Moving away from The Events Calendar (TEC) means transferring more than event titles: dates, recurrence rules, venue and organizer links, ticketing records, URLs, and the site features built around the calendar all need a plan. There is no single export route established to preserve everything. First identify what your site depends on, then rehearse the transfer on staging and check both the imported records and the visitor-facing workflows before switching.
First, distinguish a TEC data migration from replacing TEC
The Events Calendar’s 6.0-related data migration changes how TEC stores event and occurrence information. It is not the same operation as moving your events into a different calendar product. Check your installed TEC version and whether its internal migration is complete before choosing an export or importer; the source data model you are migrating from affects how recurring events should be mapped.

What TEC’s internal migration changes
TEC describes the older recurring-event approach as maintaining posts and metadata for occurrences. In the newer system, a recurring event uses one post, while distinct occurrence dates and times are stored in custom tables. TEC estimates that its own migration takes 5–10 minutes for many sites, but that is a vendor estimate, not a guarantee; event volume and complex recurrence rules can increase the time.
TEC documents a specific limitation: “Recurring events with RSVPs cannot be migrated.” For that internal migration, it says owners must remove the RSVPs, convert them to free tickets, or split those recurring events into single events. TEC also says tickets on recurring events are converted to Series Passes and recommends checking whether those passes meet the site’s needs. These constraints apply to TEC’s internal migration, not automatically to third-party importers.

What is unavailable during TEC’s internal migration
TEC says visitors can still view calendars and events, but cannot RSVP, buy tickets, or submit events while the migration runs. Administrators cannot create or edit events, venues, or organizers or change Events/Tickets settings. CSV, Eventbrite Tickets, and Event Aggregator imports also pause. TEC recommends a staging rehearsal, a database backup, current plugin versions, review of draft and trashed events, and checking server requirements; aggressive caching can interrupt the process.
Inventory the records and relationships that must come across
Make a baseline before exporting. Record counts by event status and date range, venue and organizer counts, recurrence series and occurrences, and ticket, attendee, and order totals. Save a representative set of important event and archive URLs. Counts reveal missing records, but they cannot prove that recurrence rules or relationships survived, so include cases for manual comparison.

- Events: titles, long and short descriptions, dates, start and end times, timezone, all-day status, publication status, cost, featured images, categories, tags, custom fields, and metadata. Include published, draft, private, pending, and trashed records if they have retention value, as well as past and future events.
- Recurrence: series identity, rules, occurrence dates, exceptions, exclusions, cancellations, and any content that differs between occurrences. TEC’s technical documentation treats series and occurrences as separate concepts.
- Related records: venues and organizers, their details, and their associations with each event. TEC’s CSV guidance says to import venues and organizers before events when those records need to be linked.
- Ticketing and attendance: ticket types, prices, capacities, orders, attendees, RSVP records, check-in status, refunds, and the links connecting each record to the correct event or occurrence. TEC lists ticket and attendee objects, but the available migration information does not promise that every destination preserves orders, refunds, or check-in state.
- Site dependencies: event and archive URLs, widgets, shortcodes, page-builder or theme templates, search and filter views, structured data, REST API clients, email automations, calendar subscriptions, and imported feeds. Note any custom code or template overrides as well.
Choose a transfer path by the data you need
CSV, ICS, APIs, and destination-specific wizards solve different problems. None is established as a complete backup of TEC-specific data and behavior.

Know what is most likely to need repair
Recurring schedules and exceptions
A destination may import a series but represent its individual occurrences, exceptions, or cancellations differently. A count of imported events will not catch a shifted occurrence or a lost exclusion. Confirm how the destination handles series and occurrences before relying on its recurrence import.

Registrations, tickets, and attendance history
A claim to import “tickets” or “attendees” does not by itself establish that capacity, attendee notes, orders, refunds, or check-in state will remain intact and attached to the right event. Confirm each record type your staff needs, and decide how to retain any history the new system cannot accept.
URLs, templates, and integrations
Changed event or archive slugs can break bookmarks, backlinks, and search results. Theme overrides, page-builder layouts, shortcodes, widgets, filters, APIs, email workflows, and external feeds can also depend on TEC-specific behavior. TEC supports REST endpoints and JSON-LD structured data; a replacement may expose different routes or markup, so inspect rendered pages and update consumers rather than assuming they will continue to work.

Operational interruption
A replacement migration’s downtime depends on the method and destination. Separately, TEC’s own internal migration pauses editing, ticket sales, RSVPs, submissions, and imports as described above. For either operation, schedule the live change when staff can validate the new calendar and resolve problems.

Use a staging rehearsal before cutover
- Record the source setup. Note WordPress, PHP, TEC, and add-on versions; whether TEC’s custom-table migration is complete; active ticketing and import add-ons; and custom code or template overrides.
- Build the inventory and baseline. Count the relevant records and statuses, identify important recurrence patterns, and capture key URLs and relationship examples. Include past or non-published content if it must be retained.
- Choose the method against the inventory. Use CSV for supported tabular records, ICS for calendar interchange or subscriptions, API extraction for deeper object-level needs, or a destination importer after checking its compatibility with your installed versions.
- Back up and rehearse on staging. Create a restorable database and file backup, then run the complete transfer on a staging copy. Make the first validation there, not on the live site.
- Reconcile records and workflows. Compare counts, then manually inspect representative records and their relationships. Test the visitor and staff flows your site uses: calendar filters, event pages, registration, checkout, check-in, submissions, email, API clients, and subscriptions.
- Map routes and integrations. Decide how old URLs map to new ones and add redirects where routes change. Check metadata and structured data, and update API and feed consumers. Keep the old installation and exports until the new calendar passes acceptance checks.
- Cut over and monitor. Communicate any registration or sales pause, switch traffic only after the rehearsal passes, then watch for 404s, failed registrations, duplicate events, and feed problems. Exact cutover steps depend on your hosting setup and selected destination.
Decide whether the destination is ready
Before committing to a replacement, verify its supported TEC and add-on versions and test the fields and behaviors your site actually uses. Compare candidates on data coverage, relationship fidelity, recurrence and exception handling, ticketing operations, URL continuity, integrations, and rollback options. The available information establishes one advertised destination example, not a complete independent comparison of migration products, so a representative staging migration is the evidence that matters for your site.
