At capture time, record the date, location, subject, and any known creator or purpose in a caption linked to the image. Keep the original file and notes together, and decide separately how much location detail is appropriate to publish.
Check the location’s photography rules first
A poster being visible in public does not mean every property has the same photography policy. Check posted signs and the rules for the specific site before taking pictures. For example, the National Archives Museum encourages non-flash photography for personal use in its public areas unless posted otherwise, but prohibits flash, supplemental lighting, selfie sticks, and monopods under its facility policy: National Archives Museum policies. That is an institution-specific example, not a general rule for other locations.

Make both a context photograph and a detail photograph
1. Show where the poster is posted
Frame the poster together with enough of its surroundings to show its relationship to a wall, noticeboard, storefront, street, or nearby landmark. Avoid including identifiable passersby when they are not needed to establish context. This wider image helps explain the setting, but it may not make the poster’s text legible.
2. Record the poster’s visible details
Take a closer photograph in which the wording, imagery, dates, sponsor, and other visible details can be read. Do not assume the wide context image is sufficient if the text is too small. The two views answer different questions: where the poster appeared, and what it showed.

These are practical framing recommendations, not a prescribed camera standard. Library and Archives Canada emphasizes that description preserves information about documentary art’s purpose, creation, and use, while the Canadian Heritage Information Network explains that metadata gives digital images meaning, context, and organization.
Write a caption while the details are fresh
Give the image a stable item ID or filename, then record descriptive information in a separate caption sheet, index, or file. Library and Archives Canada recommends item-level captions that identify who created the record, when it was created, and why or for what program; its broader description guidance also calls for location, subject, creator, and copyright information. If you do not know a detail, mark it unknown rather than guessing.

Purpose/event: [known purpose, otherwise “unknown”]. Source/rights notes: [known copyright or permission information; otherwise “not established”].Keep the caption separate from the image file where practical, and make the item ID or filename the link between them. Library and Archives Canada specifically advises storing descriptive information separately rather than attaching captions or excessive details to documentary art records. The Canadian Heritage Information Network also explains that metadata helps organize images and supports access to their content and technical information.

Preserve the original and treat location as a privacy choice
Keep an unaltered original. If you crop, blur, or redact an image for sharing, save that version separately and identify it as an edited derivative; this is a recordkeeping practice that helps distinguish the source photograph from a modified copy.
For your working record, retain the exact location when it is useful for identifying the poster later. Before publishing, consider whether a less precise public location or delayed posting would still provide useful context while exposing less. A 2019 research preprint notes that a collection of photographs can make a person’s location inferable from visual content even without geotags. That is a privacy consideration, not evidence that every poster photograph identifies a person. Removing GPS metadata alone may not remove location clues visible in the images.

Do not write on or attach notes to a poster
Record the item ID and location in your separate notes rather than writing on the poster or attaching a label to it. U.S. National Archives guidance says not to write directly on archival records without an archivist’s concurrence and warns that pressure-sensitive adhesives can damage paper: National Archives guidance on archival materials. Treat fragile originals with particular care and follow the site’s instructions.

- Check the location’s posted rules and photography policy.
- Make one wider frame that establishes the poster’s surroundings.
- Make one closer frame that captures readable text and visible details.
- Assign a stable item ID and write a separate caption with date, location, subject, and known creator or purpose.
- Mark unknown details as unknown instead of inferring them.
- Keep the original separate from any cropped, blurred, or redacted copy.
- Choose the precision of the public location description with privacy in mind.
