Those are separate access paths—not interchangeable guest settings. Use External Access for eligible chats, guest access for a team, B2B direct connect for a shared channel, and meeting chat only for meeting-related discussion.
Choose the right Teams access path

Before changing access, compare the scope the person needs, administrator prerequisites, invitation and acceptance requirements, available features, and how long access lasts. Switching from chat to a channel does not automatically carry over conversation history or permissions.
Keep an external one-to-one or group chat working
Use External Access for chat—not team membership
External Access is the route for chatting with eligible people outside your organization. Microsoft documents one-to-one chat with users of Teams, Teams Free, and Skype for Business; Teams and Teams Free users can also join new or existing group chats. Someone without a Teams account may be invited to create an unmanaged account, and a Teams Free user must accept the chat invitation.
There is a specific restriction when expanding an existing group conversation: Microsoft’s instructions say it must already include at least one external participant before another external participant can be added. If the conversation does not meet that condition, start an appropriate new chat instead of expecting the existing one to accept an outside participant.

Check policies on both sides
Microsoft says External Access is on automatically, but an administrator can disable it or restrict it, including by address or domain. The other organization’s settings can also prevent communication. If a person cannot be found, invited, or reached, ask the Teams administrators for both organizations to check External Access and any address or domain restrictions. The precise result can depend on each tenant’s policy.
Understand chat feature and governance limits
External chat is not equivalent to an internal collaboration space. Microsoft says external participants using Teams or Teams Free can use features such as mentions, formatting, reactions, and status, but cannot share or attach files or use tabs or apps in the external chat described in its guidance.

There are also governance implications: Microsoft says retention follows the shortest applicable policy among participants, and that data loss prevention (DLP) and information barriers do not apply to External Access chats. Administrators should assess those differences before using this route for sensitive work.
Give an outside collaborator access to a team
Enable guest access, then invite and wait for acceptance
- Ask an administrator to enable guest access if it is not already permitted. A team owner cannot bypass an organization-wide restriction.
- Have a team owner invite the person by entering their email address and sending the invitation. Follow the current Teams interface and the organization’s guest-access policy.
- Ask the guest to accept the email invitation. The guest cannot access the team before accepting it.
- Allow time for access to activate. Microsoft notes that access can take a few hours after a guest is added.
Check what the guest is expected to do
Guest access grants team-level collaboration, but does not provide every member capability. Microsoft’s capability guidance says guests can participate in private chats and channel conversations, but do not have the listed ability to share a chat file or add apps such as tabs, bots, or connectors. File access is also affected by administrator-controlled SharePoint settings. Confirm the specific file permissions and capabilities the person needs rather than assuming that team membership grants them.

Share a channel across organizations
Use B2B direct connect for a shared channel
A shared channel is not a team guest invitation. Microsoft states, “Guests can’t be added to shared channels.” Cross-organization access instead uses B2B direct connect, which administrators in both organizations must configure. After it is enabled, a channel owner can share the channel with people outside the organization; those external participants can be members, not owners.

With a shared channel, participants can collaborate without switching organizations. If the outside person specifically needs team-wide access, use guest access instead; if the need is channel collaboration, ask both administrators about B2B direct connect.
Review the channel’s membership directly
Shared-channel membership can persist separately from team membership. Microsoft’s shared-channel guidance says removing someone from a team does not necessarily remove them from a shared channel that was shared with them directly. If someone still has access—or has unexpectedly lost it—review the shared channel’s own membership and sharing configuration rather than relying only on the team roster.

Keep meeting chat expectations clear
Meeting chat is tied to the meeting and its participant rules; it should not be treated as a guaranteed long-term external conversation. Microsoft says external or anonymous attendees who are not managed by an organization cannot access meeting chat after the meeting. Adding an external person directly to a meeting chat prompts creation of a new group chat.
For recurring meetings, removing someone from the series removes their access to its chat. A person invited to only one occurrence does not see earlier chat history from the series. If the collaborator needs continuity beyond a meeting, use an appropriate ongoing chat or collaboration space rather than depending on meeting chat history.
Troubleshoot a guest or external participant who cannot connect
- They cannot find or message you: confirm External Access is allowed by both organizations and that neither has blocked the person’s address or domain.
- They cannot join the existing group chat: check whether the chat already includes an external participant; Microsoft documents that condition for adding more outside participants.
- They received a team invitation but cannot open the team: confirm they accepted the invitation, guest access is enabled, and allow time for activation.
- They need a shared channel: do not invite them as a guest for channel membership. Ask both organizations’ administrators to configure B2B direct connect, then check the channel’s membership.
- They lost access to meeting chat after the meeting: this can be expected for external or anonymous attendees not managed by an organization. Move ongoing collaboration to a suitable chat or channel.
