You can stop OneDrive syncing, free PC storage, or turn off folder backup without deleting cloud files—but each goal requires a different control. Before moving or deleting anything, check whether the file is stored on this PC or is online-only. Then use Files On-Demand or selective sync to save disk space, Stop backup to change Desktop/Documents/Pictures backup, or Unlink this PC to disconnect the account.
Choose the control that matches what you want to do
| Your goal | Use this control | What to expect |
|---|---|---|
| Free space on this PC while keeping files in OneDrive | Files On-Demand or Choose folders | Online-only files need an internet connection; an unchecked folder is removed from this PC but stays online. |
| Stop backing up Desktop, Documents, or Pictures | OneDrive folder-backup settings, then Stop backup | Choose where existing files should remain. Previously backed-up files may stay in OneDrive. |
| Disconnect OneDrive from this PC | Unlink this PC | This stops the device’s connection; it does not itself delete cloud files. |
| Undo a deletion or broad change | OneDrive recycle bin or Restore your OneDrive | Recovery depends on account type, deletion state, and—in the case of whole-OneDrive restore—Microsoft 365 eligibility. |
| Keep a separate local copy | Copy files to an external drive or use File History | This is a separate copy or backup, not a OneDrive sync location. |
OneDrive sync propagates changes: deleting a file in a synced folder can delete it from OneDrive online, and changes made online can appear on the PC. Do not delete a synced file just to stop syncing if you want to keep the cloud copy. Microsoft explains how OneDrive deletion works.

Check whether files are local or online-only
OneDrive’s Files On-Demand feature can show files in File Explorer without downloading all of them to the PC. A file that is online-only needs internet access to open; a file available on the device can be opened offline. Before moving, deleting, or disconnecting, confirm which files are downloaded and which exist only in the cloud. Microsoft’s sync guidance describes Files On-Demand and the OneDrive status icons.
If you are about to reorganize important files, first make a separate copy and verify that it opens. Windows supports copying files to external storage and backing up to an external drive with File History. A removable USB drive is not supported as the location of an active OneDrive sync folder. Microsoft’s external-storage file-copy instructions, Windows backup and recovery guidance, and OneDrive’s external-drive guidance explain these distinctions.

Free local space without deleting files
Use Files On-Demand for files you rarely need offline
Files On-Demand keeps cloud files visible in File Explorer while allowing them to remain online-only until opened. This can reduce the space OneDrive files occupy on the PC without removing the cloud copies. Keep files you need during travel or without reliable internet available on the device.
Use Choose folders to remove selected folders from this PC
- Select the OneDrive cloud icon in the Windows notification area. If it is not visible, select the hidden-icons arrow.
- Open OneDrive Help & Settings, then Settings. In the OneDrive settings window, find the account or sync settings and select Choose folders. Labels or placement can vary with OneDrive version.
- Clear the check box for a folder you do not want on this PC and confirm. Its contents remain in OneDrive online, but that folder is removed from this device.
Before unchecking a folder, make sure you do not need its contents offline. Microsoft’s Choose folders instructions cover Windows and macOS.

Stop backing up Desktop, Documents, or Pictures
Folder backup controls whether standard Windows folders are protected through OneDrive. Turning it off is not the same as unlinking OneDrive or deleting files. Open OneDrive settings, go to the backup or sync-and-backup area, and use Manage backup for the folders shown. Select Stop backup and read the choice about where to keep the files before confirming.

Existing items may remain in OneDrive rather than returning automatically to the ordinary local folder. A “Where are my files” shortcut may point to items that stayed in OneDrive. If you want files back in a local folder, follow Microsoft’s move instructions and download any online-only files before moving them. Files added to the local folder after backup stops may no longer be backed up to OneDrive. See Microsoft’s folder-backup instructions for the available choices.

Unlink OneDrive from this PC without deleting cloud data
Choose Unlink this PC when you want to disconnect this Windows device from your OneDrive account. Microsoft says unlinking does not lose OneDrive data: local folders are temporarily disconnected from the cloud. Files already available on the device remain in the OneDrive folder; online-only files remain accessible through OneDrive on the web. Unlinking is not a way to erase cloud content.
- Select the OneDrive cloud icon in the notification area, then Help & Settings and Settings.
- On the Account tab, select Unlink this PC and confirm.
- After unlinking, check local files before deleting or moving the OneDrive folder. To resume syncing later, sign in to OneDrive on the PC again.
Microsoft’s instructions are at Unlink and re-link OneDrive.

Recover a deleted file or restore OneDrive
Restore an individual deleted file
Check the OneDrive recycle bin on the web as soon as possible. Microsoft’s current guidance says deleted files in personal accounts can be restored for 30 days. For work or school accounts, the period is 93 days unless an administrator has changed the setting. These are Microsoft’s stated recovery windows, not guarantees that every item can be recovered: files permanently deleted from the recycle bin cannot be restored through this option. See Microsoft’s deleted-file recovery instructions.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsRoll back a broader change
Microsoft 365 subscribers can use Restore your OneDrive to roll the entire OneDrive back to a point within the previous 30 days. This is different from restoring one item from the recycle bin, and it does not recover files permanently deleted from that bin. Review the restore point and its effects before confirming. See Microsoft’s Restore your OneDrive guidance.

Keep an independent copy when you need one
OneDrive sync keeps files aligned across devices and the cloud; it is not an independent backup against every deletion or unwanted change. For an extra copy, copy selected files to an external drive or configure File History with an external drive. Verify that the copied files open. Do not use a typical removable USB drive as the OneDrive sync-folder location: Microsoft says that setup is unsupported.
Quick Recap
Quick checks before changing OneDrive
- Identify the outcome you want: less local storage, no folder backup, a disconnected PC, or recovery.
- Check file availability and whether important files are online-only.
- For work or school accounts, remember that an administrator may change retention settings.
- Use Files On-Demand or Choose folders for local-space savings; do not delete files that should remain in OneDrive.
- Read the keep-files choice when stopping folder backup.
- Use Unlink this PC to disconnect the device, not to delete cloud content.
- For accidental deletion, check the web recycle bin promptly and use the recovery option appropriate to the account and situation.
