How to Make an HTML Grid Export Cleanly to Excel

To move a table from a live webpage into Excel, use Excel desktop’s Data > From Web connector, select the correct table in Navigator, clean it in Power Query, and then load it to a worksheet. For a saved .html file, use Excel’s file-import workflow instead. If you mean the reverse—turning an Excel workbook into HTML, CSV, or tab-delimited text—choose the format according to what must survive the conversion.

First, identify which direction you need

“Export an HTML grid to Excel” can describe two different jobs:

  • Web page or HTML file → Excel: import a grid as rows and columns. This is the usual meaning and the workflow covered first below.
  • Excel workbook → HTML or text: save spreadsheet data for a web page or data exchange. That process and its fidelity limits are covered later.

Keep an .xlsx master whenever formulas, charts, PivotTables, or VBA matter. CSV, tab-delimited text, and HTML are exchange or presentation formats, not full-fidelity workbook backups.

Import a live webpage table with Excel’s web connector

Excel’s web connector uses Power Query to retrieve a page, detect tables, let you preview them, and either transform or load the result. Microsoft documents this workflow in Import data from the web using the web connector. The newer connector experience requires an Office 365 subscription and an internet connection.

Step-by-step

  1. Open desktop Excel and a workbook.
  2. Choose Data > From Web. In some versions the path is Data > Get Data > From Other Sources > From Web.
  3. Paste the page URL and confirm. Sign-in or privacy prompts may appear, depending on the site.
  4. In Navigator, review the detected tables. Select the preview that contains the intended headers and rows. A page can expose several candidate tables, including navigation or layout tables.
  5. Choose Transform Data when you need to remove columns, skip title rows, promote the first row to headers, change data types, split fields, or filter records. Choose Load for a direct import.
  6. Pick the destination worksheet or create a new one, then verify row counts, headers, dates, numbers, and totals.

A loaded query can usually be refreshed when the source changes; refresh behavior depends on the page, credentials, and how consistently the site’s HTML structure is maintained.

Clean the grid before loading

Use Power Query rather than manually repairing every refresh. Typical steps include removing blank or decorative rows, deleting repeated header rows, promoting headers, trimming text, replacing non-breaking spaces, setting numeric and date types, and renaming columns. Preview each transformation so you can see whether the intended records remain.

Import a saved HTML file

If the grid is stored locally as .html or .htm, use the file connector rather than entering a web URL. Microsoft’s documented Mac path applies to Microsoft 365 for Mac, Excel 2024 for Mac, and Excel 2021 for Mac: Data > Get & Transform Data > Get Data > From File, select the HTML file, choose Import, select the detected data, and choose its destination. On Windows or another Excel edition, labels can differ. Look for Get Data or From File, then inspect the preview before loading. If the file contains several tables, choose the one with the real column headings rather than assuming the first result is correct.

When the table pastes into one column or looks wrong

Check the detected table, not just the visual layout

HTML can use nested tables, merged cells, hidden rows, or layout elements. A browser may display a polished grid while Excel detects several fragments. Return to Navigator, compare previews, and select the table whose rows and columns represent the data. If no suitable table appears, the page may be generated by scripts or may not expose a conventional HTML table; Excel’s connector cannot guarantee perfect extraction of arbitrary layouts.

Repair delimiters in text imports

If you received CSV or tab-delimited text, the receiving application must agree on the delimiter. Commas inside quoted fields, tabs embedded in values, and regional list-separator settings can shift data into the wrong columns. Open the file through Excel’s text-import controls, inspect the preview, and select the delimiter and text qualifier that match the file.

Fix garbled accents and symbols

Character corruption is usually an encoding mismatch, not proof that the table failed. Use Excel’s Web Page Options to choose an encoding that matches the source and preview the result; Microsoft describes the setting at Web Page options. There is no universal encoding choice, so confirm what the page or file declares where possible.

Resolve dates and numbers interpreted incorrectly

Power Query may infer a type from early rows. Set the column type explicitly after import, especially for dates, postal codes, account numbers, percentages, and identifiers with leading zeroes. Treat identifiers as text even when they contain only digits.

Choose an output format deliberately

For text export, use File > Save As and select the required text format. Microsoft’s text documentation notes a limit of 1,048,576 rows and 16,384 columns for Excel import or export; the limit is stated in the official text-import/export documentation and is not a promise that every external application accepts the same dimensions. Export an Excel workbook as HTML

To publish a web representation, use File > Save As and choose .htm, .html, or the single-file .mht/.mhtml option when offered. Microsoft’s Saving Documents as Web Pages documentation explains the web-page route. Before distributing the result, reopen it in Excel or a browser and inspect merged cells, column widths, dates, and links.

HTML export is not a round-trip backup. Microsoft lists unsupported or non-transferred features in Excel formatting and features that are not transferred to other file formats. Consult File formats that are supported in Excel when selecting a long-term storage format.

Troubleshooting checklist

  • No table appears: verify the URL is reachable without a login, look for a scripted or virtualized grid, and try saving the page HTML first.
  • Wrong table selected: compare every Navigator preview and choose Transform Data to remove layout rows and columns.
  • Headers repeat down the sheet: filter out repeated header rows in Power Query before loading.
  • Columns shift in CSV: confirm delimiter, quote character, and regional settings; fields containing delimiters must be quoted.
  • Accents are corrupted: revisit Web Page Options and select the source encoding.
  • Leading zeroes disappear: change the column type to text before loading or reformatting.
  • Refresh breaks: compare the current page structure with the query’s prior steps; renamed or removed HTML elements may require editing the query.
  • Features vanish after HTML export: retain and distribute the original XLSX; HTML, CSV, and text do not preserve all workbook features.

Frequently Asked Questions

Can I import a private webpage?

Only if Excel can authenticate to it through the connector’s available credentials and the page exposes data the connector can read; login flows and scripted grids may require a different export from the site.

Should I use HTML or CSV for another program?

Use CSV or tab-delimited text for structured row-and-column exchange, and HTML when the recipient needs a web-page representation. Keep XLSX for editable Excel functionality.

Why does the browser show a table that Excel cannot detect?

The visible grid may be built with JavaScript, canvas, nested layout elements, or virtualized rows instead of a conventional HTML table. Excel’s web connector detects what the page exposes to its import engine, not every visual element.

Can Excel preserve formulas when I save as HTML?

No. HTML and MHTML are not full-fidelity workbook formats; preserve the XLSX source when formulas, charts, PivotTables, or VBA are important.
