There is no single permissions switch for every Gemini automation. For personal Gemini Apps, review Connected Apps and Keep Activity; for a work or school account, your Workspace administrator and content-level access rules also apply; for a custom app or MCP server, assess the provider separately because it is outside Google’s control. Start by identifying which account and integration your workflow uses, then limit access, review data handling, and verify consequential results in the original service.
First identify which Gemini connection you are managing
“Gemini automation” can mean different things: a personal Gemini App using Connected Apps, Gemini features used with a work or school Google Account, or a custom third-party app such as an MCP server. The controls and trust boundaries differ. Google’s help does not establish one end-to-end permission workflow for every Gem, Skill, Workspace agent, mobile device permission, and connected app, so do not assume a single Gemini setting governs all of them.

| Connection | Who controls access | What to keep in mind |
|---|---|---|
| Personal Gemini Apps Connected Apps | You can choose connected apps and disconnect them in Gemini settings. | Availability depends on platform, account, and Keep Activity settings. See Google’s Connected Apps guidance. |
| Gemini with a work or school Google Account | Your organization’s administrator sets organization-level availability; your own Workspace permissions and content-owner restrictions also matter. | Access requires an eligible Workspace setup and administrator enablement. See Google’s work or school account guidance and Workspace access controls. |
| Custom third-party app or MCP server | The app provider controls its own service and data practices; Google does not control the custom server. | Chat details and information from other connected sources may be passed to the app. Review the provider’s policies and permissions before connecting. See Google’s custom-app guidance. |
Review personal Connected Apps
In Gemini Apps settings, inspect Connected Apps and disconnect services the workflow does not need. The exact options can vary by device, language, account, location, and app version, so use the settings shown for your account rather than expecting every user to see identical switches. Google describes the connection and availability details in its Connected Apps help.
Keep Activity also affects Connected Apps availability. When it is off, Connected Apps are unavailable on gemini.google.com, iOS, and smart watches; Google’s Android guidance describes exceptions for certain device-assistance and communication apps. Review the applicable account and platform guidance if an option is missing or behaves differently.
#1 Best Overall
Disconnecting an app prevents the connection from being available for future Gemini use, but it should not be treated as proof that data already stored in Gemini activity or in the connected service has been erased. The cited connection guidance does not specify all retention or deletion effects; review the relevant activity controls and the service’s own data settings separately.
For a work or school account, check both administrator and content access
Gemini’s access to Workspace data is subject to several gates: the organization needs a qualifying Workspace edition, the administrator must enable the relevant access, and applicable account settings must permit it. Administrators can restrict Gemini entirely or block access to Workspace data while leaving other Gemini features available. If a Workspace connection or action is unavailable, ask the administrator whether the organization allows it; a user cannot override an administrator’s policy.
Rank #2
When access is allowed, Gemini inherits the user’s existing Workspace access. It does not give a user permission to content they could not otherwise access, and content owners may impose further restrictions. Google’s Workspace access explanation describes these boundaries. Supported services and operations are limited: Google’s Workspace connection help notes that some content cannot be accessed and some operations cannot be performed, so do not assume full Gmail or Drive management.

A custom app may receive information from the Gemini chat and other connected sources. Its server is outside Google’s control, and data sent to it is governed by the provider’s own privacy practices. A provider may request sensitive or excessive information for a task. Before connecting, read its privacy policy, terms, and documentation; check whether each requested permission is necessary; supervise use; and remove the connection when it is no longer needed.

Google says write actions through custom connected apps require manual confirmation. Treat that as a chance to inspect an action, not as a guarantee that the server is safe or the action is correct: Gemini can make mistakes, and confirmation does not determine the provider’s retention or review practices. The custom-app guidance explains these limits.
Understand what connected data may mean for privacy and training
Google’s Gemini Apps Privacy Notice, last updated June 29, 2026, describes processing of information users provide, generated content, Connected Apps information, and device and system-permission data. Google says it may use such information to provide, maintain, improve, develop, and personalize services, communicate with users, measure performance, and protect Google, users, and the public. Read the Gemini Apps Privacy Hub for the notice and its applicable terms.
Rank #4
Google’s explanation of personalization with Connected Apps draws an important distinction: it says Gemini does not train generative AI models directly on the user’s Gmail inbox, Drive, Contacts, Calendar, or Google Photos imagery or audio. However, summaries, excerpts, generated media, and inferences from relevant connected content may be used to answer prompts and may be used to train models. A summary of a short or especially relevant file could effectively represent the file itself. Google also describes privacy-protective steps before some human review and warns against connecting apps that contain confidential information a user would not want used for training or seen by a reviewer.

Turning Keep Activity off does not mean Gemini performs no processing. Google says chats may still be used to respond and to protect Google, users, and the public, including with help from human reviewers. Do not send confidential or regulated material into an integration until you understand the applicable handling conditions.

Use this preflight checklist before an automation runs
- Confirm the account and connection. Identify whether the workflow uses a personal account, a managed Workspace account, a Google service, or a custom app/MCP server.
- Remove unnecessary connections. Review the Connected Apps list and disconnect services the task does not require; check the applicable Keep Activity setting and platform behavior.
- For Workspace, verify policy. Confirm with the administrator that the edition, Gemini access, and Workspace data access are enabled for the intended use.
- Minimize the request. Ask Gemini to use only the service or content needed. Avoid exposing confidential material where the provider’s retention, training, or review terms are unclear.
- Vet custom providers independently. Compare requested permissions with the task, review provider documentation and terms, supervise actions, and revoke integrations you no longer use.
- Check the result at its source. Review cited sources or links, verify that the right content was used, and confirm consequential changes in the originating service.
Verify results and actions in the original service
Gemini may return outdated or incorrect information, including hallucinated content. Inspect citations or source links and confirm important facts in the original app. For write actions, review the proposed action and verify the resulting record, message, calendar event, or other change directly in its service. Google’s Workspace connection guidance describes relevant limits and cautions about Gemini results.
