How to Manage Social Media Content Across Multiple Brands

A practical workflow for coordinating social content across brands while keeping each brand’s voice, approvals, accounts, and results distinct.

Manage several brands with one repeatable workflow, but keep each brand’s voice, audience, approvals, and publishing decisions distinct. A clear brand brief, named responsibilities, shared calendar, pre-publication check, and regular process review make it easier to keep work moving without losing the context each brand needs.

Build a clear profile for each brand

A shared team or management tool can coordinate work, but it should not blur the differences between the brands. Keep a concise, accessible profile for each one so anyone working on content can check the right context before drafting or reviewing.

  • Audience and voice: who the brand is speaking to and how it should sound.
  • Current offers: products, services, or campaigns that content may need to reference.
  • Restricted topics: subjects, claims, or situations that need extra care or should not be addressed without escalation.
  • Channels: the accounts and formats used by that brand.
  • Decision contacts: the approver of record and the person to contact when an issue falls outside routine approval.

Keep the profile current when offers, priorities, or decision-makers change. For each planned post and reusable asset, make the brand and campaign identifiable so material is not mistaken for content belonging to another account.

Assign drafting, review, approval, and publishing

For each brand’s workflow, name who drafts the content, who reviews it, who has authority to approve it, and who schedules or publishes it. One person may hold more than one role, but the handoffs and final decision-maker should still be explicit.

Match review depth to the content’s risk and the organisation’s needs. The UK National Cyber Security Centre says: “For this reason, it’s important to implement a content workflow to manage and enforce the creation, approval, and publication of content.” Its guidance recommends checks and balances before publishing and notes that a workflow can include senior, subject-matter, legal, technical, or grammatical checks as appropriate. Read the NCSC guidance on managing social media accounts.

This matters when several people can publish: concurrent activity can increase the risk of damaging content going live. A review step helps make responsibility visible; a tool can formalize that step, but it cannot guarantee that every error or harmful post will be caught.

Plan work in a calendar without losing brand context

Use a shared calendar to see publishing workload across the team and spot timing conflicts between campaigns. Make the brand and campaign clear on each planned item, and include its status—such as drafting, awaiting review, approved, or scheduled—so the team can distinguish ready-to-publish work from work still waiting on a decision.

Apply the same labels to reusable assets. A shared asset library is only useful across brands when people can identify where an image, copy block, or other material belongs and whether it is associated with a particular campaign. Keep review status visible alongside the calendar item or in a linked workflow record.

Use a publication gate

Before scheduling or publishing, confirm the destination account and that the current version has the required approval. Avoid relying on a remembered approval or an older draft when edits have been made since review.

  1. Check the brand and destination account.
  2. Open the latest version of the content and its associated assets.
  3. Confirm that the required reviewer and approver have completed their steps.
  4. Schedule or publish only after those checks are complete.

The NCSC recommends checks and balances and says workflow tools may help formalize review and reduce the risk of posting an outdated draft. They support a process; they do not replace people’s judgment or decision rights.

Measure delivery as well as social results

Review whether the operating process is working alongside the audience outcomes each brand cares about. Operational measures can reveal bottlenecks that social metrics alone will not show.

  • Approval lead time: how long work waits for approval.
  • On-time publication: whether planned content goes out when expected.
  • Failed publishes: posts that could not be published as intended.
  • Revision cycles: how often content returns for changes.
  • Social outcomes: measures selected against the objectives agreed for each brand.

Use these signals to decide what to change—for example, clarifying a brand brief, adjusting review responsibilities, or changing how far ahead work is planned. Compare results with the objectives set for that brand rather than assuming every brand should be judged by the same audience target.

Choose tools against the workflow you actually need

Evaluate social management tools by checking whether their current capabilities fit your team and channels. Useful questions include:

  • Brand or client separation: Can each brand keep its own pages, content, collaborators, and working context?
  • Permissions: Can team members be given only the access their roles require?
  • Approvals: Are review, feedback, and approval steps visible before scheduling?
  • Calendar visibility: Can the team view work both across the portfolio and within an individual brand?
  • Publishing support: Do the tool’s connected accounts and supported formats match the channels and formats you use?
  • Reporting: Can reporting address brand objectives as well as delivery operations?
  • Cost and scale: Do account, user, and feature limits fit the way your team is organized?

Buffer describes permissions, approvals, feedback, and a shared calendar on its collaboration page. Planable describes workspaces for brands, pages, content, and collaborators, along with planning, approvals, and analytics on its product page. These are vendor descriptions, not an independent comparison. Check current plan entitlements and supported network integrations directly with each provider before choosing a tool.

A spreadsheet or calendar may be enough for a small team with straightforward approvals. If several brands, reviewers, or publishing accounts make status and access difficult to track, evaluate a management tool against the workflow above. A paper planner can help with calendar visibility, but it does not provide role permissions or enforce approval steps.
