Confirm eligibility, recruit permitted nominators and referees, assemble the required narrative and records, then submit every file before the current cycle’s deadline. Engineering societies do not share a universal nomination process: an ASME Fellow nomination, for example, is materially different from an honorary fellowship route at the Royal Academy of Engineering.
1. Choose the exact honor before you write
“Engineering award” can mean a prize for one project, a medal for a technical contribution, a grade of professional membership, or recognition of a lifetime of service. “Honorary fellowship” may be a special distinction for a person who is not following the society’s ordinary fellowship route. Each has its own purpose, eligibility test, nomination form, supporting letters and review calendar.

Write down these details before contacting anyone:
- Issuing society or academy.
- Full name of the award, fellowship or honorary grade.
- Cycle or award year.
- The achievement or type of service the honor recognizes.
- Official nomination page, rules and submission portal.
- Current closing date and any earlier internal dates for collecting letters.
The American Society of Mechanical Engineers (ASME) explicitly advises that the first step is to become completely familiar with the requirements for the particular honor. Treat that as a practical rule, not a formality: a strong biography submitted to the wrong category is still an ineligible nomination.
2. Distinguish an ordinary fellowship from an honorary fellowship
Professional Fellow or elected fellowship
An ordinary fellowship grade normally recognizes sustained professional achievement by someone who meets defined membership, practice and service requirements. The evidence must show the nominee’s personal engineering contribution, not merely the scale or reputation of an employer.

Honorary fellowship or honorary membership
An honorary distinction usually follows a separate route and can recognize a different kind of contribution, such as broad public service, leadership, science, research or a lifetime influence on engineering. It may be available to people who would not qualify through the society’s normal membership progression. Never assume that “honorary” simply means an easier version of Fellow.
Why the distinction matters
Some honors interact with later recognition. ASME says its Honorary Membership recognizes a lifetime of service to engineering or related fields, including science, research and public service, and cautions that receiving it may preclude another ASME honor later. If the candidate has a long career but also a recent, clearly identifiable technical breakthrough, ask the awards office which route best fits before submitting either nomination.
3. Check eligibility line by line
Create an eligibility checklist from the live rules. Check membership class, years of practice, discipline, geography, career stage, employment status, previous honors and any restrictions on who may nominate. If a rule is ambiguous, ask the society’s awards office in writing; do not infer eligibility from a colleague’s successful nomination.
ASME Fellow example
ASME’s Fellow requirements illustrate how specific the checks can be. A candidate must be an ASME Member, have at least 10 years of active practice and at least 10 years of active corporate membership. Student membership time does not count. ASME also states that nominators, nominees and sponsors need current membership before supporting the nomination, so verify everyone’s status before the form is started.
ASME Honorary Membership example
ASME describes Honorary Membership as recognition for a lifetime of service and says candidates must be corporate members. Its listed nomination deadline is March 1. Confirm that requirement and date on the current instructions because society pages and cycles can change.
Royal Academy of Engineering examples
The Royal Academy of Engineering’s 2025 Fellowship prospectus describes Fellowship as a national honor for outstanding personal engineering achievement. The prospectus said the portal was open year-round with a September 1 cutoff for that year’s nominations and described the process as highly competitive. That is dated 2025 guidance, not a permanent calendar: check the prospectus for the cycle in which you will submit.

4. Build an evidence map, not a list of compliments
Selection panels need to see what the nominee personally did, why it mattered and how the result can be verified. “Visionary,” “respected” and “excellent leader” are conclusions, not evidence. Start a working matrix and fill one row for every criterion.

| Leadership | What decision or action was personally theirs? | Team, program or institution outcome | Named projects, dates, responsibilities and results | Narrative and referee letter |
| Professional service | Which board, standards group, educational or public role did they perform? | Who benefited and what was delivered | Appointment records, outputs, testimony from a direct observer | CV and letters |
| Long-term influence | How did the work persist beyond the original project? | Adoption, follow-on research, policy, training or field-wide practice | Independent citations, standards adoption or documented outcomes | Criterion section and references |
Separate the nominee’s contribution from the employer’s or team’s achievement. If a project won a major contract, identify the nominee’s technical decision, leadership action or invention that caused or enabled that result. Give dates, scale and outcomes where the rules permit them, and label estimates as estimates.
5. Gather the core nomination package
The exact package varies, but many engineering honors ask for four elements:
- A nomination narrative mapped to the criteria.
- A CV or professional record.
- Evidence of achievements, such as publications, patents, standards, deployments or service records.
- Reference or sponsor letters from people who know the work directly.
Write the narrative around the award’s purpose
Open with the central reason this person fits this honor. Then use a small number of dated examples to prove the case. For each example, state the problem, the nominee’s personal action, the outcome and why the outcome meets the criterion. Close by explaining the sustained significance or broader benefit only after the evidence is clear.
Do not turn the narrative into a chronological autobiography. Panels can read the CV for chronology; the nomination should make the decision easy by connecting achievements to the stated standard.

Prepare a consistent CV
ASME’s guidance recommends checking the nominee’s record and obtaining a résumé or CV that covers work history, patents, selected publications (no more than 10), contributions to the profession and other significant engineering achievements. Use the requested format and keep dates, job titles, project names and metrics identical across every document. A discrepancy invites questions about accuracy.

Format files exactly
Follow the portal’s word counts, page limits, naming conventions and upload rules. ASME’s reviewed instructions call for uploaded documents to be PDFs. Before pressing submit, open each PDF on another device, check that text is readable, confirm that no pages are missing and ensure that the portal shows every file as uploaded.
6. Choose nominators and supporters who can prove the case
Ask people who can give specific, first-hand examples rather than senior people who know only the nominee’s reputation. A useful supporter can explain what the nominee did, when they saw it, what changed and why the result is unusual.
Check permission, independence and conflicts
- Who is allowed to nominate: member, Fellow, officer, employer, committee or another category?
- How many sponsor or reference letters are required?
- Must supporters hold current membership?
- Is there a limit on letters from the nominee’s organization?
- Are judges, trustees or other governance participants barred from nominating?
- Is self-nomination prohibited?
- Do personal, supervisory or financial relationships create a conflict?
ASME’s general society-award guidance excludes certain people involved in judging or governance from nominating and bars self-nomination, except for a stated student-award exception. Those restrictions are not automatically identical for every ASME honor or every society, so read the rule for the selected award.
ASME Fellow letter structure
ASME’s Fellow process requires the nominator’s letter plus three sponsor letters—four letters in total. The nominator and two sponsors must be ASME Members or Fellows, and no more than one letter should come from the nominee’s organization. Confirm current membership before asking for signatures. Each letter should identify specific qualifying achievements and explain why the candidate merits Fellow status; general praise wastes the limited space.
Brief supporters effectively
Give each writer the criteria, deadline, word limit, nominee’s current CV and a short list of achievements they personally observed. Do not give everyone identical copy. Ask them to use their own evidence and disclose any relationship the form requires. Set an earlier internal deadline so a late letter does not jeopardize the submission.
7. Follow the correct route for each honor
ASME Fellow timeline
ASME lists quarterly Fellow deadlines of March 1, June 1, September 1 and December 1. Choose the first cycle that leaves enough time to verify membership, draft the case and obtain three sponsor letters. The dates are examples from ASME’s published instructions; confirm the live page before relying on them.

ASME Honorary Membership
ASME lists March 1 as the nomination deadline for Honorary Membership. The honor is intended for a lifetime body of service, and ASME warns that it may affect eligibility or suitability for another ASME honor later. Discuss that strategic choice with the awards office and the nominee before collecting letters.

Royal Academy of Engineering Fellowship
The Academy’s 2025 prospectus said the Fellowship portal accepted nominations throughout the year, with a September 1 cutoff for that year’s nominations. It also explains that one Fellow proposer largely writes the detailed citation, often working with the nominee, to describe the candidate’s principal personal engineering accomplishments. Because the process is described as highly competitive, make the citation selective and evidence-led rather than exhaustive.
Royal Academy of Engineering Honorary Fellowship
The Academy describes a separate route for Honorary Fellowship: a letter to the President signed by the proposing Academy Fellow. The letter should explain why the candidate merits consideration and what the candidate may offer the Academy. This is not the same portal-and-citation process as ordinary Fellowship; follow the current Honorary Fellowship instructions.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.8. Work backward from the deadline
Published deadlines can be annual, quarterly or changed for a particular cycle. Build an internal schedule at least several weeks earlier:
- Six to eight weeks out: confirm the honor, criteria, eligibility and membership status; ask the awards office any unresolved question.
- Five to seven weeks out: agree on the lead nominator, supporters and a realistic submission date.
- Four to six weeks out: collect the CV, achievement evidence and consent to use personal information.
- Three to four weeks out: complete the evidence map and draft the criterion-led narrative.
- Two to three weeks out: circulate the draft for factual checking; give referees their final brief and deadline.
- One week out: proof every field, convert files to the required format and obtain any required approvals.
- At least one business day out: upload, submit and save the confirmation email or portal receipt.
If a submission is incomplete, the institution may defer it to a later review cycle. If the nominee has been put forward before, check whether the new cycle requires updated material or permits reuse of prior letters.

| Decision point | Questions to answer |
|---|---|
| Purpose | Does the honor recognize one contribution, a career stage, professional service or lifetime achievement? |
| Eligibility | Are membership, practice years, discipline, location or other thresholds met? |
| Personal contribution | Can the case distinguish the nominee’s work from team, employer or institutional results? |
| Nomination authority | Who may nominate, and who must provide supporting letters? |
| Evidence package | What narrative, CV, citation, publications, patents and references are required? |
| Schedule | Is the cycle quarterly, annual, year-round with a cutoff, or invitation-only? |
| Conflicts and balance | Are there restrictions on judges, governance participants, employers or repeat nominations? |
| Interaction with other honors | Could accepting this recognition affect a later or alternative honor? |
Use the answers to select the honor that best represents the nominee’s work, not simply the one with the nearest deadline or shortest form.

10. Common failure modes and fixes
Submitting a generic biography
Symptom: The narrative lists jobs and awards but never states what the nominee personally changed. Fix: Rewrite each paragraph around one criterion and one verifiable example.
Confusing team success with individual achievement
Symptom: The case claims credit for a program without identifying the nominee’s decisions. Fix: Name the nominee’s role, technical judgment and measurable result; credit collaborators accurately.
Using praise instead of evidence
Symptom: Letters repeat “outstanding” without dates, actions or outcomes. Fix: Give writers prompts that require a concrete incident from direct knowledge.
Ignoring membership or letter-balance rules
Symptom: A supporter is not in the required membership class, or too many letters come from one organization. Fix: Verify status and organizational limits before drafting.
Relying on an old deadline
Symptom: A calendar copied from a previous year conflicts with the portal. Fix: Treat the live official page and current prospectus as authoritative and retain a dated copy of the instructions used.
Choosing honorary recognition without considering future options
Symptom: A lifetime honor is submitted for a candidate whose strongest case is a recent technical achievement. Fix: Ask whether the honorary designation could preclude or weaken a later honor and choose deliberately.
11. Final submission checklist
- The award or fellowship name and cycle are correct.
- The nominee meets every stated eligibility requirement.
- The narrative addresses each criterion with a specific personal achievement.
- Dates, titles, metrics and project names agree across the narrative, CV and letters.
- Every nominator and supporter is permitted, independent where required and in current membership status.
- The required number and balance of letters are present.
- Files meet word, page, format and size limits.
- All portal fields are complete, including consent and conflict declarations.
- The submission was made before the current deadline, with confirmation retained.
- The nominee and nominator know what happens next and how to respond if the society requests clarification.
The strongest nomination is not the longest. It is the one that matches the exact honor, proves the nominee’s personal contribution with credible evidence, uses eligible and independent supporters, and reaches the correct portal complete and on time.
