To migrate ticket and customer data safely, first decide what must remain usable, then inventory and map the records, choose an import route, test a representative sample, reconcile the results, and control the cutover. The safest method depends on both platforms: exports and imports may omit fields, change relationships, or behave differently from the source system. Treat customer notifications, ticket visibility, attachments, and record counts as migration requirements—not details to check after launch.
This guide focuses on documented examples for Zendesk, Intercom, and Freshdesk. Product limits and account eligibility can change; check the current documentation and settings for the specific accounts you are moving.

What should you decide before moving any records?
Start by writing down why the data is moving and what people need to do with it afterward. A migration for compliance retention may need a reliable archive, while a move intended to preserve support context may need ticket-level detail, comments, authorship, and attachments inside the new help desk. Reporting continuity is another distinct goal: do not assume that historical reports or metrics transfer just because tickets do.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Separate active work from history. Identify open tickets that must continue to be routed and answered, and older tickets kept mainly for reference or retention.
- Choose a history level. Decide whether agents need each prior message recreated or whether a simpler historical record is sufficient. Intercom says message-by-message recreation can increase API calls by 10–100 times in its described migration context; that is a platform-specific estimate, not a general migration formula.
- Set retention and access requirements. Confirm which data must be retained, who may access it, and how long the old system or a separate archive must remain available.
- Define acceptance checks. Specify which record totals, relationships, fields, dates, attachments, visibility settings, and open-ticket behaviors must be verified before the new system becomes authoritative.
Do not treat the migration as a complete backup or a reporting transfer unless the source and destination documentation explicitly supports that outcome.

Which records and configuration need an inventory?
Build an inventory of the data that exists in the source and the behavior it needs in the destination. Include both the records themselves and the configuration that makes them useful.
- People and organizations: customers, users, leads, companies, organizations, and links between people and organizations. Flag deleted, inactive, suspended, duplicate, or identifier-poor records.
- Tickets and conversations: open and closed records, types, statuses, priorities, tags, custom fields, and the relationship to a customer or requester.
- Interaction history: public replies, private notes, authors, timestamps, time zones, attachments, and inline images.
- Operational configuration: groups, views, macros, triggers, automations, service-level agreements, schedules, and ticket forms. Zendesk’s account-migration guidance treats many configuration objects as separate migration work, rather than as ticket data.
- Volume and age: approximate record counts, oldest and newest dates, and whether the migration includes every record or a defined subset.
Record what is excluded as well as what is included. This makes later reconciliation meaningful and helps prevent a partial export from being mistaken for a complete move.
How do you map source fields to the new help desk?
Create a source-to-destination mapping before importing. For each field or relationship, document the source value, destination field, transformation or default, treatment of blank or invalid values, and the check that will confirm the result.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →| Mapping area | Decisions to make | Validation check |
|---|---|---|
| Identity | Choose a stable way to match each customer or user, such as a source ID, email address, or a documented crosswalk between systems. | Open sample tickets and confirm that each is attached to the intended person. |
| Organizations | Map company or organization records and decide how to handle missing or conflicting relationships. | Compare organization links on representative customer records. |
| Ticket type and state | Translate source statuses and types into destination values; define what happens to states with no direct equivalent. | Compare counts by mapped status and inspect exceptions. |
| Fields and tags | Match custom-field types and allowed values; define defaults and treatment of unsupported values or tags. | Check field values on records from each important category. |
| Comments and dates | Preserve public-versus-private visibility, authorship, timestamps, and time-zone interpretation where supported. | Review a ticket with both public and private entries and compare its displayed timeline. |
| Identifiers | Determine whether the destination assigns new IDs and maintain a source-to-destination crosswalk if staff need to find old records. | Use the crosswalk to locate sample records in both systems. |
Representation matters as much as field names. Intercom distinguishes customer-facing support interactions, which may be represented as Conversations, from structured, trackable requests such as bugs or back-office tasks, which may be represented as Tickets. Decide which model suits the work before building a large migration around it.

Which migration route fits the project?
Compare the actual coverage of the available routes. A native importer can reduce custom development, but it may impose scope or field limits. An API-based process offers more control over transformations, but requires technical capacity and thorough validation. Specialist services can be appropriate when the project is large or complex, or the team does not have the needed engineering resources.
| Route | Best fit | Documented example or trade-off |
|---|---|---|
| Native importer | A migration that fits the destination’s supported records, fields, volume, and eligibility rules. | Intercom documents a direct Zendesk importer for fewer than 150,000 tickets, with specific restrictions described below. The limit applies to that importer, not to migrations generally. |
| Vendor API or scripted export-transform-import | Projects needing field-level control, custom transformations, repeatability, or a route beyond a native importer’s scope. | Zendesk directs migrations from other systems to its APIs and import resources. API work still needs a field audit and careful handling of rate limits, errors, and retries. |
| Migration partner or vendor professional services | Large or complicated projects, or teams without sufficient internal technical resources. | Zendesk describes partner and paid professional-services options for account migrations and recommends professional services for large or complex migrations. Suitability depends on the project and service terms. |
| Separate archive plus limited active-data move | Cases where older records need retention or reference access but do not all need to become operational tickets in the new help desk. | This is a scope decision, not a particular vendor feature. Confirm that the archive meets the organization’s access, retention, and protection requirements. |
How do you run the migration step by step?
- Confirm access and export scope. Check that the source account permits the needed export or API access and that the destination supports the intended import. Review the exact fields and record types available through the chosen path; do not infer completeness from the file extension or a successful job status.
- Export a representative sample. Include different ticket states, customer and organization relationships, custom fields, public replies, private notes, dates, and attachments. For a large project, test enough variety to expose mapping problems, not just enough records to prove that a file can be uploaded.
- Transform and stage the sample. Apply the mapping table, preserve a source-to-destination crosswalk, and isolate records that cannot be mapped cleanly. Do not silently discard invalid values or missing relationships.
- Import into a controlled destination environment. Use a test workspace or other safely controlled setup where available. Check email and messaging behavior before allowing the import to reach real customers; a migration should not accidentally send messages that look like live replies.
- Reconcile the results. Compare source and destination counts within the agreed scope. Inspect representative records for identity, organization relationships, status, fields, authorship, dates, comment visibility, attachments, and ordering. Review importer history, error messages, and failed-row reports, then correct and rerun the affected work where the tool permits it.
- Repeat the pilot after fixing defects. A corrected mapping needs a fresh validation run. Confirm that retries do not create unwanted duplicates or overwrite newer destination data.
- Approve the production plan. Name the source freeze time or final incremental-sync method, owners for each validation check, and the condition for stopping or rolling back the cutover. Keep the old system or an independent archive accessible until reconciliation and business-owner sign-off are complete.
- Cut over deliberately. Decide how open tickets, assignment and routing, automations, and outbound notifications will work in the new system. Communicate the support team’s operating change and monitor the first live work against the agreed checks.
What do Zendesk’s export and import rules change?
Exporting from Zendesk
Zendesk documents JSON, CSV, and XML account exports for tickets, users, or organizations. Export tools must be enabled, and the user-interface export tools are not available on Team plans; Zendesk says REST API exports are available across its plans. Export duration varies with account activity and date range, and the help article says it can range from minutes to a day or more.
Formats are not interchangeable in completeness. Zendesk says XML export omits specified custom organization, user, and ticket fields, along with ticket metadata. Full XML and user XML exports are unavailable for accounts above 200,000 tickets. Confirm the account’s entitlements and the exact export format before treating an export as a complete record of the source.
Importing tickets into Zendesk
Zendesk directs migrations from other systems to its APIs and import resources. Its guidance says imported tickets do not include First reply time or First resolution time metrics, and imported tickets do not run triggers. The Ticket Import API supports ticket data and comments, including timestamps and private comments in its documented examples. Zendesk’s developer documentation suggests considering a particular import option for historical datasets of 750,000 or more tickets to avoid affecting active-ticket performance; this is vendor-specific guidance, not a universal threshold.

Migrating between Zendesk accounts
For account-to-account moves, Zendesk describes self-service API migration, partner services, and paid professional services. IDs must be recreated in the destination; they cannot simply be copied across accounts. Zendesk also says reporting data is not technically migrated between accounts, so plan separately for reporting needs.
What should you know about Intercom’s Zendesk importer?
Intercom describes a direct Zendesk import for users, companies, or tickets, including attributes and ticket attachments. The documented tool is intended for migrations of fewer than 150,000 tickets and may not be available to every account. Its constraints affect scope and data shape:
- All tickets must be imported rather than a selected subset, and ticket tags are not imported.
- Deleted, inactive, and suspended users are not migrated. Tickets or comments from those users map to the selected default user.
- The documented flow supports up to 10 attachments and up to 10 inline images per ticket.
- Zendesk statuses are mapped to Intercom states, so inspect the mapping rather than assuming identical status names or behavior.
- Changes made in Zendesk after an import starts are not included in that run. Intercom allows another import subject to its documented overwrite behavior.
Intercom says email notifications are suspended automatically during migration, but warns that some ticket emails may still be sent. It recommends disabling Ticket Updates across the workspace to avoid this risk. Its documentation also describes temporary subject and history behavior for imported tickets until the channel is set to email. Check current workspace settings and test these behaviors before a production run.

What does Freshdesk’s CSV guidance cover?
Freshdesk’s documented CSV import/export guidance covers customer and company information; it is not evidence that ticket histories transfer through the same process. For those customer and company imports, custom fields must exist in Freshdesk first, dropdown values must match the configured choices, and imported date fields must use YYYY-MM-DD. Freshdesk says failed rows are reported by email with reasons. Customer exports can include selected fields, including custom fields, and company information has a separate export path.

Buzzer can be set to mute to allow for a quiet operation.(Note: It does not work with square POS / Divalto / DoorDash / Lightspeed POS system)
Use these rules when moving customer or company records through the documented CSV workflow, but confirm a separate, supported route for ticket histories, comments, and attachments.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How should you validate and control customer communications?
Validate data quality and customer-facing behavior separately. A record can be present but attached to the wrong customer, have a private note exposed incorrectly, or trigger an unintended email. A migration that finishes without errors is not proof that the destination matches the agreed scope.
- Counts: compare totals by record type and, where useful, by status or time period. Explain intentional exclusions and failed records.
- Relationships: verify customer, company or organization, requester, and ticket links on representative and exception records.
- Content: inspect field values, comment order, authorship, timestamps, visibility, attachments, and inline images against the source.
- Failures: examine import logs and failed-row reasons; correct the cause and rerun only with an understanding of duplicate and overwrite behavior.
- Notifications: test the destination’s email and messaging settings in a controlled way. Confirm what an import, status change, or cutover action can send before processing live data.
- Change window: freeze source changes or schedule a final incremental sync. An import reflects the data available when its run begins unless the tool provides a later synchronization path.
Document the reconciliation, unresolved exceptions, and approval to cut over. Retain the old system or an independent archive until the responsible business owner accepts the result.

How do you choose the right level of migration?
Use the least complex route that preserves the data the business genuinely needs, while meeting retention and operational requirements. A useful decision sequence is:

- CCD Image Scanning Technology - NetumScan 1D barcode reader is equiped with advanced CCD sensor, which can quick capture 1D codes from paper and screen, including CODE128, UPC/EAN Add on 2 or 5, that can read even deformed barcodes, i.e. smudged, damaged, fuzzy, reflective barcodes, etc. Reading faster and more accurate than laser scanner.
- Sturdy Anti-shock and Durable Design - Ergonomic design with high-quality ABS making it can support withstand repeated drops from 2m high to the concrete ground, durable to use. Durable plastic material guarantees long service life.
- Three scanning mode - Key trigger mode + Auto-induction mode + Continuous Mode. There is no need to pull the trigger in auto-sensing mode and continuous scanning. Sometimes the self-sensing scanning function is in the inactive stage, please contact us and be at your service at any time.
- Supported 1D Bar Code - 1D Decode Capability: UPC-A, UPC-E, EAN-8, EAN-13, ISSN, ISBN, Code 128, GS1-128, Code39, Code93,Code32, Code11, UCC/EAN128, Interleaved 2 of 5, Industrial 2 of 5, Codabar(NW-7), MSI, Plessey, RSS, China Post, etc.
- Widely Use Range - This NetumScan Handheld USB barcode scanner can be used in supermarkets, convenience stores, warehouse, library, bookstore, drugstore, retail shop for file management, inventory tracking and POS(point of sale), etc.
- If history is primarily for reference or compliance, determine whether an accessible, protected archive satisfies the requirement instead of recreating every interaction as a live ticket.
- If agents need detailed prior conversations in the new workspace, test comment-level history, authorship, visibility, timestamps, and attachments—not just ticket counts.
- If the native import fits the scope, use it only after checking its supported fields, volume, eligibility, overwrite behavior, and notification behavior.
- If important data is unsupported or requires transformation, evaluate an API-based process with a testable mapping, error handling, and source-to-destination crosswalk.
- If the volume, complexity, or internal capacity makes a controlled migration difficult, consider the vendor’s professional services or an experienced migration partner, with scope and data-protection terms agreed in advance.
Platform capabilities, plan entitlements, importer limits, and notification defaults may change. Verify the current behavior and the applicable data-protection terms for both systems before moving real customer data.
Frequently Asked Questions
What if a customer record has no email address?
Do not match it to another person using a name alone. Preserve a stable source identifier or create a documented crosswalk, then confirm that the destination’s import route can use that identifier. Intercom’s documented migration approach requires a user ID or email address as a minimum identifier for its conversations and tickets; records that do not meet the destination’s requirements need an explicit exception plan.
Can I move only some tickets with Intercom’s direct Zendesk importer?
No. Intercom’s documented importer requires importing all tickets rather than selecting a subset. If the project requires a partial ticket set, that particular importer does not fit the requested scope.
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Will Zendesk reporting metrics come across with imported tickets?
Zendesk says imported tickets do not include First reply time or First resolution time metrics. For Zendesk account-to-account migration, it also says reporting data is not technically migrated, so preserve or recreate reporting separately if it is required.
