Share a Project when people need its wider context; share a single chat when they need only that conversation. In every case, check account, workspace, and source-file permissions before relying on access.
Choose the right place for each part of the work
Projects group related chats, files, and instructions so ChatGPT can use that context across an ongoing effort such as a report, campaign, class, or recurring research task. Library has a different role: it helps you locate and reuse files uploaded to or created in ChatGPT. Adding a Library file to one conversation does not make it a Project-wide source.

Set up a Project for work that continues
- Create a Project for one coherent body of work, rather than combining unrelated tasks.
- Add project-specific instructions that state the goal, preferred output format, and constraints.
- Put reference files and related conversations in the Project so chats there can use the shared context.
- Bring in eligible existing conversations by dragging a chat onto the Project or using its chat menu’s “Move to project” action. A moved chat inherits the Project’s instructions and file context. Chats created with a GPT cannot be moved into a Project; if the option is unavailable, start a new chat in the Project or leave the chat where it is.
OpenAI describes Projects as a way to keep related chats, files, and instructions together. Controls, availability, and limits can vary by plan, rollout, and workspace settings, so consult the current Help Center and the options shown in your account for details.
Add documents according to where they live
Files saved in ChatGPT
To use a Library file in a conversation, open the composer and choose “Add from library.” Library also supports selecting a folder and asking ChatGPT to work across its files. If chats in a Project need a file as shared working context, add it directly to the Project instead of assuming that attaching it from Library makes it a Project source. OpenAI notes that deleting a chat does not delete a file that remains saved in Library.

Files and folders in Google Drive
For documents whose authoritative copies live in Drive, use a supported Drive connection or Project source link, subject to account access and workspace app settings. OpenAI’s Projects documentation says a Drive app added within a Project does not sync content in advance, though it can search and access relevant files. Its Library documentation describes an initial Google Drive experience covering My Drive and files or folders shared directly with you; Shared Drives are not included in that initial experience. These details and supported actions may change, so check the current Library documentation and the live interface.
For a folder-based task, select the folder in Library and ask ChatGPT to work across its contents. The documentation also describes adding Drive files through Library or the composer and using @mentions. ChatGPT may update a source file where direct editing is supported and authorized; use Drive for collaboration or editing functions not supported in ChatGPT.

Keep a clear source of truth
- Use a Library folder for saved or created files you want to find and reuse in ChatGPT.
- Use a connected Drive folder when the authoritative documents already live in Drive and the connected account has the necessary access.
- In a managed workspace, ask an administrator about required app actions if a connection or source is unavailable.
Share only the scope collaborators need
Share a Project for shared working context
A shared Project exposes its chats, files, and member information to Project members. OpenAI documents two permission levels: chat lets members see and interact with Project chats, files, and instructions without inviting others; edit also lets members update instructions and upload or remove files. Workspace settings may limit who can share. Shared Project members can branch conversations, but they do not synchronously co-edit the same chat thread.
OpenAI says shared Projects use Project-only memory, so they cannot access an individual member’s memories or context outside the Project. Information deliberately added to the Project can be used in responses visible to other members.

Share one chat for a narrower handoff
A shared chat is the narrower choice when someone needs only that conversation. A chat link from a private Project does not expose the other Project chats, files, instructions, or history.
Check document and page permissions before sharing
Project members can view and download files added to a shared Project. A ChatGPT Space page has its own view or edit permissions, while a separately stored file linked from that page still follows permissions on its original service. A link alone does not give page readers access to the original document. Conversely, text copied or summarized from an external file onto the page is visible to page readers, so review the content as well as access to the source.

Before inviting collaborators, verify who can access the ChatGPT Project or page, who can access each original external file, and whether copied material belongs in the shared space. A connected Drive source also depends on the connected account’s access and workspace app settings.

OpenAI says Library files remain saved until deleted manually. Deleted files are scheduled for permanent deletion within 30 days, subject to stated de-identification and legal or security exceptions; enterprise, education, and healthcare workspaces follow their workspace retention policies. File and chat use follows account settings and data controls. For individual users, content may be used to improve model performance if “Improve the model for everyone” is enabled. Check the current Library guidance and your workspace settings for the rules that apply to your account.

Deleting a Project permanently removes its chats, instructions, and files stored only in that Project, and OpenAI describes Project deletion as irreversible. Files separately saved in Library are not deleted with the Project.
