How to Keep Human Review in an Automated Month-End Close

A practical guide to preserving accountable human review, audit-ready evidence, and control monitoring as you automate month-end close work.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep human review in an automated month-end close by automating repeatable, rules-based processing while assigning named people to review material outputs, investigate exceptions, and approve significant judgments. Build the review, evidence, escalation, and follow-up steps into the close workflow itself; do not treat automation as a substitute for accountability.

There is no universal approval threshold or reviewer rule that fits every organization. Set those requirements from your risk assessment, accounting obligations, and reporting needs. The practical goal is a close that is faster where work is predictable and more deliberate where judgment, unusual items, or control failures could affect the reporting.

What human review means in an automated close

Human review is a defined control activity, not a last-minute glance at a completed report. A person with appropriate knowledge is responsible for checking whether a particular automated process or output is reliable for its intended purpose, investigating issues that require judgment, and documenting what happened.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Automation can prepare journal entries, perform calculations, match transactions, route approvals, or assemble reconciliations. Those steps may reduce repetitive effort, but they do not themselves establish that the inputs were complete, the configuration was appropriate, unusual activity was resolved, or the resulting financial information is reasonable.

AICPA & CIMA states in its May 12, 2026, Future-Ready Finance: Productivity at the Human–Technology Crossroads material that “Critical thinking, ethical judgment, and communication abilities are required to review and validate AI-generated outputs.” That statement concerns AI outputs specifically; the broader close-design lesson is to reserve professional judgment for people rather than treating an automated result as self-validating.

A useful review control answers four questions: who is responsible, what they must inspect, what conditions require escalation, and what evidence demonstrates that the work was completed. A vague instruction such as “review the report” is difficult to perform consistently or verify later.

Which close steps should still need human review?

Start with the risk and control objective, not with a list of tasks that happen to be easy to automate. Stable processing governed by clear rules is a stronger automation candidate than work involving estimation, interpretation, unusual transactions, or uncertain data. Some automated activities still require a person to validate the controls around them; some manual controls may remain appropriate when the systems that support automation are not sufficiently reliable.

Prioritize judgment and exception handling

  • Estimates and assumptions: Require a qualified person to assess the assumptions and supporting information used in estimates, rather than approving a calculated amount solely because the system produced it.
  • Unusual or non-routine items: Route transactions outside established rules, unexpected movements, and other exceptions to a named owner for investigation and resolution.
  • Material outputs: Identify the close outputs whose error could matter to the organization’s reporting, and assign a reviewer who can evaluate them in context.
  • Configuration and rule changes: Establish review of changes to logic, mappings, access, or other settings that could alter automated results. The reviewer should be able to determine what changed and whether the change was authorized and appropriate.
  • Reconciliations and unresolved differences: Do not let a system’s match status substitute for examining unexplained or recurring reconciling items. Assign someone to understand and resolve them.
  • Control failures and overrides: Require a person to assess failed checks, overrides, late changes, and repeated exceptions, including whether they indicate a broader problem.

These are design priorities, not a universal mandate that every item needs a separate approval. The reviewer, approval route, and threshold should reflect the entity’s risk assessment and applicable accounting, audit, and regulatory obligations. The cited guidance does not establish a universal materiality amount or reviewer-independence rule.

Choose the right mix of manual and automated controls

Control design is not a binary choice between automating everything and leaving every task manual. A COSO-based implementation guide published by Crowe for healthcare providers describes controls as potentially preventive or detective, and manual or automated. It also notes that organizations generally use a mix suited to their business model. Its examples are healthcare-specific; these control concepts are design guidance, not a current accounting standard or a replacement for jurisdiction-specific requirements.

Control design choice What it does Useful when What to account for
Preventive Helps stop an error or unauthorized action before it affects the process. A rule, authorization, or workflow gate can reliably block an identified risk. Review whether the rule is configured correctly and whether exceptions can bypass it.
Detective Identifies an error, unusual result, or control failure after it occurs. Not all errors can be prevented, or review of resulting activity is needed. Define who investigates findings, how promptly they must act, and how resolution is recorded.
Automated Applies a programmed check or process consistently across its configured scope. The task is rules-based and supporting system controls are operating. Reliability depends on relevant information-technology general controls, including reliable access and change controls.
Manual Uses a person’s inspection, judgment, or approval as the control activity. The risk requires interpretation or limitations in technology controls make a manual control appropriate. Specify the evidence, review criteria, and follow-up so performance is consistent and demonstrable.

These options can be combined. For example, an automated rule may flag entries outside expected parameters, while a qualified reviewer investigates the flagged items and documents their disposition. The rule helps identify a population for attention; the human review supplies the judgment and follow-through.

The Crowe/COSO guide says automated controls tend to be more reliable and efficient when relevant technology general controls are implemented and operating. If access, configuration, or system-change controls are not dependable, do not assume an automated check is trustworthy simply because it runs consistently. Reassess the control mix and consider whether manual inspection or approval is needed to address that limitation.

Build human review into the close workflow

The following sequence turns those principles into an operating design. It is a practical synthesis, not a checklist prescribed verbatim by one source.

  1. Map tasks to risks and control objectives. List each close activity, the information it uses, the output it produces, and what could go wrong. State what the control is intended to prevent or detect before deciding whether to automate. Separate stable, rules-based processing from estimates and interpretation.
  2. Define the human review for each automated step. Name a control owner and identify the reviewer’s required inspection: relevant inputs, output totals, unusual results, exceptions, and configuration or logic changes where applicable. Specify what a satisfactory review means instead of relying on a general “looks good” instruction.
  3. Set escalation and approval criteria. Determine which cases require additional expertise or approval, based on the organization’s risk assessment and applicable obligations. Record who receives an escalation, what information they need, and how the item returns to the workflow after resolution. Do not adopt a generic numeric threshold without a basis in your own requirements.
  4. Capture reproducible evidence as the work happens. Retain dated outputs, the source data or reconciliation support needed to understand them, reviewer identity, review notes, exceptions, resolutions, and sign-off. Preserve appropriate access and change records for the systems and configurations that produce the results.
  5. Monitor exceptions and control performance. Track failures, overrides, late changes, recurring reconciling items, and control deficiencies. Assign remediation owners and target dates, then retest affected controls after changes. Define how unresolved issues are escalated rather than allowing them to disappear at period-end.
  6. Reassess when conditions change. Review the control mix when systems, processes, risks, strategies, or reporting requirements change. The Crowe/COSO guide emphasizes keeping risks and controls aligned with objectives as circumstances change.

Make review evidence useful and auditable

Evidence should let another qualified person understand the control objective, who performed and reviewed the work, what inspection or testing occurred, what exceptions arose, and how deficiencies were addressed. The Crowe/COSO implementation guide identifies these kinds of attributes in its discussion of control reporting. A sign-off without context may show that a step was marked complete, but not what was actually reviewed.

A practical evidence record

For each review, retain the records needed to reconstruct the decision: the dated system output; relevant source data or reconciliation support; the reviewer’s identity and completion date; notes describing the checks performed; the exceptions identified; how each exception was resolved or escalated; and the final approval or sign-off. Keep the evidence tied to the process and reporting period it supports.

For automated steps, the review record should also be interpretable alongside the system’s relevant access and change history. A reviewer may need to determine whether the logic or configuration changed, whether the change was authorized, and whether it affects the output under review. Retention periods and access restrictions should follow the organization’s policies and applicable requirements; the cited sources do not prescribe a universal period or technology configuration.

Distinguish review from approval

Review and approval can be separate control actions. A reviewer may inspect and challenge a reconciliation or exception; an authorized approver may then accept the resolution or require further work. If the same person performs both roles, define the responsibilities clearly and assess whether that arrangement is appropriate for the risk and applicable requirements. The sources cited here do not establish a universal segregation or independence rule.

Monitor controls instead of assuming they keep working

A control that worked when first implemented may become ineffective after a process, system, risk, or reporting change. Monitoring should therefore look both at whether the control operated and whether it remains suited to the current objective.

The Crowe/COSO guide describes periodic or ongoing evaluations. It also notes that continuous monitoring can assess all transactions and system activity in a process area rather than relying only on sampling. That describes a possible monitoring approach, not a requirement to monitor every process continuously. Choose a cadence and coverage suited to the risk, available evidence, and the organization’s systems.

Signals worth tracking

  • Automated checks that fail, produce unexpected results, or are bypassed.
  • Manual overrides and changes made late in the close.
  • Exceptions or reconciling items that recur across periods.
  • Review steps completed late, with missing support, or without clear resolution.
  • Control deficiencies and whether assigned corrective actions were completed and retested.

Assign an owner and due date to remediation, and record the retest result after a correction or system change. If the underlying issue remains, revise the control or escalation route rather than treating a completed action as proof that the risk has been addressed.

Balance close speed with control quality

Automation can reduce repetitive work and help work happen sooner, but speed is not the only measure of a sound close. AICPA & CIMA’s Controller Series: Best Practices: The Soft Close course identifies procedures that can be automated to mitigate human error and addresses the tradeoff between internal controls and fast close processes. Its Accelerating the Close course frames process improvement around gaining control, accuracy, and completeness as work gets done sooner. These are professional education materials, not regulator-issued rules or evidence that a particular close duration is achievable.

In practice, a faster workflow should preserve the checks that address material risk. Look for delays caused by rework, unclear ownership, or avoidable manual handling before removing review gates. If a proposed change reduces review time, consider whether it also removes a control objective, limits the evidence available, or makes exceptions harder to detect. Keep a control only when it addresses a meaningful risk, but do not remove one solely to improve a speed metric.

Common design failures and how to correct them

Automation is treated as proof of correctness

Why it fails: A process can run as configured while relying on incomplete inputs, unsuitable logic, or an unexamined exception. Correction: Assign review of relevant inputs, outputs, and exceptions, and verify that the supporting technology controls are operating.

The reviewer is named but the review is undefined

Why it fails: A role assignment does not tell the reviewer what to inspect or what counts as an unresolved issue. Correction: Document the control objective, review criteria, required evidence, and escalation route for the specific activity.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Exceptions are flagged but not owned

Why it fails: Detection without investigation and resolution leaves the underlying risk in place. Correction: Route each material exception to a named owner, track disposition, and escalate unresolved issues under defined criteria.

Evidence consists only of a completion mark

Why it fails: A status indicator alone may not show what was inspected, what was found, or how a discrepancy was resolved. Correction: Keep the output and supporting information with reviewer notes, identified exceptions, resolution, and sign-off.

Controls are not revisited after a change

Why it fails: New systems, changed rules, or altered risks can invalidate the original design. Correction: Reassess risks and controls after relevant changes, document resulting decisions, and retest affected controls.

Set policy without pretending one threshold fits all

A workable close policy should make ownership and evidence clear while leaving thresholds and approval routes grounded in the entity’s circumstances. At minimum, document the control objective for each automated activity, the person accountable for its operation, the review criteria, the escalation route, the evidence to retain, and how failures or deficiencies are remediated.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use the entity’s risk assessment and applicable accounting, audit, and regulatory obligations to define which items are material, which reviewers need particular expertise, and when a second approval is warranted. The available AICPA & CIMA and COSO-based materials support human judgment, mixed control design, evidence, and monitoring; they do not prescribe a universal close duration, dollar threshold, reviewer rule, or system setup. Keep those local decisions explicit so staff can apply them consistently and management can revisit them when circumstances change.
