How to Move Your Personal Data to a Private AI Platform Safely

Move only the data an AI task needs. Check the destination’s data-use and deletion terms, secure access, test with a small sample, and verify before removing originals.

You can reduce the risk of moving personal data into an AI platform by sending only what a specific task needs, checking how the destination handles uploads, and testing the workflow before deleting your source files. “Private AI” can mean software running on your own device, a system you host, or a vendor-hosted service with privacy controls; those setups do not provide identical protections.

What “private AI” does—and does not—tell you

The label alone does not establish where your information goes, who can access it, how long it is retained, or whether it is used to train or improve models. A local installation may reduce transfers to an outside provider, but it still depends on the security of the device, backups, account access, and software updates. A hosted service may offer useful controls, but you need to check the provider’s commitments and your own settings.

Before moving anything, identify the exact system and feature you plan to use. Check the current privacy notice, terms, settings, and deletion controls for that use—not just a general statement about the company or product. The Federal Trade Commission (FTC) says AI companies should honor commitments about customer data and clearly disclose material practices in its January 2024 guidance.

How to move data with less risk

  1. Define the task and select the minimum data

Write down what you want the AI to do, then identify the specific files or details required. Do not transfer an entire archive by default. Exclude identity documents, passwords, financial records, health information, and other sensitive material unless the task genuinely requires it and you have assessed the destination for that use. If a redacted extract, summary, or synthetic example will work, use that instead of raw records.

    • Hardware encrypted drive
    • Simple to use pin access. RPM-5400
    • Administrator password feature
    • Bus powered
    • Utilizes Military Grade FIPS PUB 197 Validated Encryption Algorithm

The FTC’s guide to protecting personal information recommends identifying what information is held, who can access it, keeping only what is needed, and securely disposing of the rest. It is business-oriented guidance; these are sensible security practices, not a legal conclusion about every individual.

  2. Check how the destination handles data

Read the current privacy notice and terms, and inspect the relevant settings. Look specifically for:

    • Whether prompts, uploaded files, and generated outputs are stored—and for how long.
    • Whether any of them may be used to train or improve models, and whether the answer changes by feature or account type.
    • Whether personnel or subprocessors can review or process the data.
    • How deletion works, including stated limits or exceptions, and whether you can export your data.
    • Where data is stored or processed if location matters to you.

Confirm that a privacy commitment covers the exact feature, account, and jurisdiction you plan to use. Policies and product settings can change, so verify them immediately before migration. The FTC’s January 2024 article notes that AI is not exempt from existing privacy laws; applicable obligations still depend on the circumstances.

    • Utilizes Military Grade FIPS PUB 197 Validated Encryption Algorithm
    • Super fast USB 3.0 Connection - Data transfer speeds up to 10X faster than USB 2.0
    • Software Free Design - With no admin rights needed
    • Sealed from Physical Attacks by Tough Epoxy Coating
    • Brute Force Self Destruct Feature
  3. Secure accounts and access

Use a strong, unique password and multifactor authentication when available. Never put passwords, API keys, or other credentials into prompts or files. Limit access to the account, device, workspace, connected applications, and shared folders to people and systems that need it. For a hosted service, review the security settings and permissions rather than assuming the defaults fit sensitive data.

If you connect data through an API or other cloud application, do not hard-code passwords or secrets in source code. The FTC’s cloud-security guidance emphasizes that using a cloud service does not outsource all security responsibilities.

  4. Keep a protected recovery copy if you need one

Decide whether you need a separate backup before moving files. For sensitive information you retain, consider encryption at rest. If you use removable storage, enable its encryption and keep the recovery key separate from the device. Protect the backup like the original and keep it only as long as it is useful. A drive is not protected merely because it is external; encryption and safe recovery-key handling matter.

  5. Transfer a small sample and verify it

Start with a small, low-sensitivity sample. Confirm that the files arrived completely, can be read, and are associated with the intended account or workspace. Test the task you actually want to perform without adding unnecessary personal details to prompts. This incremental check helps limit exposure if the destination or workflow is not configured as expected.

  6. Clean up and review ongoing access

Once you have verified the move and workflow, remove temporary exports and duplicate copies you no longer need. Check sharing links, connected apps, API tokens, and workspace permissions; revoke access that is no longer necessary. Review backups and trash folders as well. Deleting a file from one screen does not prove every provider copy has been erased, so use the platform’s stated deletion process and understand its limits.

How to compare private AI options

Compare the specific service or installation you intend to use, not just its “private” label. These questions help distinguish the protections and trade-offs that matter for your data:

What to compare What to check
Data use Whether prompts, uploads, or outputs may be used for training or improvement; who may review them; and whether terms differ across features or account types.
Retention and control Retention defaults, deletion controls and exceptions, and whether you can export your information.
Access security Multifactor authentication, permissions, audit visibility, and account-recovery controls.
Deployment and data location Whether the system is local, self-hosted, or vendor-hosted; where data is stored or processed; and whether third parties are involved.
Your responsibilities Which protections you must configure and maintain, and which the provider manages.
Fit for the data Whether the task can be done with redacted, summarized, or synthetic information instead of raw personal records.

For broader risk-management context, NIST’s AI Risk Management Framework is voluntary guidance, not a privacy certification or proof that a particular product protects your data. NIST says version 1.0 is being revised; its FAQ, updated August 13, 2026, describes the framework’s purpose as helping developers, users, and evaluators manage AI risks.

What to do if a transfer or deletion does not go as planned

  • Files are missing or unreadable: Keep the original intact, check the selected account or workspace, and resolve the transfer problem before relying on the AI copy.
  • You discover an unexpected data-use setting: Stop adding files, review the provider’s current controls and terms, and remove data through the stated deletion process if you no longer want it there.
  • Access is broader than intended: Revoke unnecessary sharing links, connected apps, tokens, or user permissions, then review who can still reach the source and destination.
  • You need to recover data: Use the separate backup if you made one, and handle its encryption recovery key securely.

This is general security guidance, not legal advice. The rules that apply depend on your jurisdiction, the type of data, and whether you are acting personally or for an organization.
