Protecting a cloud-dependent business from credential theft takes more than asking employees to choose stronger passwords. Require multifactor authentication (MFA), prioritize phishing-resistant sign-in for high-impact accounts, limit what each identity can access, and treat API keys and session tokens as credentials that need ownership, protection, monitoring, and revocation. MFA reduces risk at sign-in, but it does not replace controls over tokens or permissions.
Why stolen credentials put cloud accounts at risk
A stolen or reused password can let an attacker impersonate an employee and reach cloud services. A token can be just as consequential: CISA’s July 2025 TIC 3.0 Cloud Use Case notes that cloud tokens such as API keys may enable access without a comparable level of identity verification. That makes credential protection a lifecycle problem, not just a login problem.

For each identity or credential, ask three questions: how is it issued, what can it access, and how will you detect and stop its use if it is exposed? Apply those questions to employee accounts, administrator accounts, service credentials, API keys, and session credentials.
How should a business roll out MFA?
Enable MFA wherever the service supports it, beginning with administrators and accounts that can reach sensitive information. Include business email, remote access, file storage, and other services employees use to handle company data. Then move high-impact accounts toward phishing-resistant authentication.

- WORKS WITH 1000+ ACCOUNTS: Compatible with Google, Microsoft, and Apple. A single Security Key C NFC secures 100 of your favorite accounts, including email, password managers, and more.
- FAST & CONVENIENT LOGIN: Plug in your Security Key C NFC via USB-C and tap it, or tap it against your phone (NFC) to authenticate. No batteries, no internet connection, and no extra fees required.
- TRUSTED PASSKEY TECHNOLOGY: Uses the latest passkey standards (FIDO2/WebAuthn & FIDO U2F) but does not support One-Time Passwords. For complex needs, check out the YubiKey 5 Series.
- BUILT TO LAST: Made from tough, waterproof, and crush-resistant materials. Manufactured in Sweden and programmed in the USA with the highest security standards.
- Inventory accounts and sign-in paths. List administrator and employee accounts, the services they can reach, and any remote-access routes. Identify accounts with access to sensitive data or the ability to change security settings.
- Require MFA broadly. Turn it on for the highest-impact accounts first, then extend the requirement to other business accounts and services. Confirm that recovery and enrollment procedures work before you depend on them during an incident.
- Prioritize phishing-resistant MFA. CISA identifies FIDO/WebAuthn as the only widely available phishing-resistant authentication and recommends organizations plan a move toward FIDO. Check that your identity provider, applications, and employees’ devices support the method you choose.
- Use number matching as an interim measure when needed. If phishing-resistant MFA is not yet available for a service, number matching can improve on an ordinary push approval. Treat it as a bridge, not a substitute for a plan to adopt phishing-resistant methods.
- Test recovery and replacement. Decide how employees enroll, regain access if they lose a device or security key, and report suspected account compromise. Keep the recovery process from becoming a weaker route into the account.
CISA’s October 2022 MFA fact sheet says any MFA is better than none, while describing phishing-resistant MFA as the gold standard and urging organizations to make migration a high priority. The methods are not interchangeable: ordinary push approvals can be exposed to push fatigue, and SMS can be exposed to phone-network attacks. Compare methods against phishing resistance, those exposure types, employee recovery needs, and compatibility with your identity provider and devices before choosing a rollout path.
A physical FIDO/WebAuthn security key may suit accounts that need phishing-resistant MFA, but compatibility and recovery matter as much as the category. Confirm supported protocols and connection options, test the key with the organization’s identity provider and devices, and define enrollment and replacement procedures. The CISA guidance supports the category, not a particular model for every business.

How can cloud IAM limit the damage from a compromised account?
MFA helps verify a user at sign-in; identity and access management (IAM) determines what that identity can do after access is granted. Use least privilege: give each user, administrator, and service identity only the access required for its role. Restrict both user-to-resource and resource-to-resource access with the policies available in your cloud environment.

Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →- Separate administrative access. Keep privileged work distinct from routine employee activity where your environment allows it, and limit who can administer accounts, permissions, and security settings.
- Remove unnecessary access. Disable unneeded accounts and credentials, and review permissions when people change roles or leave the business.
- Scope roles narrowly. Avoid broad permissions when a smaller set of actions or resources will do. Review both direct access and access granted through roles or service identities.
- Review access on a schedule. Check that permissions still match job responsibilities and business needs. Prioritize accounts with administrative rights or access to sensitive information.
CISA’s cloud guidance also calls attention to device posture and behavioral baselining. Where your identity and cloud tools support them, use device context and established patterns of normal access to inform policies and investigation—not as a replacement for MFA or least privilege.

How should a business protect API keys, service credentials, and scripts?
Non-human credentials can grant programmatic access without an employee completing an interactive MFA challenge. CISA advises organizations to understand and track token creation and lifecycle. Turn that into a practical inventory and ownership process, checking exact controls against the current documentation for each cloud provider.
- Inventory credentials. Record what each key, token, or service credential belongs to, who owns it, what it accesses, and where it is used.
- Limit scope. Give each credential only the permissions and resource access its task requires. Avoid sharing one credential across unrelated workloads or uses when separate credentials can be managed.
- Protect storage. Do not leave credentials in plaintext in scripts or other exposed locations. CISA’s red-team advisory describes finding a PowerShell script containing plaintext credentials that enabled escalation. Use the provider’s current guidance to choose an appropriate way to store and retrieve secrets.
- Set lifecycle ownership. Define who can create and approve credentials, how they are reviewed, and how they are rotated or revoked. Confirm these procedures fit the provider’s current capabilities and the systems that depend on the credential.
- Use signed requests where supported. For custom programmatic cloud access, CISA recommends signed API requests where the cloud service supports them. Follow the provider’s current signing requirements.
Apply the same care to session credentials: know which systems issue them, who is responsible for responding to exposure, and how to revoke them. A password reset alone may not address every separate token or credential; confirm the provider’s documented revocation and recovery behavior for the affected service.

What should you monitor, and what should happen after exposure?
Monitor sign-in and access activity for anomalies, then investigate rather than assuming every unusual event is malicious—or harmless. CISA’s cloud guidance recommends behavioral baselining; a baseline can help teams notice activity that differs from an account’s established pattern. Include relevant device posture and access context where available.

- Investigate whether the event involved an employee account, a session credential, an API key, or a service identity; each may require a different containment step.
- Revoke or rotate exposed credentials using the provider’s documented process, and review what the identity or token accessed.
- Restore access through a controlled recovery process, then check whether permissions, scripts, or dependent workloads need correction.
Rehearse this response before an incident. A useful exercise is to identify the owner of a sample credential, locate its dependent services, revoke it in a test or approved environment, and confirm how access is restored without leaving the old credential usable.

What should a small business do in its first week?
- Day 1: Identify the highest-impact accounts. List administrators, accounts that can reach sensitive data, business email, remote access, and the main file-storage and cloud services.
- Days 2–3: Turn on MFA and plan the next step. Require MFA for high-impact accounts, extend coverage to other business services, and check which services and devices support phishing-resistant sign-in.
- Day 4: Review permissions and stale access. Remove accounts and privileges that are no longer needed, and narrow broad roles where practical.
- Day 5: Find and assign owners to non-human credentials. Locate keys, tokens, service credentials, and scripts that use them. Record the owner, purpose, access scope, and revocation path.
- Days 6–7: Check monitoring and rehearse response. Review available sign-in and access logs, identify how your team will investigate an alert, and walk through revoking a credential and restoring dependent access.
Small businesses can also use CISA’s SCuBA resource to assess and harden SaaS configurations. Treat it as a way to guide configuration work alongside MFA, permission reviews, and credential lifecycle controls.
