Why a full calendar can still feel fragmented
A packed schedule is not the only source of interruption. In Microsoft’s 2025 Work Trend Index, Microsoft 365 telemetry showed an average interruption every two minutes from meetings, email, or notifications. The telemetry ended February 15, 2025, and reflects Microsoft 365 productivity signals—not a measurement of every worker or workplace. The report also excluded some data, including education and EU tenants. Microsoft’s 2025 Work Trend Index

In a separate survey conducted by Edelman Data x Intelligence from February 6 to March 24, 2025, among 31,000 full-time employed or self-employed knowledge workers across 31 markets, 48% of employees and 52% of leaders said work felt chaotic and fragmented. These figures describe respondents to that survey, not all workers.

Microsoft’s telemetry also found that 57% of meetings were ad hoc calls without calendar invitations, while one in ten scheduled meetings had been booked at the last minute. That helps explain why an open slot may not stay open, or why time between meetings can be hard to use. It does not mean every team has the same pattern. Microsoft’s 2025 report

Choose the work that actually needs focus
Before you reserve time, identify the deliverable and the part of it that needs uninterrupted thought. “Finish the first draft of the proposal” or “analyze the customer feedback” gives the block a purpose; “focus time” alone does not say what you intend to accomplish.
Microsoft Outlook guidance suggests putting a long or must-do task on the calendar by moving it from the Daily Task List. Treat that appointment as a commitment to a piece of work, not as a promise to finish an undefined backlog. Outlook Daily Task List guidance

Make room before defending a block
Look at the recurring meetings and invitations that consume your week. Some can be shortened, handled asynchronously, or attended by fewer people. You may not control every meeting, but clarifying its purpose can reveal where a change is possible.
- Ask whether an update or decision can be handled in email or chat instead.
- Clarify which attendees are required and which can be optional.
- Request an agenda and an owner for each agenda item so participants know why they are needed.
- Ask whether the team can adopt a shared meeting-free window or day.
- Leave breaks between meetings where the schedule allows, rather than booking every available minute.
Microsoft WorkLab presents these as team practices, not as a guarantee that any particular meeting can be removed. Its researchers Mary Czerwinski and Shamsi Iqbal advise: “Block focus time on your calendar for personal productivity and wellbeing, and protect it.” Microsoft WorkLab guidance

Reserve a realistic block and make it visible
Choose a start and end time that fits both the task and your actual schedule. There is no established block length that works best for every role; a useful duration depends on what you are doing, how much time is available, and what your team can respect. If a long stretch is impossible, try an available window that is long enough for a meaningful next step.
Name the block after the work, mark yourself unavailable if that is appropriate in your workplace, and reschedule it deliberately if a genuine conflict comes up. A recurring window can make the routine predictable; an opportunistic opening may be more realistic in a role with variable meetings. Neither approach is universally superior.

These controls can reduce interruptions or meeting conflicts, but they cannot decide which requests are genuinely urgent. Use them alongside a team agreement, not as a substitute for one.
Agree on what protected time means to the team
A private block is easy to override when colleagues do not know how you intend to use it. Agree on a few practical norms: when focus blocks are generally respected, what qualifies as urgent, how someone can reach you in an emergency, and when routine questions should be batched rather than sent one at a time.
If your role genuinely requires constant response or attendance, a calendar tactic may not solve the underlying conflict. Discuss workload, staffing, priorities, or coverage with your manager rather than treating every lost block as a personal failure.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesReview what happened and adjust
At the end of the week, check which blocks stayed intact, what displaced the others, and whether the time went toward the work you named. If meetings repeatedly claim the same window, try another time or raise that recurring conflict with the people who set the schedule. If the block survived but the task did not, make the next block’s intended outcome more specific.
Research on Microsoft Viva Focus Time discusses possible links between focused work and cognitive absorption, learning, creativity, perceived control, and relaxation; it does not establish that calendar blocking guarantees any of those outcomes. Microsoft Research paper on focus time
