Caption each recorded lesson, then verify how those captions reach viewers during the live broadcast. A caption track attached to a YouTube video is not automatically the same thing as captions delivered with a YouTube Live stream. For a continuous channel, prepare accurate lesson captions, configure a separate live-caption source if you need selectable captions, and test the complete loop—including transitions and long runs—before going public.
Two caption workflows serve two different outputs
A caption file can be attached to an individual video in YouTube Studio. Live captions, by contrast, must be sent to the live stream. YouTube documents live delivery through captions embedded in the encoder output as EIA 608/CEA 708, or through supported caption software using HTTP. The documentation for managing recorded-video captions does not promise that a live encoder or continuous-stream service will extract and forward those caption tracks.

That distinction matters when a stream plays a sequence of lessons. A lesson may have captions when watched as its own YouTube video, yet those captions may not appear when the lesson is used as source media inside a separate live broadcast. Confirm the behavior of the actual encoder and stream setup rather than assuming the track will follow the video.

Create or obtain a timed caption track
For each lesson, prepare captions in the language spoken. YouTube Studio offers three ways to add them to a video: upload a caption file, enter captions manually, or provide transcript text for automatic synchronization. A caption file includes text and timing information; some supported formats can also carry position and style data.

- Open YouTube Studio and go to Subtitles.
- Select the lesson, add the spoken language if needed, then choose the option to upload a file, type captions manually, or auto-sync transcript text.
- If uploading, use a supported caption format. YouTube identifies SRT and SBV as basic options in its caption guidance; its supported-file guidance specifies plain UTF-8 for SRT. Check the current accepted formats and requirements when preparing files.
- Save the captions and review them in playback against the lesson video.
Review the words, timing, and sounds
Automatic recognition can be a useful starting point, but YouTube advises creators to review generated captions. Accents, dialects, pronunciation, and background noise can lead to errors. Check names, technical terms, equations and symbols spoken aloud, punctuation, speaker changes, and timing. Include meaningful non-speech audio—such as music or an alarm—when it helps convey the lesson.
W3C’s guidance for prerecorded synchronized media describes captions as including speaker identification and meaningful non-speech audio, not just a transcript of spoken words. A caption track that exists but is inaccurate, badly timed, or incomplete may not give viewers usable access to the lesson.
Choose how captions will reach the live stream
Send embedded captions from the encoder
YouTube documents EIA 608/CEA 708 caption data embedded in the live encoder output. This route requires the encoder and stream setup to be configured to carry those captions. Confirm that your chosen encoder can supply the format and that its behavior has been checked with the lessons, transitions, and repeat schedule you plan to use.

Send captions through supported software over HTTP
YouTube also documents delivery through supported caption software. In its event-style workflow, enable closed captions, copy the signed caption ingestion URL, and provide it to the captioner or caption software. YouTube states that each stream entry point can have one caption feed and advises keeping the system clock accurate. Verify that the software and the stream entry point are compatible before relying on this route.
Do not assume a lesson’s caption file becomes a live feed
The recorded-video caption workflow and the live-caption ingestion workflow are separate in YouTube’s documentation. It does not guarantee that an encoder or a 24/7 streaming service will extract the caption track from each source lesson and forward it as live captions. Ask the provider or encoder vendor about the exact configuration, then verify it in a real test. This is not a claim that no setup can bridge the two; it is a reason not to rely on an unverified bridge.
Test the whole lesson loop before publishing
Run a private or unlisted test and monitor the stream before making it public. YouTube recommends testing and monitoring stream quality; the caption-specific checks below are practical additions for a lesson channel.

- Open the test stream in a viewer session and check that captions can be enabled in the player if you intend to provide selectable live captions.
- Compare the displayed words with the audio, including names, technical vocabulary, and meaningful sound cues.
- Check synchronization at the beginning and end of a lesson, then watch the transition into the next lesson. Look for missing captions, duplicated text, drift, or a feed that does not resume.
- Test slates, music, gaps, and other material between lessons; decide whether they need captions or an explanatory label.
- Repeat the test using the actual schedule and source files. If the stream runs continuously, include a test longer than 12 hours before depending on its behavior for a 24/7 operation.
YouTube’s encoder guidance says streams under 12 hours are automatically archived. That statement does not establish whether a 24/7 session is archived as one complete video, split into parts, or how caption timing behaves over a longer run. Verify archiving, caption-feed continuation, and any stream-splitting behavior for your configuration rather than extrapolating from the under-12-hour guidance.
Keep caption maintenance separate from stream operations
Store the reviewed caption file with each lesson’s source package so corrections can be made and reused. Separately record which live-caption route is configured, which software or encoder carries it, who is responsible for monitoring it, and how the team will notice a failed or drifting feed. YouTube’s requirement that captions be sent to the live stream makes that operational ownership important, but it does not guarantee a particular monitoring or recovery system.

Know what automatic live captions do—and do not—preserve
YouTube says live automatic captions will not remain on the video after the live stream ends. Its video-on-demand process generates new automatic captions afterward, and those may differ from the live captions. If you need dependable captions on the archived lesson or stream, check the resulting video and manage its captions separately rather than treating live automatic captions as a permanent track.

W3C WCAG 2.2 Success Criterion 1.2.2 says captions are provided for prerecorded audio content in synchronized media, except when the media is a clearly labeled alternative to text. W3C also distinguishes captions, which convey audio information for accessibility, from translated subtitles, which serve a different purpose. These standards do not by themselves determine which laws, procurement rules, or institutional policies apply to a particular school, country, or course; seek guidance appropriate to your jurisdiction and organization.
Caption setup also does not establish that you have permission to broadcast every lesson or that a stream meets YouTube’s current copyright or reused-content requirements.
