You cannot guarantee that an AI agent will never make a mistake about an invoice. You can prevent an unchecked model proposal from directly authorizing a financial action: the model proposes; application code verifies; authorization controls execution. Treat every model-produced invoice field or decision as untrusted until it has been checked against reliable records and policy, then place the final gate immediately before the action that changes a financial system.
Why a valid AI response can still be wrong
Structured output can require an agent to return fields in a particular format, which makes its response easier to parse. It does not establish that the supplier, amount, due date, or recommendation matches the invoice. OpenAI’s Structured Outputs documentation warns that “Structured Outputs can still contain mistakes.” It also distinguishes schema matching from basic JSON validity: “While JSON mode ensures that model output is valid JSON, Structured Outputs reliably matches the model’s output to the schema you specify.” Neither statement means the values are true.

For invoice processing, keep three separate questions separate: Is the response shaped correctly? Is each important value supported by trusted evidence? Is the proposed action authorized? A schema can help with the first; independent checks address the second; policy and approval controls govern the third.

Enforce the rule in application code at the boundary of each tool or integration that can create a financial side effect—for example, posting an invoice, approving it, or initiating a payment. Do not rely only on a check earlier in the agent’s run. OpenAI’s guardrails guide says custom tool-call checks should sit next to the tool that creates the side effect; agent-level checks do not necessarily run around every tool call.

- Available in Multiple Sizes – Choose from X-Large (7/8" x 2-1/4"), Large (3/4" x 1-7/8"), or Medium (9/16" x 1-1/2") to suit different needs.
- Improves Record-Keeping – Helps track approvals for audits, compliance, and internal documentation.
- Saves Time – Eliminates the need for handwritten approvals, ensuring consistency and efficiency.
- Enhances Organization – Visibly distinguishes approved documents, reducing confusion in workflow.
- Customizable Ink Colors – Available in red, blue, or black with matching self-inking bodies for a sleek and organized appearance.
The resulting boundary is straightforward: the model may recommend an action, but it cannot make that action happen merely by returning a confident answer, extra fields, or different prose. The application should independently verify the proposal, apply rules that the model cannot rewrite, and authorize only the action that passed those checks.
Build the invoice decision gate
- Request a constrained proposal. Have the agent return explicit fields and, where practical, field-level evidence or references to the source. Treat all returned content—including evidence references—as claims to check, not as proof.
- Validate the response locally. Check required fields, types, and allowed values with a schema validator enforced by your application. Validation behavior depends on the SDK surface: OpenAI’s Structured Outputs guide notes that raw JSON Schema support may parse JSON without performing local validation, so verify what your chosen mechanism actually enforces.
- Compare values with authoritative evidence. Check invoice fields against the source invoice or trusted extraction, then reconcile relevant details with records such as purchase orders and vendor records. Run duplicate checks where appropriate. A well-formed response does not prove that any of these comparisons pass.
- Apply deterministic business policy. Keep thresholds, exception conditions, and authorization rules in application-controlled logic rather than accepting policy supplied by the model. The exact rules depend on the organization’s process; the cited OpenAI documentation does not prescribe an accounts-payable policy.
- Pause uncertain or high-risk cases. Route disputed amounts, unmatched purchase orders, uncertain vendors, unusual payment terms, policy exceptions, and other organization-defined risks to an authorized human before the tool proceeds. These are practical examples, not a tested or exhaustive risk list. OpenAI’s guardrails guide describes pausing a workflow for human approval before continuing.
- Execute only the authorized pending action. At the side-effecting tool boundary, confirm that validation and policy checks passed and that any required approval applies to the exact action being executed.

A reviewer should be able to see what they are approving, including the vendor, amount, destination, and proposed action. The server—not a client-submitted claim—should retain the pending action and its approval state.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesThis matters when workflows can pause and resume. The Agents SDK documentation explains that serialized run state may contain pending tool calls and approval decisions, and that deserializing a snapshot does not authenticate it. See OpenAI Agents SDK human-in-the-loop guidance. Keep the full state in trusted, application-controlled storage; bind the reviewer’s decision to the exact pending action. Possession of a run ID, decision ID, or serialized snapshot alone is not authorization.

What this control does—and does not—protect against
- It is not a guarantee of perfect extraction. If invoice text or OCR is wrong or incomplete, comparing the agent’s answer with that same faulty extraction may not uncover the problem. Preserve source text, extraction provenance, and discrepancies so reviewers can inspect the evidence.
- It is not an independent check if both sides come from the model. Comparing one model-generated value with another does not establish that either matches the invoice or business records. The verification source should be authoritative and sufficiently independent of the proposal.
- It is not proof that a correct-looking decision is authorized. A decision can match the invoice and still violate a threshold, policy, or approval requirement. Keep those rules outside model-generated output.
- It is not a promise of zero errors. The defensible benefit is control over whether and when a model proposal can affect a ledger or payment workflow—not the elimination of hallucinations or every possible failure.
