Choose a backup method for each computer, configure its destination and access, then add another copy outside the NAS if you need protection from loss of the machine or its drives.
What a shared NAS backup setup does—and does not—mean
A NAS is a computer connected to your home network that can store files for multiple devices. Depending on the NAS model and compatible software, it can be a destination for Mac Time Machine backups, Windows or Linux computer backups, external-drive copies, and mobile-device data. Synology describes these as distinct backup paths, not one universal process that automatically captures everything on every device. Synology’s backup and data protection overview lists examples.

Before configuring anything, decide what “back up” means for each device. A folder backup is useful for retrieving selected documents or photos. A full-device backup is intended to help restore a computer after a larger failure. Synchronization keeps files aligned across locations, but changes or deletions can also propagate; shared storage simply makes files accessible. Neither should be assumed to provide the same recovery options as a versioned backup.

- Mac recovery: Time Machine can back up a Mac to a NAS share configured for that purpose.
- Full Windows PC recovery: A full-device tool may offer system-level backup and restore, but support depends on the NAS model, software version, and source computer.
- Phones and tablets: Mobile backup options differ from computer backup. Verify that the chosen app captures the data you care about rather than assuming it creates a full-device image.
Synology’s personal-backup overview identifies Synology Drive Client for computer file backup on Windows, macOS, and Linux, and Active Backup for Business for full Windows PC backup. These tools have different scopes; check the applicable compatibility and restore details before relying on either for a particular computer. Synology personal backup options and the Active Backup for Business specifications describe those distinctions.

Map each household device to a recovery goal
Make a short inventory before creating folders or installing clients. For every computer, note its operating system, the data to protect, and what you would need after a failure: a few older files, selected folders, or a restored computer. This prevents a common mismatch—setting up a file backup and later expecting it to rebuild the whole system.
| Device or recovery goal | Possible NAS backup path | What to verify |
|---|---|---|
| Mac, including older file versions | Time Machine to a NAS shared folder | SMB support, user permissions, available quota, and the Mac’s Time Machine settings |
| Windows, macOS, or Linux files and folders | A compatible file-backup client, such as Synology Drive Client on supported systems | Supported operating-system version, selected folders, versioning behavior, and restore procedure |
| Full Windows PC recovery | A compatible full-device backup tool, such as Active Backup for Business on supported configurations | NAS model and software compatibility, supported Windows edition, and the available recovery method |
| Mobile photos or other selected data | A compatible mobile backup workflow | Which data types are included and whether the workflow is backup, upload, or synchronization |
The table gives categories, not a guarantee that every NAS supports each option. Check the documentation for the specific device and software you plan to use. For full-device Windows workflows, Synology publishes supported source types and restore methods in its Active Backup for Business specifications.

Set up a Mac’s Time Machine backup to a Synology NAS
Synology’s Time Machine instructions call for an NAS shared folder, the SMB file service, a DSM user with read/write access, and selection of the share in macOS. A quota for the backup folder is recommended so one Mac’s history cannot consume all available NAS space. The exact menu names below reflect Synology’s guide, updated June 4, 2026. Read the complete Time Machine setup guide for model- and software-specific details.
Recommended Free Tools
- Create a shared folder on the NAS. In DSM, open Control Panel > Shared Folder and create a folder for Time Machine backups. A dedicated folder makes it easier to manage access and space.
- Enable SMB. In DSM, open Control Panel > File Services and enable SMB. Synology’s guide also describes optionally advertising the folder as a Time Machine destination through Bonjour.
- Create or choose a DSM user for the Mac. Give that account read/write permission to the backup share. Avoid granting broader access than the backup requires.
- Set a quota for the backup folder or user. A quota limits how much NAS capacity the Time Machine backup can use. Choose a limit that fits the Mac’s backup needs and the NAS’s overall capacity.
- Select the NAS share on the Mac. On macOS Ventura 13 or later, go to System Settings > General > Time Machine. On macOS Monterey 12 or earlier, use System Preferences > Time Machine. Add the NAS share as the backup destination and authenticate with the DSM account created for it.
After setup, confirm that Time Machine reports a backup destination and completes a backup. A destination appearing in settings is not proof that the intended folders are protected or that a restore will work; check the backup status and test recovering a noncritical file.

Configure the rest of a mixed-computer household
For each non-Mac workflow, use the client or backup service that matches the recovery goal, then direct it to the NAS using that product’s supported setup. A cross-platform file client and a full-PC imaging tool are not interchangeable. A computer client may cover only selected directories, while full-device recovery can require a compatible NAS model, operating system, and restore environment.
- Install only a client documented for the computer’s operating system and the NAS model.
- Select the folders or device scope deliberately; do not assume the default includes every user profile, external disk, or application data.
- Use separate accounts or folders where supported to keep household members’ backup access distinct.
- Check whether the backup retains previous versions and how to restore them. A live synchronized folder is not automatically a versioned backup.
- Review each device’s latest successful backup rather than treating the NAS’s online status as proof that all clients are working.
Synology lists multiple backup sources, including computers, mobile phones, and external drives, but the compatible options vary by product and configuration. Its backup overview and personal backup overview are starting points; confirm the exact device support before configuration.

Check capacity and access before backups accumulate
The required storage cannot be determined from the number of devices alone. It depends on the amount of data selected, the number of retained versions, and the space reserved for other NAS uses. Estimate the data you intend to protect, decide how much history to keep, and set quotas where the chosen workflow supports them. Do not assume a particular number of drives or capacity without checking the NAS and household requirements.

One NAS is not enough for every disaster
A NAS backup can make recovery from a computer problem more convenient, but it leaves the copies in one physical destination. Synology warns that multiple versions stored on the same NAS may help recover from corruption or accidental deletion, yet a RAID crash or hard-drive failure can still cause data loss. RAID, snapshots, synchronization, and backup address different risks; none turns a single NAS into an offsite copy.
Synology’s 3-2-1 recommendation is 3 copies, 2 storage mediums, 1 offsite. The company describes this as guidance for protecting NAS data, not as a measured guarantee of safety. Its NAS backup strategy article, updated May 8, 2026, explains the approach and the limits of keeping copies on one NAS.
To extend protection beyond the NAS, add another copy on a separate physical medium or in a remote/cloud destination, and configure that copy as its own backup job. A USB drive stored beside the NAS is still vulnerable to the same local event; an offsite copy addresses a different failure scenario. Check that the extra copy completes and that you know how to restore from it.
Test recovery, not just backup status
A backup is useful only if you can retrieve the data or restore the device when needed. Test a small, noncritical file first: locate an older version if versioning is enabled, restore it to a separate location, and open it. For a full-device workflow, review the documented recovery process and requirements before an emergency. Synology’s DSM 7.4 NAS User’s Guide covers backup destinations and browsing or restoring Hyper Backup data.
Quick Recap
- Confirm the latest backup timestamp for every household device.
- Verify that the intended folders or system scope are included.
- Restore a sample file without overwriting the original.
- Confirm the separate or offsite copy has its own recent, recoverable backup.
