How To Insert A Text Box In Onenote?

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

OneNote is flexible about text layout, but the exact wording and location of the Text Box feature depends on the OneNote app and version you’re using. If you’ve ever clicked around and couldn’t find a clear “text box” button, you’re not alone.

This guide shows multiple ways to insert a text box-style element—starting with the classic Insert command (when available), then covering the reliable draw/text workflow that works even when the UI differs.

What You Mean by Text Box in OneNote

People use “text box” to mean one of two things in OneNote: (1) a movable text area you can position anywhere on the page, or (2) a regular typing block that appears where you click.

OneNote’s behavior varies by platform. On some versions you’ll get a true “Text Box” object. On others, you’ll create a text element using the Draw/Text tools, which behaves like a movable box even if the label isn’t identical.

Prerequisites and Version Checks

Before you start, confirm which OneNote you’re using. The fastest way to reduce frustration is to check the app name and platform.

  • Windows: “OneNote” (desktop) or “OneNote for Windows 10” (older) usually has a different toolbar layout than OneNote for the web.
  • macOS: OneNote for Mac has its own ribbon-style menus.
  • Mobile: iPhone and iPad builds emphasize touch-first editing.
  • Web: OneNote for the web supports fewer advanced page objects.

If you’re on a work/school device, your organization might also restrict certain editing features.

Method 1: Insert a Text Box (If Your OneNote Shows the Command)

Some OneNote builds include a direct menu item for text boxes. When you see it, this method is the quickest.

  1. Open your notebook and go to the page where you want the box.
  2. Look for a ribbon tab named Insert.
  3. Find Text Box (sometimes displayed as a text box icon).
  4. Click Text Box, then click-drag on the page to size the box.
  5. Type inside the box.

If you don’t see Text Box under Insert, skip to the platform guides and the draw/text method below—those usually work across more devices.

Platform Guides

Below are step-by-step instructions tailored to each platform, including what to look for when the UI labels don’t match.

Windows 10/11 (OneNote for Windows / OneNote)

On Windows, the most common flow is either Insert > Text Box or Draw > Text tool, depending on your build.

  1. Open OneNote.
  2. Select the Insert tab on the ribbon.
  3. Check for Text Box.
  4. If present: click Text Box, then drag on the page to create it.
  5. Click inside and start typing.
  6. If Insert > Text Box is missing: use Draw tab → find the Text tool (often represented by a letter/typing icon).
  7. Click where you want the text box; start typing.

macOS (OneNote for Mac)

On macOS, you may not always see a dedicated “Text Box” control. If it’s not there, the Draw/Text approach is the consistent fallback.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open OneNote for Mac and navigate to your page.
  2. Look in the top menus or ribbon for Insert.
  3. If you see Text Box: click it, then click-drag on the page to place it.
  4. If you don’t see it: go to the Draw or Tools area and select Text (a tool for typing in an object-like area).
  5. Click on the page to place the text element, then type.
  6. Drag the handles (if shown) or click the object border to move it.

OneNote for the Web

OneNote for the web has fewer formatting features than desktop apps. In many cases, you won’t get a classic “text box” object, but you can still place typed text blocks and move them like content elements.

  1. Go to OneNote for the web and sign in.
  2. Open the notebook and page.
  3. Click where you want content and start typing for a standard text block.
  4. If you need a more “boxed” and movable element: use the closest available insert options (such as creating a structured layout with a table), then format text inside it.
  5. For strict positioning, consider editing the same page in the desktop OneNote app, then return to the web view.

iPhone and iPad (OneNote mobile)

On mobile, touch gestures determine whether you’re creating a standard text block or selecting an existing one.

  1. Open the OneNote app on your iPhone or iPad.
  2. Go to the page where you want the box.
  3. Tap + Add or look for an Insert-like control depending on your UI.
  4. If you see Text Box: select it, then tap and drag to size the area.
  5. If you don’t see it: simply tap on the page to type where you want the text block.
  6. To move it: long-press the text element until selection handles appear, then drag.

If selection is hard on mobile, zoom the page in and try again—small objects are easy to miss with touch.

Method 2: Use the Draw/Text Tool to Create a Text Box-Like Element

If your OneNote build doesn’t show a “Text Box” command, the Draw/Text workflow typically gives you the movable behavior people expect from text boxes.

  1. Go to the page where you need the boxed text.
  2. Find the Draw tab (Windows/macOS) or the text/drawing tools (mobile may show similar options).
  3. Select Text (a tool that turns the cursor into a text entry object).
  4. Click (or tap) on the page to place the element.
  5. Type your text.
  6. If there are handles, drag them to resize; otherwise, click the element border to reposition.

This method is also useful when you’re placing text over a diagram and want it to behave like an object rather than flowing like paragraph text.

Editing, Formatting, and Moving Your Text Box

Once placed, treat it like any other OneNote object: select it first, then format and reposition.

Resize and reposition

  • Click the border of the box to show it as selected.
  • Drag the corner/edge handles (if displayed) to resize.
  • Drag inside the box (not the text caret) to move the object.

Change alignment, font, and style

Use the ribbon’s formatting controls (or the on-screen format bar on mobile). Look for options like font family, size, bold/italic/underline, and alignment (left/center/right).

If you’re not seeing formatting controls, select the text element again—OneNote often changes the active toolbar based on selection.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Color, borders, and readability

Some text box objects allow background or border styling; others focus on text formatting only. If your version doesn’t provide box borders, a table (or a manual background highlight using supported tools) is the practical workaround.

Copy, duplicate, and layer over other content

You can usually copy a selected text element with Ctrl+C (Windows) or Cmd+C (Mac), then paste with Ctrl+V or Cmd+V. Then drag to reposition.

For diagrams, create the text box last if you want it to appear on top visually.

Common Problems and Fixes

Most text box issues are really selection issues or feature availability issues. Try these in order.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

I don’t see Insert > Text Box

That’s a common mismatch between OneNote variants. Use one of these fixes:

  • Check for the Draw tab and select the Text tool.
  • Open the same notebook in desktop OneNote (Windows or macOS) to create the box, then edit later.
  • If you’re on the web, build the layout using a table for strict structure, or switch to desktop for box objects.

Typing goes into the page, not the box

This usually means you’re clicking into the page instead of selecting the object. Try:

  1. Click the existing text box border until you see selection handles.
  2. Then click inside the box to place the caret.
  3. If the caret is still appearing on the page, zoom in and try a slower click directly on the text box area.

The box won’t move or won’t resize

  • Make sure the box is selected (handles visible).
  • Avoid dragging with the caret active. Click the border, then drag the object.
  • On touch devices, long-press to trigger selection before moving.

Formatting doesn’t carry over

Some formatting settings are inherited at the paragraph level. If you copy from another page, check font and size after pasting. For consistent styling, format the first box completely, then duplicate it for new ones.

On mobile, I can’t select the text box

Mobile selection can be finicky. Try these steps:

  1. Zoom in until the text is large enough to target precisely.
  2. Long-press directly on the text border or blank area inside the box.
  3. If selection won’t appear, switch to desktop to adjust the box, then continue on mobile.

Alternatives When You Just Need Structured Text

If your goal is layout more than a literal “textbox object,” alternatives often work better—especially in OneNote for the web.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use a table for strict layout

Create a table and type into a cell. This reliably gives you a bounded region for text and maintains structure across devices.

  1. Select Insert → Table.
  2. Choose a 1-row layout with 1 or more columns depending on your design.
  3. Type in the cell(s) and format the text.

Use bullets and indentation for quick blocks

If the content is primarily notes and you just want visual separation, bullets plus indentation is often faster than wrestling with box objects.

Create a checklist or notes template pattern

When text boxes are used for repeated fields (like “Action,” “Owner,” “Due date”), templates reduce manual work. Copy a previously formatted layout and replace only the text.

FAQs

Can I add a text box in OneNote for iPad the same way as Windows?

Not always. iPad often prioritizes tap-to-type behavior rather than a visible “Text Box” command. If you don’t see Text Box, use tap-to-type and then long-press to select/move the text element.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why does the text box look different on another device?

Different OneNote clients render page objects differently. A box created on desktop may not appear identical on mobile or web. If appearance must match, test on each target platform and adjust using the most capable client (usually desktop).

Can I put a text box on top of an image?

Yes in most desktop clients: create the text element after placing the image so it stays on top visually. If you can’t select it easily, use selection handles/border and try again with zoom enabled.

Is a table a good substitute for a text box?

For many layouts, yes. A single-cell or multi-cell table acts like a container, keeps alignment consistent, and is usually supported more reliably across OneNote for web.

Bottom Line

If your OneNote shows Insert > Text Box, that’s the cleanest way to create a movable boxed area. If you don’t see it, the Draw > Text tool is the most dependable alternative for getting text-box-like behavior.

When layout must be consistent across devices—especially on OneNote for the web—use a table as your “container” and format text inside it.
