OneDrive is convenient when your upload fits the account’s available storage and your internet connection is reliable. An external SSD or hard drive is better for a large collection or an offline move. Photos stored only in iCloud, Mac applications, passwords, and app databases need separate handling; a normal file copy does not recreate them automatically.
Keep the MacBook Pro powered on and unchanged until the Windows laptop contains the files you need and you have checked representative documents, photos, videos, and project folders.

1. Make an inventory before copying anything
Do not begin by dragging a single folder and assuming it represents the whole Mac. On the MacBook Pro, list the data you actually need and note where each item lives. At minimum, inspect:

- Desktop
- Documents
- Downloads
- Pictures
- Movies
- Music
- Any work, school, tax, development, design, or other project folders stored elsewhere
Open the folders that matter and look for cloud placeholders, optimized photos, and files that are still downloading. A file name visible in Finder does not by itself prove that a complete local copy is present. Record any library or application data that will require an export from the application rather than a drag-and-drop copy.

Check the total size of the material you intend to move. For OneDrive, compare that size with the free space available in the account and leave room for files you may discover later. Microsoft says a Microsoft account includes 5 GB of free OneDrive storage on its cited support page; allowances and plan terms can change, so check the account’s current capacity before starting. 2. Choose the transfer route
Both supported routes work when used carefully. The right choice depends on data volume, internet access, and whether you want an offline copy.

There is no source-backed universal winner for speed or cost. Transfer time depends on the number and size of files; internet reliability and available cloud capacity favor one route for some readers, while drive capacity and purchase cost favor the other. Microsoft describes both approaches in its overview of moving files to a new Windows PC.

Prepare the account and folders
- On the MacBook Pro, sign in to the OneDrive account you intend to use on the Windows laptop.
- Confirm the account’s available storage. Do not start an upload that cannot contain the collection.
- Gather the folders from your inventory. You can use OneDrive’s Mac synchronization process for the folders you choose; Microsoft’s instructions are at Sync your computer’s files and folders with OneDrive.
- Allow uploads to finish. A cloud icon or a visible file name is not enough evidence that every file has uploaded; wait for the service to show completion and resolve any errors.
Confirm the cloud copy before setting up Windows
Open OneDrive on the web and browse the folders you expected to transfer. Confirm that the folder structure is present and that important files can be downloaded or previewed. This web check is a deliberate checkpoint: it distinguishes files that reached the account from files that only existed on the Mac.
If a folder or file is missing, return to the Mac, correct the upload problem, and check the web view again. Do not erase the Mac or treat the Windows setup as complete while the web copy is incomplete. Microsoft’s step-by-step guidance for this route is at Move files to a new Windows PC using OneDrive.

Access the files on Windows
- On the Windows laptop, sign in to the same Microsoft account in OneDrive.
- Let the OneDrive folders appear and finish syncing before judging the transfer.
- Open several files from different folders, including at least one document, image, video, and project file if those types are part of your inventory.
- Confirm that the files you need offline are actually downloaded to the laptop rather than represented only by online placeholders. Keep the cloud copy until your local checks are complete.
OneDrive is a file-transfer route, not a guarantee that Mac applications, their preferences, or their proprietary libraries will run on Windows. Handle those items separately.
4. Move files with an external drive
Choose and test the hardware
Select an external SSD or hard drive whose usable capacity exceeds the data you plan to copy. Check the connector on the MacBook Pro and the Windows laptop; an adapter may be required. Before copying, verify that each computer can read the drive. If the drive contains the only copy of important data, do not reformat it merely to make the transfer convenient.
The cited Windows instructions explain the copy process but do not establish one universal file-system format for every Mac-to-Windows combination. The correct choice depends on the computers’ operating-system versions, the drive’s existing contents, and how you intend to use it. Confirm compatibility for your specific setup before changing a drive’s format. Microsoft’s external-storage procedure is at Move your files to a new Windows PC using an external storage device.
Copy from the Mac
- Connect the tested drive to the MacBook Pro.
- Create a clearly named top-level folder for this move, if doing so will make the destination easier to audit.
- Copy every folder in your inventory to the drive. Copy rather than move, so the Mac remains an intact source.
- Wait for the copy to finish and eject the drive properly.
- If the drive reports an error or the Mac cannot read it consistently, stop and solve that problem before deleting anything from the Mac.
Copy to Windows and inspect
- Connect the drive to the Windows laptop and confirm that it is readable.
- Create or select the intended destinations, such as Documents, Pictures, Videos, Music, and your project folders.
- Copy the transferred folders from the drive to those destinations. Keep the external-drive copy until the Windows copy has been checked.
- Open representative files from each important folder. Check that documents render, images display at their expected quality, videos play, and project folders contain their expected subfolders.
- Compare your original inventory with the Windows destinations. Missing folders, zero-byte files, duplicate folder levels, and files that will not open are reasons to return to the Mac and copy again.
Microsoft notes that the time required varies with the number and size of files; do not rely on a generic transfer-time estimate.
5. Treat iCloud Photos as a separate migration
Photos are often the part of a Mac move that creates the most misleading sense of completeness. iCloud Photos can leave a device with optimized or cloud-only originals, so a local folder inspection may not represent the entire library.

Apple’s device-import guidance says:
“If you have iCloud Photos turned on, you must download the original, full resolution versions of your photos to your iPhone or iPad before you import to your PC.”

This instruction applies to Apple’s iPhone/iPad-to-PC import route; it is not a blanket statement about every way of downloading an iCloud Photos library from a Mac. Do not assume that importing a phone or iPad, or copying a Mac folder, is a complete Photos-library migration.
For iCloud data, first determine whether the originals are downloaded locally or remain in the cloud. Then use an appropriate Windows-access method or download/export process and verify that the resulting files open on Windows. Apple’s guidance for making copies of information stored in iCloud is at Archive or make copies of the information you’re storing in iCloud. Preserve an original copy before reorganizing, deleting, or deduplicating a cloud library.
6. Export app-specific data, passwords, and settings separately
A successful file copy does not migrate a Mac application. Windows software may require a separate installation, license activation, library conversion, or import. The same boundary applies to application preferences, mail archives, browser profiles, password stores, calendars, and databases. The available official guidance does not establish automatic Windows equivalents for all of these items.
For each important application, look for its own documented export and import function. Export data while the Mac application still works, save the export in your OneDrive transfer folder or on the external drive, and test the import on Windows. Keep the original application data until the Windows version has opened it successfully. Passwords and sign-in credentials deserve particular care: a file transfer will not recreate them, so use the supported export or account-recovery method for the specific password manager, browser, or service.

Do not delete the Mac application’s data just because a similarly named Windows program is installed. Similar names do not prove compatibility, and some libraries can be damaged by opening them in an incompatible version.

Use a written checklist rather than memory. Mark each item only after checking the actual Windows copy.
- Every inventoried top-level folder exists in the intended Windows location.
- Several files from each important folder open without an error.
- Photos display at the expected resolution and videos play through representative sections.
- Project folders contain their required subfolders and linked assets.
- Cloud-only or optimized photo originals have been downloaded or otherwise made available through the chosen Windows method.
- Application exports, mail archives, browser data, password data, and other special items have been imported and tested where needed.
- The external-drive copy or verified cloud copy still exists as a second copy.
Keep the MacBook Pro, the external drive, and the cloud copy available until this checklist is complete. Only then should you consider a factory reset, sale, donation, or deletion of the source data.
8. Do not use Windows’ PC-to-PC transfer feature for a Mac source
Microsoft’s feature named “Transfer your files and settings to a new Windows PC” is not a MacBook migration utility. Microsoft specifies a previous Windows 10 or Windows 11 PC and a new Windows 11 PC version 2024 or later. It excludes installed applications, saved passwords and sign-in credentials, and OneDrive files. Its requirements are documented at Transfer your files and settings to a new Windows PC.
Use OneDrive or external storage for the Mac-to-Windows file copy instead, then handle applications and specialized data with their own export procedures. Also check the Windows edition and support status of the laptop you are setting up: Microsoft says Windows 10 support ended on October 14, 2025. 9. Troubleshoot the common failure points
A folder is missing from OneDrive
Check the OneDrive web view first. If it is absent there, the upload did not complete or the folder was not selected. Return to the Mac, resolve the upload error, and verify the web copy again before signing into Windows.
The external drive appears on one computer but not the other
Check the connector, adapter, power, and whether the drive is readable without reformatting. Do not reformat a drive that holds the only copy. Because no single format is established for every Mac-to-Windows setup, confirm the appropriate format for your exact machines and existing data before making a change.
Photos are present but originals are missing
Determine whether the Mac or the source device held optimized versions while originals remained in iCloud. Download or export the originals through an appropriate Apple-supported method, then open sample files on Windows. The iPhone/iPad import rule quoted above applies specifically to that device route.

Treat the files as application data, not as a portable installation. Install a compatible Windows application and follow its documented import or conversion process. If no supported import exists, preserve the Mac and its application until you have another way to access the data.
