A useful shipping exception queue turns tracking problems into durable cases with clear entry rules, explainable aging, duplicate-event protection, and an explicit owner. The queue should distinguish the shipment’s tracking status from the case’s work status: an exception can be flagged without changing the carrier status, and a case should close only when its defined resolution conditions are met.
What counts as a shipping exception?
Set explicit intake criteria rather than treating every tracking update as a case. The documented routes include carrier-reported problems, locally defined aging rules, and manual flags. AfterShip describes exceptions as problems during transit such as failed delivery attempts, customs holds, or lost parcels, and its product provides a shared Exceptions workspace for handling them. - Carrier-reported: Create or update a case when the carrier supplies an exception status or description.
- Locally detected: Apply a rule when a shipment has not moved or remains in transit longer than the business allows.
- Manually flagged: Let an operator raise a case when customer contact or other context warrants investigation.
Keep shipment status and case status separate. A local flag is a work-management signal, not necessarily a change to the carrier’s tracking record.
How long without a tracking update is too long?
There is no universal carrier-wide stale threshold established by these sources. Choose thresholds for the service level and shipment class, and record which rule triggered each case. AfterShip gives product examples of no movement for seven days and standard shipping remaining in transit for more than ten days; its custom detection runs hourly. For each aging case, retain the triggering timestamp or condition, the most recent tracking update, and the rule applied. This lets an operator see whether a case is newly stale, repeatedly delayed, or simply subject to a different service-level expectation.
How do you stop duplicate shipment events from creating duplicate cases?
Model incoming events separately from the exception case. A shipment can produce multiple legitimate events, while delivery systems may retry the same event. Ship.com documents webhook retries that resend the same event and identifies EventId as the deduplication key for its tracking webhook. Persist a stable source event ID where one is provided, and make handling an already-recorded event idempotent: a retry should not create a second case or repeat a side effect. Ship.com’s webhook documentation describes this EventId-based approach.
If the sender provides no stable event ID, define and document a composite key using that carrier’s event model and the relevant business context. There is no single composite key established here for every carrier, so avoid assuming that a tracking number alone uniquely identifies an event.

Deduplication retention must cover the sender’s retry behavior. An infrastructure broker can provide an additional guard, but not necessarily permanent uniqueness: Amazon SQS FIFO tracks MessageDeduplicationId within a five-minute deduplication window. That window does not prove that a shipping event or case will remain unique after it expires. AWS documents the FIFO deduplication window.
Delivery may also be at least once. SAP Commerce Cloud version 2211 documents that duplicate webhook events can occur, places responsibility for duplicate handling on the destination, and describes dead-letter handling for undeliverable messages. Treat the specific behavior as version- and configuration-dependent; record failed processing and provide a recovery path rather than silently dropping an event. What should an operator see before taking ownership?
Show enough context in the queue row to decide what to investigate and whether another person already owns the work. A practical row includes shipment identity, current tracking status, exception reason, age, and case owner or state. The underlying detail view should preserve the source event and its history.

- Related problems: If several exceptions are grouped for a shipment or task, show the primary exception and the count or details of additional exceptions.

How should an operator claim a case?
Treat claiming as an explicit concurrency rule, not just a button that changes what one screen displays. The cited product documentation does not establish a specific atomic claim or lease protocol. If only one operator may own a case at a time, the system should enforce that rule in the durable state change so simultaneous attempts produce one winner; a UI-only check can allow two operators to believe they own the same case.

- What the operator sees before claiming, including current owner and case state.
- Whether a claim is exclusive or whether multiple people can collaborate.
- What happens when two operators claim at once.
- Whether claims expire, how an expired claim is recovered, and how reassignment is recorded.
- Which actions are permitted before and after ownership is taken.
Record the owner and claim time, along with reassignment and release actions, in the case history. These are implementation recommendations; they are not documented claim semantics for the cited services.
When should a case close?
Define resolution conditions from business signals rather than closing a case merely because an operator viewed it. Shipment delivery may be one resolving signal; a change that means the shipment no longer meets the custom exception rule may be another. AfterShip documents automatic resolution in those circumstances and says a grouped task closes when all contained shipments are resolved.
