Plan a startup conference side event by deciding what attendees should get from it, then sizing the format and budget to that goal. A focused meetup, roundtable, or short panel can work for conversation, but low cost should not come at the expense of accessibility, safety, or clear logistics.
Start with a purpose, audience, and realistic size
Choose one main purpose: founder introductions, peer learning, investor-founder discussion, product demonstrations, or community building. Define who should attend, an approximate attendee range, and one or two outcomes you can assess afterward—for example, whether attendees made useful introductions or completed a discussion.

Let those choices determine the format. For conversation, a compact meetup or roundtable may need less equipment and staffing than a formal program; a short panel followed by informal networking is another option. These are practical choices, not a universal formula. Keep the agenda within the room’s confirmed capacity and avoid conflicts with the main conference schedule.

Build a complete budget before making promises

Estimate ticket income, donations, grants, or sponsorship conservatively. Decide in advance which optional items can be removed if income is lower than expected, and include a contingency for unexpected costs. The UK Cabinet Office advises: “Be realistic. It’s better to underestimate income and slightly overestimate costs.” Its event guidance is a planning resource, not a substitute for local rules.
For a more resilient estimate, sketch best-, likely-, and worst-case attendance or income assumptions and check when cash will actually be received against when bills are due. The New South Wales guidance discusses those methods in its own public-event context; its lead-time advice should not be treated as universal.

Compare venues by total cost and access
Ask the conference organizer whether side rooms are available. Other possibilities to investigate locally include coworking spaces, startup offices, university entrepreneurship centers, and community venues. Confirm prices and any in-kind arrangements directly; do not assume a space is free or available until the owner has agreed to the terms.
A low room fee can cost more overall if you must add equipment, staffing, food, transport, or cleaning. Compare venues on the following points before choosing:
Rank #3
- All-in-one PA system with five-channel powered mixer and full-range speaker
- 175 watts
- Seven inputs (three XLR _ combination, one stereo _, one stereo 1/8, stereo Bluetooth)
- Bluetooth connectivity
- 1/8 stereo line output with level control
- Capacity, seating arrangement, and a suitable space for check-in
- Exact access window, including setup and cleanup
- Distance from the conference, hotels, and public transit
- Accessible entrance, seating, and restrooms
- Included Wi-Fi and AV, and extra charges for equipment
- Food and drink rules, security, cancellation terms, and any required permissions
- For an outdoor event, an indoor weather backup
The Association of College and Research Libraries venue checklist asks, “Is the venue accessible to conference hotels?” Treat that as one practical question among several: a venue also needs a workable accessible route and facilities for the people you invite.
Coordinate the program with the conference and venue
Name one lead organizer to keep co-hosts, the venue, speakers, and the conference in sync. If the gathering is inside the conference venue, confirm whether attendees need conference credentials, whether there is a registration cutoff, what equipment the room includes, and whether the side event requires separate registration. Rules differ by conference; the UNFCCC side-event handbook, for example, describes access and badge restrictions for that conference rather than a general rule for startup events.
Rank #4
- All-in-one PA system with 10-channel powered mixer and full-range speakers
- 175 watts
- Seven inputs (three XLR ¼” combination, one stereo ¼”, one stereo 1/8”, stereo Bluetooth)

Check local requirements before committing to a format or spending money. Permits and operating rules for food, alcohol, sound, insurance, accessibility, taxes, and safety depend on the location and event details. Ask the venue and relevant local authorities what applies.

- Who the event is for and what attendees will do
- Date, time, location, transit information, and cost
- Accessibility information and a way to request accommodations
- A named contact person for questions
Share details early and confirm registration. The Province of British Columbia recommends providing event information at least four weeks in advance to support participant planning. This is operational guidance from that jurisdiction, not a universal legal deadline. An RSVP form can invite accommodation requests, but provide a contact route as well for people who prefer not to share those details in a form.
Assign check-in and day-of responsibilities
Even a small event benefits from named owners for venue contact, check-in, program timing, speaker coordination, and closeout. Avoid leaving one person to manage every issue while also hosting.
For check-in, a registration export or printed attendee list, pens, blank badges, and simple direction signs may be enough. Keep attendee information secure and limit access to people who need it. A small gathering does not need a badge printer just to identify attendees; handwritten names can do the job.

Close out and use what you learned
After the event, reconcile actual spending against the estimate, settle expenses, and thank attendees and contributors. Record attendance and brief feedback against the outcome you chose at the start. That record can show which costs supported the event’s purpose and what to change in a future budget.
