Use one row per bet or ticket. Record the details and odds you actually accepted when placing it, then add the result and the amount actually returned once settlement is final. Keeping stake separate from gross return makes your profit or loss easier to calculate and check against a receipt or account history.
What to record for each bet
A useful ledger identifies the wager and its final settlement. The UK Gambling Commission lists transaction details that licensed pool-betting operators in Great Britain should retain, including the bet date, stake, track and race or pool identity, selection, winnings and the date winnings were paid. That operator-facing guidance is a useful reference for a personal spreadsheet, not a personal legal checklist. See the UK Gambling Commission’s information requirements guidance.

Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →- Bet ID: a unique number or short reference for each ticket.
- Date and time placed: when the bet was accepted.
- Bookmaker or tote: where it was placed.
- Track or meeting, race number or time: enough detail to identify the event.
- Selection: the horse or other selection covered by the bet.
- Bet type: for example, win, place, each-way or forecast.
- Accepted odds and odds format: record the odds shown on the accepted ticket, and label them as decimal, fractional or American.
- Stake: the amount risked, in the currency used for the wager.
- Settlement status and result: such as open, settled, void/refunded, won or lost.
- Gross return actually credited: the amount paid back, using a consistent definition.
- Net profit/loss: calculate only once the result and return are final.
- Payout date and receipt/reference: details that help reconcile the row with the ticket or account history.
- Notes: optional context about corrections or unusual settlement details.
Use one currency consistently, or add a currency column if your records include more than one. Keep a receipt or account-history reference where possible; it helps you check a row if a settlement is corrected or disputed.

How to calculate profit or loss
First decide what your return column means. If it contains the gross return—the full amount credited, including any returned stake—then for a straightforward, fully settled cash wager:
net profit/loss = gross return - stakeFor example, if the stake is 10 and the gross return including stake is 25, net profit is 15. If the bet loses and the return is 0, net profit/loss is -10. These figures illustrate the arithmetic only; use the currency that applies to your own bet.

If your return column records winnings excluding the returned stake, label it clearly and do not use the same subtraction formula. Otherwise the stake may be counted incorrectly. The distinction matters because “return” can be used to mean either the full payout or winnings alone.

After the race and settlement
Update the status and result, then enter the amount actually credited and the payout date when applicable. Mark a wager as open until its settlement is complete. If a bet is void or refunded, record that status and the actual stake and return treatment rather than classifying it as an ordinary win or loss.

Use spreadsheet filters or a summary view to group settled wagers by month, bookmaker, track, racing code (such as flat or jumps), or bet type. Keeping unsettled rows separate prevents them from distorting a view of completed outcomes. A spreadsheet can show what you staked and what was returned; it does not establish a betting edge or show that past results predict future ones.
What the spreadsheet can—and cannot—tell you
Keep the sheet as a recordkeeping aid, not a guarantee of profit or a system for recovering losses. Recording results does not make betting profitable, and past outcomes do not guarantee future returns. An operator’s reporting measure is not a personal profit formula: the Gambling Commission describes gross gambling yield (GGY) as an operator reporting measure for horse betting in its regulatory returns guidance.
The operator-record requirements cited above concern licensed operators in Great Britain. Personal recordkeeping, legal obligations and tax treatment can differ by jurisdiction; the spreadsheet itself is not legal or tax advice.
