Personalized email marketing uses appropriate customer data to make a message more useful to its recipient. It can mean choosing a relevant offer, recommendation, or follow-up—not just inserting a first name. Start with a clear audience need, use only data that serves it, and check the marketing and privacy rules that apply to your recipients.
What personalized email marketing means
Email personalization is the use of customer information to tailor email content to an individual. It ranges from basic details such as a recipient’s name to decisions about which content, offer, recommendation, or message timing to use. The information may come from declared preferences, purchase history, browsing activity, engagement, or lifecycle stage. Salesforce’s overview of email personalization describes the practice and its implementation challenges.

Segmentation groups subscribers who share a useful characteristic, then sends them content suited to that group. Individualized personalization adapts content to a particular recipient using relevant information. Dynamic content lets different recipients see different sections within the same email. These techniques can work together: a segment may receive one campaign while a dynamic block reflects each person’s interest or past purchase. See Salesforce’s guide to email segmentation.

More data does not automatically make an email better; it is useful only if it changes the message or makes the next step more appropriate.

How to build a practical personalization workflow
- Choose an outcome. Decide what the email should help its audience do: welcome new subscribers, help customers use a recent purchase, or share updates relevant to a stated interest. A specific purpose also helps determine which data is actually needed.
- Explain and govern data use. Tell people what information you collect and how you will use it. Establish an appropriate legal basis and obtain marketing consent where required. Provide preference controls and honor applicable opt-outs and objections. The UK Information Commissioner’s Office (ICO) advises organizations to plan for data protection, collect fairly, explain uses, and respect people’s choices in its electronic mail marketing guidance.
- Create a few useful segments. Consider location, declared interests, purchase history, site activity, email engagement, or lifecycle stage. Use a criterion only if it affects the content or the next step. Segmentation guidance offers examples of ways to group audiences.
- Tailor the message. Choose content, recommendations, or behavior-triggered emails that serve the intended outcome. Make sure the email still reads clearly if a field is missing or a behavior record is stale; use a sensible fallback rather than a blank, inaccurate, or overly familiar message.
- Test and review outcomes. Compare versions and monitor measures such as clicks, conversions, complaints, and unsubscribes. Interpret open rates cautiously: the available guidance does not establish a clean causal lift from personalization or provide a current authoritative benchmark.
- Maintain data quality and access. Correct or remove information that produces irrelevant or inaccurate messages. Set retention and access practices that fit your organization and applicable law. Salesforce identifies data quality, scaling, complex segmentation, and privacy compliance as implementation challenges in its personalization overview.
What data can make an email more relevant?
Useful inputs depend on the message goal. A small team can begin with information subscribers have deliberately supplied, such as their interests, and add other data only where it has a clear purpose.
- Declared preferences: topics, product categories, or location chosen by the subscriber.
- Purchases: a recent order can inform setup guidance, compatible accessories, or a relevant follow-up.
- Site activity: browsing behavior may indicate interest, but should be used transparently and in line with applicable rules.
- Email engagement: interaction with prior campaigns can help distinguish active interests from topics that no longer appear useful.
- Lifecycle stage: a new subscriber, first-time buyer, or returning customer may need different information.
These are possible criteria, not a checklist to collect everything. If a data point does not improve the content or next step, leave it out.

How to choose email personalization software
Evaluate capabilities against your workflow and the amount of data your team can keep accurate. Salesforce describes CRM-connected tools, templates with dynamic content, segmentation, and analytics as relevant capabilities in its personalization overview and segmentation guide. That is vendor guidance, not an independent comparison or endorsement of platforms.

- Dynamic content and triggers: Can the tool tailor sections or send behavior-based messages, with usable fallback content?
- Customer-record integrations: Can it use the relevant information from your customer records without creating conflicting or stale copies?
- Reporting: Can you assess clicks, conversions, complaints, and unsubscribes alongside any engagement metrics?
- Data maintenance: Is it practical for your team to correct, update, and remove information?
- Privacy controls and scale: Do its controls support your organization’s obligations, and can your team operate the workflow as the audience grows?
Privacy and email marketing rules depend on location
Personalization does not authorize marketing use of every available data point, and email marketing laws are not uniform worldwide. Check the rules for your organization, recipients, and campaign type; the examples below are jurisdiction-specific, not a complete compliance guide.

United Kingdom
The ICO’s electronic mail marketing guidance, updated 28 April 2026, covers the Privacy and Electronic Communications Regulations (PECR), consent, soft opt-ins, bought-in lists, publicly available contact details, withdrawal, and tracking pixels. It also discusses a charitable-purpose soft opt-in introduced under the Data (Use and Access) Act 2025. The conditions depend on the circumstances and subscriber type, so do not assume an exception applies without checking the ICO’s detailed guidance.
For unsolicited electronic mail marketing to individual subscribers, the ICO says consent is normally needed unless a valid soft opt-in applies. It says consent must be freely given, specific, informed, and unambiguous, with positive action. The ICO states: “Additionally, people must take a positive action to consent, so you must not use pre-ticked opt-in boxes, silence or inactivity as evidence of consent.” See its electronic mail marketing guidance.
European Union
The European Commission summarizes GDPR consent as freely given, specific, informed, and unambiguous. People should be told what data use is intended, who processes the data, and how consent can be withdrawn. This is a summary of GDPR consent principles, not a complete account of national electronic-marketing rules. See the Commission’s explanation of when consent is valid.
