How to Prepare Construction Financial Data for an AP Software Migration

Set a cutoff, clean and map construction records, prepare open AP, and reconcile ledger, vendor, job-cost, retainage, and commitment balances before normal posting resumes.

Prepare construction financial data for an AP migration by setting a dated cutoff, configuring the destination, cleaning and mapping the records that transactions depend on, and deciding exactly which open items and history will move. Then test the conversion and reconcile the general ledger, vendor payables, job costs, retainage, and any included commitments before normal posting resumes. Import fields and posting behavior vary by platform, so use the target system’s current instructions for the final procedure.

1. Set the conversion cutoff and decide what moves

Choose a conversion date, preferably at the end of a reporting period that can be closed and reported consistently in the old system. Record the date and agree on what the new platform must contain from day one.

Make an explicit decision for each category: current unpaid AP invoices, subcontract balances, retainage, job-cost history, and open commitments. For older transactions, choose among detailed conversion, summarized opening balances, or read-only access to the old system. These choices determine the detail you must prepare and reconcile; they are not automatic defaults. The Constructelligence construction migration guide likewise treats history depth as a conversion decision.

2. Configure the destination before loading transactions

Set up the target system’s conversion controls and required accounting records before importing invoices or balances. Trimble Spectrum’s AP conversion sequence, for example, begins with AP installation settings and processing dates, then covers vendor and subcontractor setup, use-tax codes, document tracking, invoice-approval routing, and invoice balances. It also distinguishes current invoice balances from prior subcontract invoice totals. This is an example for Spectrum, not a universal setup order; follow the equivalent current documentation for your destination.

Ask the implementation lead to identify which conversion settings affect ledger and job-cost posting, how issued checks and payments should be represented, and when normal posting settings should be restored. Get the agreed procedure in writing before loading data. See Trimble Spectrum’s AP data-conversion instructions.

3. Clean and map master data

Transactions depend on master records being valid and consistently identified. Build a reviewed crosswalk from source to destination for the chart of accounts, vendors and subcontractors, jobs, cost codes, and cost types. Include any other records required by the target’s import template.

  • Resolve duplicate and inactive records under a documented policy rather than carrying them over by accident.
  • Preserve source identifiers where the target supports them, or record the approved target IDs in the crosswalk.
  • Confirm valid values, required fields, and field lengths against the target’s current import template before finalizing files. Trimble ProContractor’s chart-of-accounts import field reference, for example, describes supplying an external ID for a source record to map links between imported records.
  • Test mappings between ERP job IDs and any project-management job or project IDs that supply commitments or cost data. Similar-looking IDs are not proof of a match.

A mapping error can shift costs between jobs while leaving company-wide totals apparently correct. Compare project-level results, not only aggregate balances; the Constructelligence guide highlights this risk.

4. Prepare unpaid AP and other open balances

Run an AP aging as of the cutoff. Prepare the open invoices with vendor, invoice identifier and date, due date, amount, credits, and any required job or subcontract coding. Reconcile the selected records to the AP control balance in the trial balance before loading them.

The ring binding also ensures that pages won't fall out, preventing the loss of vital information.

Determine whether the target requires open invoices as live bill records or accepts a summarized balance, and inspect how it handles system control accounts. The method is platform-specific: Xero’s conversion guidance, for example, says unpaid bills must be entered when importing balances for its AP system account. Do not apply that instruction to another product without checking its documentation.

For subcontracts, decide whether the target needs each current invoice or a lump sum for previously billed amounts. Spectrum’s conversion instructions distinguish those treatments and describe controls intended to prevent unintended job-cost and general-ledger posting. Confirm the equivalent treatment with the vendor or implementation lead for your chosen target.

5. Run a controlled conversion and reconcile the results

Run a trial load or otherwise controlled conversion before routine posting resumes. Compare old- and new-system reports at the levels that matter to the business:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Trial balance: compare balances by account.
  • AP: compare the aging by vendor and in total, and reconcile it to the AP control account.
  • Job cost: compare cost to date by job and by job and cost type, such as labor, material, subcontract, equipment, or other categories used by the company.
  • Retainage: compare amounts held and owed by job.
  • Commitments: if included in scope, compare open commitments and remaining amounts by subcontract or purchase order.

Document each variance as a resolved error or a known mapping or timing item. Do not assume that matching company totals prove the conversion is correct: costs can move between jobs and still add up to the same total. One worked example in the Constructelligence guide compares old job cost to date of $1,230,418.72 with new-system cost to date of $1,229,968.72, a $450.00 difference; it illustrates variance identification, not an industry benchmark.

Agree on acceptance criteria with the finance owner and implementation team. There is no universal tolerance established for every conversion; criteria should reflect the migration’s scope and documented timing or mapping differences.

6. Check conversion registers and restore normal posting

Use the destination’s conversion controls to avoid creating duplicate ledger or job-cost postings. In Spectrum’s example, the procedure includes temporarily clearing GL and job-cost posting options, printing and checking the AP Transaction Register, entering manual checks for converted invoices when applicable, reviewing the Manual Check Register and Aged Payables Report, and restoring normal posting settings. The exact switches and sequence are product-specific; do not copy them into another system without written confirmation from its implementation lead.

Before routine entry resumes, confirm that conversion reports have been reviewed, variances have an owner and disposition, AP agrees with the control account, and normal posting behavior is restored as approved. Use the target platform’s current documentation for its exact reports, controls, and import format.
