A larger window does not guarantee that every included fact will be used correctly. Context is a finite, tokenized working input—Google compares it with short-term memory—and models can miss relevant material when a prompt is crowded, repetitive, or poorly positioned.
This guide gives writers, developers, and everyday users a repeatable workflow: identify non-negotiable information, keep source evidence auditable, select the smallest sufficient context strategy, and test whether critical details remain correct after trimming or compression.

What a context window actually is
A context window is the maximum amount of tokenized input a model can process for a request or conversation. Tokens include more than your latest question: system instructions, developer messages, tool definitions, previous turns, uploaded or retrieved text, and sometimes the space needed for the model’s answer all consume the practical budget. Limits and accounting rules differ by provider and model, so the current documentation for the system you use is authoritative.
Google’s Gemini guidance calls the context window analogous to “short term memory.” That analogy is useful but incomplete: putting a fact inside the window does not ensure equal attention to it. Google’s long-context documentation describes summarization, sliding windows, retrieval-augmented generation (RAG), and filtering as ways to work within a large but finite context.

Long-context behavior also depends on task and position. In Lost in the Middle, Nelson F. Liu and coauthors reported position-related degradation on tested retrieval and question-answering tasks. Their GPT-3.5-Turbo closed-book accuracy was 56.1% on the paper’s multi-document question-answering task, and adding 50 rather than 20 retrieved documents improved the NaturalQuestions-Open case study by about 1.5% for GPT-3.5-Turbo (about 1% for Claude-1.3). Those are historical results for specific models and setups, not a universal limit.
Later Google Research testing found strong Gemini 2.5 Flash performance on a single “needle” fact across document positions, while accuracy varied more when several facts had to be retrieved. Both findings support the same practical rule: evaluate your real workload instead of assuming that an advertised maximum window predicts reliability.
Start by defining what must survive
Before shortening anything, make a preservation list. This turns “don’t forget the important parts” into checkable requirements.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Goal: the outcome the next response must achieve, such as revising a contract clause, fixing a function, or answering a customer’s question.
- Hard constraints: laws, safety requirements, formatting rules, deadlines, budgets, supported versions, and words or actions that are forbidden.
- Decisions already made: selected architecture, approved terminology, audience, tone, or rejected alternatives.
- Key evidence: facts, quotations, code identifiers, figures, and their document names, page numbers, URLs, or section locations.
- Open questions: unresolved choices and information the model must not silently invent.
Mark exact wording that cannot be paraphrased. Examples include a legal sentence, an API field name, a database column, a command-line flag, or a user’s stated preference. Keep the original excerpt or a precise pointer beside the paraphrased note so a later step can verify it.
Measure the real token budget before trimming
Do not compare your prompt only with the model’s headline context size. Count everything the request will send and reserve room for the expected answer.
- List every input component: system and developer instructions, tools and schemas, conversation history, retrieved passages, attachments, and the new user request.
- Use the provider’s token counter when available. Tokenization varies by model, especially for code, tables, non-English text, and long URLs. Google directs developers to its current model documentation for context limits; other providers publish their own counting methods.
- Reserve output headroom. A request that exactly fills the input allowance can leave too little space for a useful answer or tool call. Set an explicit maximum output appropriate to the task.
- Track repeated processing. In a multi-turn API workflow, earlier material may be reprocessed or charged again unless the provider offers caching or state management. Record input tokens, output tokens, latency, and failures for representative requests.
Because limits and APIs change, verify the model and region you are actually deploying rather than relying on a remembered number. A budget spreadsheet or small logging function is often enough: record each component’s token count, total input, reserved output, and remaining margin.

Remove low-value bulk without erasing evidence
Trimming should reduce noise, not delete the facts that make the answer defensible. Work from the preservation list and classify every block of context.
Recommended Free Tools
- Delete duplicates: repeated copies of the same instructions, document passages, or tool results.
- Drop stale turns: old hypotheses, superseded plans, and intermediate debugging output that no longer describes the current state.
- Filter boilerplate: headers, navigation text, repeated disclaimers, and formatting that carries no meaning for the task.
- Keep provenance: retain the source title, location, timestamp, and a short identifying excerpt for every fact that remains.
- Separate evidence from commentary: place the original passage or structured data in one section and your interpretation in another, so a later model can distinguish fact from inference.
Never silently resolve an unresolved question during trimming. Label it as open and carry it forward. If a detail is uncertain, preserve the uncertainty and its source instead of replacing it with a confident paraphrase.
Choose the smallest sufficient context strategy
There is no universally best method. Select the least complicated approach that preserves the required facts for the workload.
| Strategy | Best fit | Strength | Main risk or cost | Auditability |
|---|---|---|---|---|
| Curated prompt | Bounded task with a small, known source set | Simple; no retrieval system required | Manual selection can omit a needed passage; long prompts increase processing | High when source excerpts and locations are included |
| Retrieval (RAG) | Large corpus or repeated questions | Sends only query-relevant passages | Retriever may miss the right chunk or return distracting near-matches | High if each passage carries an ID and source link |
| Summarization | Long document or conversation that can be represented compactly | Reduces tokens and repeated history | Compression can omit exact requirements, names, numbers, or caveats | Medium to high if originals remain available for checking |
| Provider-managed compaction | Long-running API conversations and agent workflows | Automates state reduction at a threshold | Provider-specific behavior and opaque summaries; availability can change | Depends on retained output items and recovery design |
| Sliding window or filtering | Streams and chats where recent turns dominate | Predictable token ceiling | Older but still relevant context can disappear | Medium if evicted turns are archived |
Keep the full context when the task genuinely needs broad comparison and testing shows reliable use. Retrieve or filter when most material is irrelevant. Summarize or compact only after identifying what the compressed state must contain.
Build an auditable summary or handoff
A useful summary is not a shorter transcript. It is a structured state record that another model—or a human—can inspect and challenge.
Goal: [the outcome required next]
Constraints:
- [non-negotiable rule, with exact wording if needed]
- [version, date, audience, or format requirement]
Decisions:
- [decision and rationale]
Evidence:
- [fact] — source: [document, section, URL or page]
Current state: [what is complete and what is in progress]
Open questions:
- [question that must be answered before proceeding]
Exact excerpts to preserve:
- [verbatim clause, identifier, or quotation]
Ask the summarizing model to distinguish confirmed facts from assumptions and to include source pointers. Keep critical original excerpts in an accessible archive. The summary is a working index, not an infallible replacement for evidence.

Use retrieval when the corpus is larger than the task
RAG is appropriate when you have many documents or expect repeated questions. At query time, retrieve a small set of passages and place each one in the prompt with a stable document ID, title, location, and date. Tell the model to answer from those passages, cite the IDs, and say when the evidence is insufficient.
- Normalize and split documents into coherent sections; avoid chunks that cut a table, code block, or definition in half.
- Store metadata such as source, heading, page, version, and access date alongside each chunk.
- Retrieve more than one candidate when a question may require several facts, then apply metadata or keyword filtering to remove obvious distractors.
- Deduplicate overlapping passages and preserve neighboring context when a sentence depends on a definition or exception.
- Set a maximum retrieved budget and log which chunks were selected, not just the final answer.
Retrieval narrows the prompt but introduces a new failure point: a perfect generator cannot use a passage that the retriever failed to return. Test recall with questions whose answers are known, including paraphrases, cross-document questions, and distractor-heavy cases.
Manage long conversations with deliberate compaction
For a short task, manually curated context is usually easier to inspect. For an ongoing agent or support conversation, maintain a compact state summary and archive the complete transcript. Provider-managed compaction can automate this transition, but it remains provider-specific.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteOpenAI Responses API
OpenAI’s compaction documentation describes server-side compaction configured with context_management and compact_threshold. Compaction triggers when the rendered token count passes the configured threshold, and the returned compaction item carries prior state in an opaque, non-human-interpretable form. The same documentation describes standalone compaction.
When chaining stateless input arrays, preserve the returned output items. When using previous_response_id, send only the new user message rather than manually pruning the prior chain. These are API-specific mechanics; check the current documentation and test your exact request flow before production use.
Anthropic Messages API
Anthropic’s compaction documentation describes server-side compaction for long-running conversations and agentic workflows. The reviewed documentation identifies the feature as beta and shows the compact_20260112 strategy with the compact-2026-01-12 beta header. Names, headers, and availability may change, so treat them as implementation details to verify before deployment.

State the task and its priority explicitly. Name the document or passage a question concerns instead of asking the model to infer the target from a pile of text. Group instructions together, then present evidence with clear labels such as Source A and Source B. For a high-stakes answer, require the model to identify the supporting source ID and to flag missing evidence.
Position is worth testing rather than prescribing. The Lost in the Middle study found weaknesses in some tested middle positions, while Google’s Gemini 2.5 Flash work found strong single-fact retrieval across positions but lower or more variable performance for multiple needles. The older Anthropic prompting study found that asking for a relevant-quote scratchpad helped in its tested setups; its results used Claude Instant 1.2 and Claude 2 and should not be treated as a current-model benchmark. See Anthropic’s study for that historical experiment.
Verify information after every compression step
Do not proceed directly from a summary or compaction into consequential work. Run a preservation check.
- Ask the model to restate the current goal, hard constraints, decisions, unresolved questions, and exact identifiers.
- Compare that restatement with your preservation list and source notes, not with the model’s confidence.
- Ask targeted questions about edge cases: exceptions, dates, units, negations, names, and rejected alternatives.
- For code, run tests or inspect the referenced lines. For legal, financial, medical, or security material, have a qualified reviewer check the original evidence.
- If a required item is missing or altered, restore the source excerpt and create a corrected summary before continuing.
Measure the strategy on representative tasks with distractors. Record required-fact accuracy, unsupported claims, citation or source-ID accuracy, input tokens, output tokens, latency, and cost where relevant. Test facts placed early, in the middle, and late; test one-needle and multiple-needle questions; and include cases where the correct answer is that the evidence is insufficient.
Common failure modes and fixes
The model “forgets” an explicit instruction
Check whether the instruction was buried among repeated text, contradicted by a later turn, or removed during trimming. Put the current priority and non-negotiable constraints in the active state summary, then test with a direct restatement request.
Best Value
A summary sounds right but changes a number or exception
Require exact preservation of figures, units, names, negations, and legal wording. Attach source locations and keep the original excerpt. Compare the summary mechanically where possible instead of relying on fluent prose.
RAG returns related but wrong passages
Inspect the retrieved chunk IDs for failed questions. Improve chunk boundaries and metadata filters, add lexical matching for identifiers and names, and test multi-hop questions separately from simple lookups.
A long prompt fits but answers degrade
Reduce duplicated and irrelevant material, label evidence, and test position effects. A larger window can increase distraction and latency even when no hard limit is exceeded.

Confirm that you are passing the provider’s required returned items or state references. Do not mix manual pruning with a provider flow that expects the previous chain to remain intact. Keep a recoverable external state record in case the compacted representation is insufficient.
Practical recipes by workload
Writing or editing a long document
- Create a style and requirements sheet containing audience, tone, structure, forbidden claims, terminology, and publication constraints.
- Retrieve or paste only the sections relevant to the current edit, each with a heading and location.
- Ask for proposed changes with section references, then apply them in a separate pass.
- After several rounds, compact the conversation into decisions, unresolved edits, and exact style rules; retain the full draft and change log.
Software development
- Keep the task, supported runtime and dependency versions, acceptance tests, and security constraints at the top of the active context.
- Retrieve the smallest set of files and symbols that define the failing behavior, plus relevant tests and error output.
- Preserve exact identifiers, stack traces, and commands in code blocks; summarize exploratory discussion.
- Run tests after compression and record which files changed and which assumptions remain unverified.
Everyday multi-turn use
- At the start, state the desired outcome and any preferences that must persist.
- When the chat grows, ask for a structured checkpoint rather than a generic summary.
- Review the checkpoint for missing dates, names, constraints, and pending questions.
- Start a fresh chat with the verified checkpoint and links or excerpts to the originals when the old thread becomes unwieldy.
A compact operating checklist
- Have I written down the goal, hard constraints, decisions, evidence, and open questions?
- Have I counted system text, tools, history, retrieved passages, and expected output?
- Did I remove duplicates, stale turns, and boilerplate while retaining provenance?
- Is a curated prompt sufficient, or does this workload need retrieval, filtering, summarization, or compaction?
- Does every compressed fact have a source pointer or preserved exact excerpt?
- Have I tested required facts at different positions and amid distractors?
- After compression, did the model restate the state and did I compare it with the originals?
- Am I logging accuracy, token use, latency, and cost for the actual model and task?
Context management is successful when the next response has the smallest sufficient working set and you can demonstrate that critical information survived. Treat the window as a limited workspace, not as a guarantee of attention; make important state explicit, keep evidence recoverable, and validate every reduction that affects the work.
