Use n8n to track missing evidence and rejected expense reports—not to make automatic reimbursement or tax decisions. A dependable workflow preserves the original claim, records why it needs attention, asks the employee for a specific next step, sends policy exceptions to an authorized reviewer, and keeps a recoverable decision trail. The employer’s expense policy controls what employees may submit and how appeals, exceptions, and retention work.
What do I do if I lost a receipt?
Record the claim as submitted and mark the receipt as missing; do not silently discard the expense or treat the missing attachment as an automatic approval or denial. Check the employer’s policy for acceptable alternatives, which may include a duplicate receipt, other supporting records, or a written explanation for review. An explanation should not be presented as a substitute for evidence unless the policy and applicable rules allow it.

For U.S. federal tax substantiation, the IRS generally expects taxpayers to keep records supporting expenses. Publication 463 (2025) says documentary evidence ordinarily supports an expense when it shows the amount, date, place, and essential character, and a business-purpose statement is generally required. It advises recording expense elements at or near the time of the expense and supporting them with sufficient documentary evidence. See the IRS burden-of-proof guidance and IRS Publication 463 (2025).
Publication 463 describes limited exceptions to documentary evidence, including certain non-lodging expenses under $75, transportation expenses for which a receipt is not readily available, and specified per-diem arrangements. These are federal tax substantiation provisions, not universal reimbursement rules: they do not require an employer to reimburse an expense, and they do not replace company policy or rules in other jurisdictions.

Can I submit an expense report without a receipt?
That depends on the employer’s policy, the expense, and applicable jurisdiction. If the expense platform permits submission, the workflow should capture the claim and identify the missing attachment rather than infer that the claim is valid or invalid. Ask the employee to provide the evidence or explanation the organization permits, then route any exception for human review.
For a U.S. federal tax context, the IRS says taxpayers generally need adequate records and documentary evidence, subject to specific exceptions. A company’s reimbursement decision is a separate matter. Do not encode the Publication 463 exceptions as a blanket company rule or use them to decide automatically whether someone must be reimbursed.

Why was my expense report rejected?
A rejection should identify both the reason and the employee’s next action. The actual reasons and appeal process are employer-specific; common workflow reason codes might include missing itemized receipt, unclear business purpose, duplicate claim, or amount mismatch. Treat these as configurable examples, not categories mandated by the IRS or n8n.

Keep the rejection linked to the original report. Tell the employee what information is missing or inconsistent and whether policy allows a corrected submission, supporting records, or an explanation for review. Avoid a vague notice such as “please fix this,” which does not tell the employee how to resolve the issue.

How do I resubmit a rejected expense report?
Follow the expense platform’s and employer’s resubmission instructions. In the workflow, connect the corrected submission to the original claim using a stable report ID or case ID, and preserve both the original and corrected versions. This makes it possible to see what changed, why it changed, and who reviewed the case without overwriting the initial record.
Before sending the report back through review, collect the specific correction or evidence requested. If the employee cannot provide it, capture the explanation and send the case to an authorized reviewer when policy permits. Record the reviewer’s decision, rationale, and timestamp, then update the expense system or case record and notify the employee.

Build the n8n workflow around an inspectable claim record
The following is a design pattern, not a tested workflow export. Connect the intake to the organization’s actual expense system or approved form, using its supported authentication and integration method. Check the installed n8n version and deployment before relying on a particular node action or interface; documentation and feature availability can change.
- Receive the report. Start with the expense platform’s trigger or an approved intake form/webhook. Use the organization’s actual source system and authentication method.
- Normalize and preserve the claim. Map fields such as report ID, submitter, expense date, amount, merchant or location, business purpose, receipt attachment or reference, current status, and source-system link. Keep the submitted record distinguishable from later corrections. n8n’s data mapping interface lets you map values from earlier nodes using expressions or the editor’s drag-and-drop controls.
- Classify the issue. Branch on conditions such as missing attachment, rejected status, or returned-for-correction status. Store a controlled reason code as well as a plain-language explanation so that downstream messages and case reviews have meaningful context.
- Request a specific next action. Tell the employee what is missing and what policy allows next—for example, attaching an original or duplicate receipt, providing supporting records, or submitting a written explanation for review. Do not imply that an explanation automatically replaces required evidence.
- Route exceptions to a person. For a straightforward approve/disapprove response, the n8n Gmail node’s “Send and Wait for Approval” action can pause for the recipient’s response. n8n points to the Wait node for more complex approval flows. Keep the reviewer, decision, timestamp, and rationale with the claim. See the Gmail node message operations documentation.
- Close the case. On approval, rejection, or a request for more information, update the expense system or case record and notify the employee. Apply the organization’s retention controls; the cited documentation does not establish a universal retention period.
- Protect the record. Limit access to sensitive financial and employee data to authorized users, and follow the organization’s access and retention controls.
Choose an approval and recovery path
| Decision | Suitable pattern | What to consider |
|---|---|---|
| Approval complexity | Gmail send-and-wait for a straightforward approve/disapprove response; Wait node for a more complex review flow. | Number of reviewers, conditional stages, timeout or escalation needs, and whether the case needs a durable record. See n8n Gmail node message operations. |
| Execution recovery | Retry a failed execution using the currently saved workflow or the original workflow with previous execution data. | Check whether earlier side effects—such as an email or expense-system update—already succeeded. Correct the failure cause and consider duplicate notices or updates before replaying. See n8n executions documentation. |
| Policy exceptions | Route to an authorized human reviewer. | Compare the proposed exception path with company policy and the applicable jurisdiction; U.S. federal tax substantiation rules are not a company reimbursement standard. |
Make failed executions recoverable without duplicating actions
Use n8n’s executions view to inspect workflow runs and identify the node and data associated with a failure. Its documentation describes filtering executions and retrying with either the saved workflow or the original workflow with previous execution data. Before retrying, establish whether a prior action completed: replaying a run that already sent an email or updated a claim can create duplicates. See n8n’s executions documentation.
