How to Prepare for a Technology Conference or Festival

A practical guide to planning a technology conference or festival: confirm access rules, build a flexible agenda, arrange travel, and pack for a long day.

Prepare by choosing a few clear goals, confirming your event’s entry and pass rules, and building a realistic plan for travel, sessions, and breaks. Then pack for a long day on your feet. Details such as badge pickup, QR entry, bag limits, accessibility services, and what a pass includes vary by event, so use the organizer’s current attendee guide as the final word.

Start by deciding what you want from the event

A conference or festival is easier to navigate when you know what would make it worthwhile. Choose a primary goal—such as learning about a topic, meeting peers, finding vendors, recruiting, presenting, or exploring—and use it to decide what deserves your time.

If you are comparing events, consider whether the sessions and speakers fit your interests, whether the pass covers the programming you want, and whether the people and networking opportunities are relevant. Also weigh travel, accessibility, and total cost. Some events reserve workshops or other programming for particular pass types, so check inclusions before registering. An academic guide to attending a first conference also recommends choosing an event that aligns with your intellectual and professional goals: ASIS&T’s first-conference guide.

Confirm registration, entry, and pass details

Before you travel, open the organizer’s current attendee instructions and check the exact requirements for your event. Confirm your registration, the name on the ticket, what your pass includes, where and when to collect a badge, and what credential you need at entry. Depending on the event, that may mean photo ID, a ticket, or a QR code on your device. For example, CES requires government-issued photo ID for on-site badge pickup, while CEATEC’s 2026 visitor guide says attendees use a device displaying their entry QR code.

These are event-specific examples, not universal entry rules. Follow your event’s current guide: CES attendee guides, CEATEC visitor information, and PTC’26 attendee information.

Build an agenda that leaves room to adapt

Use the official event app or site to review the schedule, speakers, exhibitors, and venue map. If the app offers a personal schedule, attendee directory, or meeting planner, set it up before arrival rather than trying to learn it in a crowded venue. PTC’26’s app features included schedules, maps, an attendee directory, exhibitor information, and meeting planning.

  1. Choose priorities. Mark the sessions, exhibitors, demonstrations, or meetings most relevant to your goal.
  2. Allow transition time. Check where activities are located and leave time to move between rooms or halls, especially at a large venue.
  3. Schedule breaks and meals. Avoid filling every slot. A short pause can help you reset, review notes, or make space for a useful conversation.
  4. Keep a backup plan. Identify another session or activity in case a room fills, a schedule changes, or you decide to change direction.

Black Hat Asia’s attendee guidance suggests shaping each day around three anchor points. That can be a helpful planning technique, but it is not a rule for every event. Check the event’s own app and instructions for the tools and information it provides: Black Hat Asia attendee information.

Plan travel, arrival, and accommodations

Confirm your transport and lodging, then check the venue address, entrance, and route from your arrival point. Allow time for traffic or transit, security screening, and badge pickup. CES advises attendees to plan ahead and allow extra time; its venue-specific pickup options should not be assumed to exist at other events.

If you are travelling internationally, check entry and visa requirements with the relevant government authorities, and keep required travel documents available. ASIS&T’s attendee FAQ recommends keeping digital and paper copies of documents in separate locations. Its Thailand-specific advice about adapters and local voltage applies to that destination, not every international trip.

Contact the organizer early about accessibility services, dietary needs, or other accommodations. Each event has its own process and deadlines, so do not assume a service is available—or that a request made on arrival can be accommodated. See the event’s official attendee guidance, such as ASIS&T AM26’s FAQ and Internet2 Technology Exchange attendee information.

Pack for entry, connectivity, and walking

Use this checklist as a starting point, then compare it with your venue’s allowed-item and bag rules:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Entry: Required photo ID, ticket or QR credential, and badge-pickup information, as specified by the organizer.
  • Phone and power: A charged phone with the event app or QR credential ready. Consider a charger or portable power bank if permitted and useful.
  • Comfort: Comfortable walking shoes and a light layer for cool rooms or changing conditions. CEATEC’s 2026 visitor guide notes that its venue is large and involves a lot of walking.
  • Water: Bring a bottle only after checking venue rules; allowed containers and refill options differ.
  • Contact details: Business cards are optional. Some attendees exchange them, while others share a professional profile or contact details digitally.
  • International travel: Check the destination’s plug type and device voltage compatibility before choosing an adapter. A universal adapter is not necessary for every trip.

Pack light, and check restrictions on bag size and type. CES’s published attendee policy, for example, describes bag searches, allows two small bags under its specified dimensions, and disallows rolling bags. Those are CES rules, not a standard that applies to other conferences. Review the relevant pages: CES attendee guides, CEATEC visitor information, Black Hat Asia attendee information, and ASIS&T AM26’s FAQ.

Make networking intentional, not exhausting

Set a small number of useful meetings or introductions rather than trying to meet everyone. If the event app has attendee search or scheduling, use it to identify people and arrange a time. Leave gaps for conversations that happen naturally, and take breaks when you need them. Internet2’s attendee guidance encourages breaks, questions, introductions, and follow-up.

After the event, send any notes or introductions you promised, organize new contacts, and write down useful ideas while they are fresh. A brief post-event review also helps you identify what to prioritize—or change—at your next conference.
