A school can switch students from Chromebooks to iPads without losing files by locating where the work is stored, migrating or copying Chromebook-only files to a school-approved destination, and verifying the copies before wiping any Chromebook. Files synced to Google Drive can be accessed from other devices; files stored only on a Chromebook—such as items in Downloads—need separate attention. Apple School Manager enrollment and Google account sign-in help prepare iPads, but neither transfers student files.
Where student files may be stored
Start by identifying how students actually save work. Files may be in Google Drive, another cloud service, a classroom app, or local Chromebook storage such as Downloads. Do not assume a file is backed up just because the student used a school Google account.

Google describes Drive syncing as movement between Chromebook storage and cloud Drive; synced files are available on the user’s other devices. Google’s Chromebook help explains Drive syncing. Local-only files do not become available on an iPad merely because the student signs in with the same account.
Choose a school-controlled destination
If the district will continue using Google Workspace, Google documents an administrator setting that can migrate existing local Chromebook files to Google Drive. Google recommends Drive for that setting. The ChromeOS administrator guide describes the local-storage migration setting. Availability and configuration depend on the school’s Google Admin setup and administrator privileges.

Before choosing Drive or another approved destination, decide who owns the files and who should retain access—especially after a student leaves the district. Consider file types and classroom app compatibility on managed iPads, storage capacity and network limits, privacy and retention controls, and how local-only files will be found and handled. The documented Drive workflow does not establish one universal destination for every school.
Moving school files to a district-controlled destination is different from letting a graduating student copy selected content to a personal account. Google’s Content transfer workflow is a separate, permission-dependent process; Google says a transfer may take up to a week. Google explains Content transfer here.

Move and verify files before resetting Chromebooks
- Inventory accounts and save locations. Ask teachers and technology staff to check Drive, Downloads, browser downloads, camera files, and files stored inside particular apps. Confirm which Google accounts remain school-managed and how students will retain access to their work.
- Configure the migration policy. Have an authorized Google Workspace administrator review the Admin console setting for migrating existing local files to Drive and choose a district-approved destination and policy. Do not treat enabling the setting as proof that all files have moved.
- Pilot representative cases. Test accounts from different grades, devices, and file types. Google cautions that local-file migration depends on available cloud storage and network connectivity and is not guaranteed to finish with every local file moved. Google documents these migration limitations.
- Check the copies and leftovers. Confirm files appear in the destination, open correctly, retain useful names and folder organization, and are accessible to the intended student and teacher accounts. Inspect Chromebook-local folders for anything still present and arrange a recovery or manual-copy path before reset.
- Get sign-off before wiping. Ask the data owner or migration lead to confirm cloud copies and remaining local files have been reviewed. Google states that wiping a ChromeOS device removes unsynced on-device data, including examples such as photos and downloaded files. See Google’s Chromebook reset guidance.
Prepare managed iPads separately from file migration
Apple School Manager and a mobile device management (MDM) service help a school assign and enroll organization devices; they are deployment tools, not file-copy tools. Apple says administrators can assign devices to an MDM service and automatically enroll qualifying organization-purchased devices. Apple School Manager deployment information is available here.

Apple also documents Google Workspace federation, which can let students use their Google Workspace usernames and passwords to sign in to assigned Apple devices and Shared iPad. Apple says federation does not write data back to Google Workspace; it is an identity and sign-in arrangement, not a transfer of files. The guidance specifies iPadOS 15.5 or later and domain and account prerequisites, so administrators should verify current requirements during implementation. Apple’s federation guide lists the requirements.

Coordinate the MDM, identity, and Google Workspace administrators. On the exact managed iPad configuration planned for deployment, test Drive access, required classroom apps, permissions, offline use, and account sign-out behavior. Treat these checks as distinct from verifying that Chromebook files were copied.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. When is it safe to retire the Chromebooks?
Retire, reassign, or wipe a Chromebook only after the migration lead has verified destination copies and reviewed remaining device-local files. If something is missing, use the planned recovery or manual-copy route before reset; a wipe removes unsynced local data. Then handle the devices through the district’s normal asset process.
