for a business event. These are possible measures, not universal benchmarks for success.

3. Create a run of show and assign roles
A run of show is the team’s working schedule for the live event, not just the agenda attendees see. Record the sequence, speaker order, timing, transitions, breaks, and cues for slides or video. Include who is responsible for each item so people know when to act.
Depending on the size and complexity of the session, assign a host, producer, moderator, and technical support contact. One person may cover more than one role in a small webinar, but the presenter should not have to manage every technical and audience task while speaking.

Collect slide decks, speaker biographies, planned questions, video, and other assets before rehearsal. Share platform instructions ahead of time so the live session is not their first encounter with the controls.

Explain the webinar’s intended audience, value, date and time, and participation expectations in the event description. Keep the registration form focused on information you actually need. Set confirmation and reminder messages, and check that the instructions make it easy for registrants to join.

Schedule a separate dry run with every presenter and anyone else who has an active role. Practice the opening, speaker handoffs, screen sharing, media playback, Q&A, and closing—not only whether the meeting link works. Use the devices and connection people expect to use on event day.
Zoom recommends scheduling a dry run about one week before the event in its virtual-event guide. Treat that as a planning recommendation, not a requirement: choose timing that leaves room to fix problems and repeat the rehearsal if needed. Zoom also advises checking platform settings, sound, video, lighting, and backgrounds in its dry-run guidance.

7. Test audio, camera, lighting, and connectivity
Record a short test or ask someone else to confirm that your speech is clear and you are visible. Check the actual room and device setup you will use, including background noise and the view behind you. When practical, place light in front of you rather than behind you.
If built-in audio is unclear, try a headset with a microphone or a standalone microphone; these are options, not prerequisites. Test existing equipment before buying anything. A wired network connection may help when your room, device, and network support it, but no setup can guarantee a trouble-free connection. Zoom’s audio-testing guidance explains how to check sound before a session.

8. Confirm live settings and prepare a backup plan
Before attendees arrive, confirm host and presenter permissions, the correct slide deck, Q&A and chat settings, and whether recording or livestreaming is enabled as intended. Decide who will handle technical problems and how presenters should reach that person. Join early enough for speakers to check their connections and resolve last-minute issues.

9. Plan audience interaction and follow-up
Choose who will monitor and moderate questions, and when the host will pause for interaction. Decide in advance how you will handle questions that cannot be answered live, including who will respond and through what channel.
After the webinar, review the Q&A and follow up with attendees whose questions need an answer. Send slides, resources, or next steps when they are useful to the audience. Zoom’s webinar hosting guidance covers host responsibilities and audience interaction controls.
