There is no universal migration method: supported formats, transferred fields, and privacy behavior vary by tool pair and import route.
1. Define what will move
Set the migration scope before exporting anything. Decide which projects, boards, task lists, and archived or completed tasks are included, and identify the source and destination accounts and the people authorized to administer the move. Also decide when work will stop in the old system or how you will handle edits made there during the migration.
Make a field inventory based on how the team actually uses its tasks. Consider:
- Task names, descriptions, status, and project or section
- Assignees, followers, or collaborators
- Start and due dates
- Parent tasks, subtasks, dependencies, and other relationships
- Comments, attachments, labels, and custom fields
- Task identifiers or other values you can use to reconcile records afterward
Not every importer transfers every item. The inventory is a checklist for selecting a route and spotting omissions, not a guarantee that each field can be migrated.

2. Choose a documented route for your tool pair
Check the exact source-to-destination path before preparing data. An importer may support a tool but omit relationships or treat comments differently; another route into the same destination may behave differently.

These examples are route-specific, not a ranking of tools. If a third-party service is involved, assess its exact source and destination coverage, field mapping, data handling, permissions, test options, support, and exception-repair process. Asana’s app directory lists a third-party integration called Asana Import & Export with API-based import and export, field mapping, and test migration. Asana warns on the listing that it does not warrant, endorse, guarantee, or assume responsibility for the integration; review the provider’s current terms, security practices, coverage, and pricing directly. 3. Prepare and map the data
Export or organize the source data in the format the chosen importer accepts. Standardize column names and field values, create destination custom fields where appropriate, and decide how source statuses, sections, users, and labels should map to destination equivalents. Do not assume a similarly named field will map automatically.
For Asana’s CSV importer, mapping uses column names and can include custom fields. Its preparation guidance says due dates should use month/day/year format, covers parent tasks, and explains dependencies and constraints on relating imported tasks to existing tasks. Put parent tasks before subtasks when the importer requires that ordering, and review the importer’s current instructions for your chosen path. Keep an independent source export when possible. Asana documents project export for backups and other external uses. Store the export with access controls and retention that follow your organization’s policy; do not treat the destination import as the only copy until you have validated the move.
4. Test with representative tasks
Before importing everything, run a small test containing ordinary tasks and edge cases from your inventory: a subtask, a dependency, a custom field, an unusual date, a comment, and an attachment if those matter to the team. Inspect the field-mapping preview where available, then check the created records in the destination.

For native import routes, this sample is a practical safeguard, not a universal built-in feature. Asana’s third-party Asana Import & Export listing explicitly describes a free test migration; confirm its current terms and coverage with the provider.

Once the test behaves as expected, run the full import. Compare expected and imported task counts, then inspect a representative set of records for assignments, dates, hierarchy, relationships, comments, and attachments. Record exceptions and repair them before asking the team to rely on the new workspace. Importers differ, so reconciliation should be treated as your own validation step rather than an automatic guarantee.

Pay particular attention to route-specific gaps. For example, if migrating Jira tasks into ClickUp, review the documented handling of task links, private comments, custom fields, and attachment size before deciding the imported workspace is ready.
6. Cut over deliberately
Tell users when the destination becomes the system of record. Either freeze edits in the old workspace at an agreed point or define who will transfer changes made during the move and how those changes will be checked. Retain the source export according to company policy, and keep access to each system only as long as the team needs it.
What to check before choosing an importer
- Does the documented route support this exact source and destination?
- Which task fields, custom fields, and relationships transfer, and which need manual repair?
- How are comment visibility and authorship handled?
- Are attachments supported, and are there size limits?
- What permissions are required, and how will the service handle the data?
- Can you test the route and validate exceptions before cutover?
