Fastest method: put the PDF in iCloud Drive, let it finish syncing, then use Finder’s Share control to create a view-only link. Choose Anyone with the link when every recipient should be able to open it, or invite specific people when access must be limited.

What you need before creating a PDF link
- A Mac signed in to the iCloud account that will own the file.
- iCloud Drive enabled and enough available cloud storage for the PDF.
- The final PDF saved locally, with a filename that is safe to disclose to recipients.
Apple’s documented collaboration workflow starts with a file in iCloud Drive. If the PDF is in Downloads, Documents, an external drive, or another cloud folder, copy or move it into iCloud Drive first. Do not share it until Finder indicates that synchronization has completed; otherwise, a recipient may receive a link before the cloud copy is ready.
Host the PDF with iCloud Drive in Finder
1. Move or copy the PDF into iCloud Drive
- Open Finder.
- Choose iCloud Drive in the sidebar.
- Drag the PDF into iCloud Drive, or copy and paste it there if you want to keep the original in its current folder.
- Wait for the item to finish syncing. A cloud-status indicator or the absence of a pending upload symbol normally shows that Finder has completed the transfer.
Keep the Mac connected to the internet while the upload completes. If you close the lid or disconnect during a large upload, wait for synchronization to resume before sharing.

2. Open the sharing controls
- Select the PDF in the iCloud Drive Finder window.
- Click the Share button, or Control-click the file and choose Share.
- Open the collaboration or sharing option presented by macOS.
The exact wording can vary slightly by macOS release, but the controls are available from an iCloud Drive Finder window or the item’s contextual menu.
3. Choose who can open the link

| Only invited people | The PDF contains private, client, school, financial, or internal information. | Access is limited to the people you add through the sharing controls. |
| Anyone with the link | You need a URL that works for every intended recipient without adding them one by one. | Possession of the URL grants access; it should not be treated as a confidential invitation. |
Apple’s iCloud legal terms describe files shared through a web link as publicly accessible to anyone who has that link. Do not use an anyone-with-the-link URL for a document whose contents must remain confidential.
4. Set view-only permission
Choose Can view or the equivalent view-only setting when people should read or download the PDF but must not change the shared file. Choose an edit or change-permission setting only when you genuinely want collaboration on the file itself.
For a normal handout, invoice, portfolio, résumé, or report, view-only is the safer default. It prevents collaborators from modifying the shared source while still allowing them to work with the document as Apple’s sharing interface permits.

- Use the sharing-management controls to choose Copy Link.
- Paste the URL into Mail, Messages, Slack, a support ticket, or another channel.
- Tell recipients whether they should only read the file or download a copy, and identify the document so they can recognize the link.
Send the link only after checking it yourself in a private browser window or another account, especially when you selected Anyone with the link. This catches accidental restrictions before the recipient does.

Manage, change, or revoke an iCloud PDF link
Change people or permissions
Select the shared PDF in iCloud Drive, open its sharing-management controls, and adjust the participant list or switch between view and change permissions. If a recipient no longer needs access, remove that participant rather than distributing a new URL.
Stop sharing
Use the same management panel to stop sharing the item. This prevents future access through that shared iCloud item, but it does not retrieve a PDF that somebody already downloaded or copied elsewhere. Treat every downloaded copy as outside your control.
Replace an outdated PDF
If you update the file in iCloud Drive while retaining the same shared item, recipients generally use the shared item you manage. Before relying on that behavior for a deadline, open the link yourself and verify that it shows the intended revision. If you instead upload a separately named file, it is a different item and needs its own share link.
Use iCloud.com when Finder is inconvenient
Apple’s iCloud web interface supports the same basic choices: invited people or anyone with the link, plus viewing or permission to make changes.
- Sign in to iCloud.com and open iCloud Drive.
- Select the PDF and choose the web interface’s Share command.
- Choose the access scope and permission.
- Copy the generated link and send it.
This route is useful when you are already managing files in a browser, working from a Mac where Finder is not available, or need to change a share while away from your usual computer.

Google Drive as an alternative host
Google Drive is practical if the PDF already lives there or your recipients work outside Apple’s ecosystem. Google’s computer instructions document an Anyone with the link setting, and state that people with that link can use the file without signing in to a Google Account.
- Upload the PDF to Google Drive.
- Select it and open Share.
- Under general access, choose Anyone with the link when open-link access is intended.
- Set the available permission level before copying the URL.
- Test the link in a private browser window.
Choose the service you already administer. iCloud Drive keeps the workflow inside Finder and Apple’s sharing controls; Google Drive can be more convenient when recipients are already organized around Google accounts or when you want the documented no-sign-in behavior for anyone-with-the-link access. The available instructions do not establish universal preview, download, storage-quota, or file-size behavior, so test the exact PDF and account configuration you plan to use.

- Inspect the PDF: remove hidden comments, revision marks, metadata, signatures, or personal information that should not travel with the file.
- Pick the narrowest access: invite named people for sensitive material; use anyone-with-the-link only when link possession is an acceptable credential.
- Use view-only by default: grant change access only for deliberate collaboration.
- Test as a recipient: open the link while signed out or in a private window to confirm the real access experience.
- Plan for copies: stopping the share cannot erase files already downloaded or copied to another service.
- Control distribution: avoid posting an open link in a public forum unless public access is the goal.
Troubleshooting common failures
The PDF does not appear in iCloud Drive
Confirm that you placed it in the iCloud Drive folder, not merely in a local folder named “Documents.” Check that iCloud Drive is enabled for the signed-in Apple Account, then wait for synchronization to finish.
The recipient is asked to request access
Reopen the share settings and check whether the file is restricted to invited people. Add the recipient, or change the scope to Anyone with the link if open access is appropriate. Copy the link again after changing the setting.
The recipient can view but cannot modify the file
That is the expected result of view-only permission. If collaboration is intended, change the permission to allow changes and send the updated link or notification.

The link worked earlier but no longer works
Check whether sharing was stopped, a participant was removed, or the file was moved or replaced with a different item. Open the current item’s sharing controls and copy its active link again.

The upload appears stuck
Keep the Mac online, leave Finder open for a while, and verify available iCloud storage. If the item remains pending, pause other large uploads, restart Finder or the Mac, and confirm that the file opens locally before trying again.
A sensitive file was shared with the wrong audience
Immediately stop sharing or remove the unintended participant, then create a new restricted share for the correct people. Assume that anyone who already opened or downloaded the old link may retain a copy; revocation cannot recall it.

For a single PDF, the limiting factor is usually upload completion rather than link creation. Large scans, image-heavy documents, and slow connections take longer to synchronize, so schedule the upload before a meeting or deadline and verify the link from another session.
The documented workflows do not establish a required paid tier, guaranteed delivery speed, storage quota, or maximum PDF size. Your account’s available storage and Apple or Google service status determine whether a particular upload succeeds. If the file is business-critical, keep a local master copy and a separate backup rather than relying on the shared URL as your only copy.

Do I need a paid cloud-storage plan to share one PDF?
The documented Apple and Google sharing steps do not establish that a paid plan is required. Check the storage and account limits shown in your own iCloud Drive or Google Drive account before uploading.
Can I make an iCloud link confidential after sending it?
You can narrow or stop the share from the file’s sharing controls, but anyone who already downloaded or copied the PDF may still possess that copy.
What is the safest default for a private document?
