Export transactions from your bank, import a file format your budgeting app supports, review the entries, and reconcile them against your bank record. Protect both your sign-in credentials and the downloaded file throughout: transaction exports can contain sensitive financial details, and duplicate detection varies by app.
Before you export: check the app’s import instructions
Start with the current help page for your budgeting app, then check the bank’s export options. A format has to be available from the bank and accepted by the app; no single file type works everywhere. For example, Xero documents OFX, QFX, and QuickBooks bank statement imports and recommends OFX when the bank offers it. Actual Budget recommends OFX or QFX when available, while YNAB documents file-based imports that include CSV and other formats. Check the app’s accepted extensions and any instructions for matching columns or accounts. A PDF may look like a bank statement, but it is not necessarily an importable transaction file: Xero says PDF statements cannot be imported through its documented workflow and directs users to export transaction data instead.

Import transactions in a controlled sequence
- Sign in through the bank’s official website or app. Export only the date range you need. Do not share your password or one-time passcode, and avoid unsecured Wi-Fi while accessing financial accounts.
- Choose an accepted transaction format. Use the file type listed by both your bank and the budgeting app. Check the extension and the date range before importing.
- Save the file somewhere you control. Treat it as sensitive financial data, not as an ordinary download. Avoid leaving it in a shared or public folder.
- Open the import flow in the budgeting app and select the intended account. Follow the app’s current instructions for uploading the file. If the app offers a review screen, inspect the rows before completing the import. In Xero’s documented process, users choose an account, upload a file, review transactions, and can clear entries they do not want to import.
- Check for overlap with transactions already entered. Compare the imported date range with existing entries before assuming the app will remove every duplicate.
- Reconcile after importing. Compare the app’s entries with the bank’s records and resolve missing, repeated, or misassigned transactions.
- Remove or securely store the downloaded copy when finished. Follow the bank’s and app’s current security guidance for retaining financial files.
How to check the import for mistakes
Compare the imported entries with the bank record for the same period. Check the transaction count as well as individual dates, payees or descriptions, and amounts. Look for entries assigned to the wrong budgeting account, transactions that are absent, and repeated entries. Reconciliation is useful even when an app reports that the import completed successfully.

Overlapping date ranges are a common reason to inspect for duplicates: an earlier import or manually entered transactions may cover some of the same activity. If a review step is available, use it to remove unwanted rows before committing the import. If the app has already imported an unwanted duplicate, follow its instructions for deleting or correcting that entry.
Duplicate detection depends on the app
Import behavior is product-specific. Xero says it recognizes duplicates from other imported files and excludes them. Actual Budget says it avoids creating a transaction it thinks already exists. Quicken warns that duplicate transactions may need to be deleted. Those descriptions do not establish a guarantee that every overlap or duplicate will be caught. Check existing entries before import and inspect the result afterward.

Protect the export and your account access
A bank export can reveal transaction dates, amounts, merchant information, balances, and account details. The OFX security guidance advises keeping credentials private, avoiding unsecured Wi-Fi for secure transactions, and never sharing a one-time password. It describes OFX’s stated guidance; it is not an audit or certification of your bank or budgeting app.

It also says internet or telephone transmission is never completely secure and that no data-storage system can be guaranteed safe. These cautions are reasons to handle exports carefully, not evidence that a particular import method is safe or unsafe.

When an import fails or looks wrong
- The app rejects the file: Confirm that the extension is on the app’s current supported-format list and that the file came from the bank’s transaction export, rather than a PDF statement. If the bank offers multiple formats, choose one the app documents.
- Rows are missing or mapped incorrectly: Recheck the selected date range, destination account, and the app’s current file-import instructions. Do not assume that a successfully uploaded file means every transaction was imported correctly.
- Entries appear twice: Compare the date range with previous imports and existing transactions. Use the app’s documented cleanup or deletion steps for confirmed duplicates.
- The totals do not match: Compare the imported rows and transaction count with the bank record for the same period. Investigate missing, repeated, or misassigned entries before relying on the budget balance.
Bank export menus, supported formats, app controls, and privacy terms can change. Verify the current instructions for your bank, budgeting app version, and region before each import.
