How to Keep an Offline RAG Assistant’s Knowledge Base Up to Date

A practical local sync workflow for detecting changed, new, and deleted documents while keeping the full RAG ingestion pipeline offline.

Keep an offline RAG assistant current by treating its index as a rebuildable copy of your source files and running a repeatable sync: detect new, changed, and deleted documents, update only the affected records, then test retrieval. To stay offline, keep not just the language model but also document processing, embeddings, vector storage, and the update job within your local environment.

What an update actually changes

A RAG assistant does not usually search your original files directly. Its index is derived from them: a pipeline loads documents, transforms and splits their content, creates embeddings, and writes the resulting records to a vector store. When a source document or a material part of that pipeline changes, the derived records may need to be rebuilt or synchronized.

The source files should remain authoritative; the vector index is a derivative that can be recreated. Keep stable identifiers for documents and a content hash for each one. An ID tells the updater which logical document it is looking at; a hash helps determine whether its content has changed. LlamaIndex documents ID- and hash-based document management, while LangChain describes a record manager that stores document hashes, write times, and source IDs (LlamaIndex ingestion pipeline; LangChain indexing guide).

A reliable local update cycle

1. Identify the complete source set

Choose a source-of-truth directory or manifest and assign deterministic IDs to files or logical documents. LlamaIndex notes that SimpleDirectoryReader can use filenames as IDs. Decide how a rename should be treated: as the same logical document with a changed identifier, or as deletion of the old item and addition of a new one. Without a deliberate rule, renamed files can leave duplicate or orphaned chunks in the index (LlamaIndex document management).

Ideal for gaming, video editing, and multitasking, it provides expansive and crisp multi-display support.

A directory scan can reveal deletions only if the updater sees the full relevant directory. If it processes only a batch of changed files, it needs another trustworthy deletion signal, such as a manifest or explicit deletion event.

2. Run the same processing pipeline

For each source, extract text, normalize it as needed, split it into chunks, attach source metadata, and embed the resulting content. LangChain describes this general flow as loading source data, transforming it into documents, embedding, and inserting documents and embeddings into a vector store (LangChain indexing guide).

Keep parsing, chunking, metadata, and embedding settings consistent during routine updates. A material change to those settings can alter derived records across many files even when the originals have not changed. Treat such a change as a planned reindex or reconciliation, rather than assuming the old records remain compatible. LlamaIndex also documents caching transformation results in an ingestion pipeline when the cache is persisted (LlamaIndex ingestion pipeline).

3. Compare IDs and content hashes

Use the comparison to decide which work is necessary:

  • New ID: extract, split, embed, and insert the document.
  • Same ID and same hash: skip it if the indexing system can verify that it is unchanged.
  • Same ID and changed hash: regenerate its derived chunks and embeddings, then replace the old records.
  • Previously indexed ID no longer present: remove its records, based on a complete source scan or a reliable deletion signal.

LlamaIndex says refresh() inserts unseen documents and updates documents whose text changed under the same ID; it also provides deletion by document ID. Its ingestion pipeline can track document IDs and hashes, skip unchanged duplicates, and reprocess changed ones when connected to a vector store (LlamaIndex document management; LlamaIndex ingestion pipeline).

Deletion is a separate lifecycle operation, not an automatic consequence of adding or updating files. LangChain describes cleanup modes for removing records that no longer correspond to the indexed source set. Its current reference describes incremental cleanup as deleting documents associated with source IDs seen during indexing but not updated; check the behavior and scope of the cleanup mode in the version you use (LangChain RecordManager reference).

4. Keep the entire pipeline local

“Offline” must apply to every component, not just text generation. LlamaIndex describes local runtime options such as Ollama, llama.cpp, vLLM, and Hugging Face Transformers; local Hugging Face embeddings; an optional local reranker; and disk-persistable or self-hosted vector storage. Its described embedding, reranking, and retrieval steps make no outbound calls (LlamaIndex privacy and security).

Audit parsing, embeddings, vector storage, telemetry, update checks, and scheduled source fetching separately. A hosted embedding or parsing service may transmit document content, and a hosted model may receive queries. If your update job fetches websites, that job uses a network even if the assistant operates locally afterward. For a stricter offline workflow, bring new material in through a controlled transfer and run ingestion locally.

5. Persist state and verify retrieval

Persist the vector index and the metadata needed to update it: source IDs, hashes, processing configuration or version, and update time. LlamaIndex documents disk persistence for SimpleVectorStore and self-hosted alternatives; LangChain demonstrates a local filesystem store for cached embeddings (LlamaIndex privacy and security; LangChain embedding cache guide). Preserve the originals and test that a backup can be restored before relying on it. The right storage capacity depends on the corpus and index size; an external drive is optional if local storage is sufficient.

After each update, check retrieval with questions whose answers and source passages are known. Include questions answered by new material, questions affected by edits, and questions that should no longer retrieve deleted content. Inspect retrieved passages and source metadata, not only the fluency of the generated answer. Ingestion counts for added, skipped, updated, and deleted records can help expose a sync that did less—or more—than expected.

If a refresh fails, retain the previous usable index until the replacement has passed basic validation. This avoids treating a partially updated index as a successful one.

Choose an update mechanism that matches your sources

Several approaches can work; compare them against the properties that matter for your corpus rather than assuming one framework or schedule fits every setup.

Decision area What to check
Change detection Full directory scan with hashes, timestamp checks, explicit source events, or framework document refresh. Hashing requires reading content but is less dependent on timestamps.
Deletion handling Whether removed files are detected and their chunks deleted, and whether cleanup is safely scoped by source ID.
Re-embedding cost Whether unchanged documents and transformation results can be skipped or cached, and whether a model or chunking change invalidates that cache.
Offline boundary Whether parsing, embeddings, reranking, vector storage, and scheduled updates remain local—not only text generation.
Recoverability Whether source files, index, document or record manager, and caches can be reconstructed or restored together.
Validation visibility Whether the update job reports added, updated, skipped, and deleted counts and can be checked against known retrieval cases.

How much can be incremental?

You generally do not need to re-embed every unchanged file for an ordinary content update. Stable IDs and hashes let an updater skip inputs whose content is unchanged, while changed documents get new derived records. LangChain’s indexing guide describes avoiding duplicate writes and re-embedding unchanged content; LlamaIndex documents comparable ID- and hash-based behavior (LangChain indexing guide; LlamaIndex ingestion pipeline).

That does not mean every pipeline change can be handled by updating a few files. If the embedding model, chunking, or parsing rules change materially, prior cached results or index records may no longer represent the current pipeline. Plan a broader reconciliation or rebuild where necessary. A text-hash embedding cache, such as the filesystem-backed example in LangChain’s guide, can reduce repeated computation, but namespace or invalidate it when the embedding model or its configuration changes (LangChain embedding cache guide).

Set a cadence based on the cost of stale answers

Run updates as often as your source material and risk require. A daily scheduled job is an example in LangChain’s 2023 indexing article, not a universal recommendation. Frequently changing operational documents may warrant more frequent syncs; a stable personal archive may need them less often. Whichever cadence you choose, ensure that each run can detect deletions and report what it changed (LangChain indexing guide).

Framework APIs and examples evolve. LangChain’s indexing article was published on September 6, 2023, so use it for the concepts of hashes, record management, and cleanup, but verify code syntax against the current documentation for the version you deploy.
