Tell the client your working hours, when routine messages will get a reply, and exactly what to do in a genuine emergency. Put those expectations in writing and follow them consistently. An after-hours message does not automatically mean you must answer immediately; the applicable obligation depends on your location, role, agreement, and any on-call arrangement.
Set expectations before the next late message
When possible, agree on communication rules during onboarding rather than in the middle of a tense after-hours exchange. Explain your normal hours and time zone, the expected response window for routine requests, and the channel the client should use. If you work remotely, make the time zone explicit: a client may otherwise assume you share theirs.

Also agree on the exception: what counts as an emergency, how to report it, who provides backup coverage, and whether out-of-hours work requires approval and how it is handled under your agreement. Avoid promising general availability without defining what it means. The Fair Work Ombudsman encourages employers and employees to discuss out-of-hours contact and set expectations suited to the workplace and role. The Canadian Centre for Occupational Health and Safety recommends written policies that address response expectations, emergencies, time zones, away messages, and overtime.

Record the arrangement in an onboarding note, service document, or brief follow-up email. Share it with relevant coworkers and managers so the client does not receive conflicting instructions. Revisit it if your hours, staffing, client needs, or flexible-work arrangements change.

Separate routine messages from real emergencies
Use a narrow emergency definition that fits your service and role. For example, a critical service outage might warrant a designated phone number, while routine questions and status updates wait until the next working period. The Fair Work Ombudsman gives a serious technical outage as an example of a role-specific arrangement; CCOHS also discusses distinguishing non-essential client email from defined emergencies and accounting for time zones.
For an exception to work, specify the details rather than saying “call if urgent”:

- Criteria: what problem qualifies, and what does not.
- Channel: where to report it, such as a designated phone number rather than an ordinary email thread.
- Coverage: who is responsible and during which hours, including the backup contact.
- Obligation: whether someone is expected to monitor or respond, and how approved out-of-hours work is handled.
If you are an employee, coordinate any availability changes with your manager or employer when appropriate. Do not make an individual promise that conflicts with your roster, contract, award, collective agreement, or workplace policy. On-call and overtime terms can affect expectations.

Keep the reply brief, courteous, and consistent with the arrangement you have already made. For a routine message, you could write:

“I’ve seen your message. I’m offline now and will respond during my working hours tomorrow. If this meets our agreed emergency criteria, please use [agreed channel].”
This wording is a practical template, not a legal form. If the message does not need an acknowledgment, you can wait and respond during your next working period instead. Avoid answering routine requests immediately if doing so would create an expectation of constant monitoring.

An email footer or out-of-office message can make the response window visible before a client sends a follow-up. Ireland’s Workplace Relations Commission Code of Practice suggests using footer or out-of-office wording to tell customers that a reply is not required or expected outside normal hours.
Know which legal rules apply to you
Practical communication advice is not a substitute for checking local employment rules and the terms that govern your work. These examples illustrate why the answer depends on jurisdiction and circumstances; neither should be assumed to apply everywhere.

Australia
The Australian Fair Work Ombudsman says employees can refuse to monitor, read, or respond to employer or third-party contact outside working hours unless the refusal is unreasonable; third parties include clients. Contact can come by call, email, text, social media, or messaging service. The Ombudsman also says the rules do not make all out-of-hours contact unlawful.
Whether a refusal is unreasonable depends on factors including the reason for contact, how disruptive it is, compensation for availability or additional hours, the employee’s role and responsibility, and personal circumstances. A refusal is unreasonable where the contact is required by law. Awards and agreements may add terms. The Ombudsman identifies 26 August 2024 as the application date for employees of non-small-business employers and 26 August 2025 for employees of small-business employers. Canada
CCOHS says many workers do not have a specifically legislated right to disconnect, while Ontario has legislation and other jurisdictions may consider their own rules. Check the employment standards, contract, collective agreement, and compensation terms that apply to your situation.
Ireland
The Workplace Relations Commission published its Code of Practice in 2021. Its practical communication suggestions may help with customer-facing messages, but check current local law before treating the code as an enforceable statutory entitlement.
If the client keeps pushing the boundary
First, restate the agreed response window and emergency route without adding new availability promises. If the client says the work requires a faster response, discuss a specific change: revised coverage, an on-call arrangement, or another documented service expectation. For employees, bring the issue to the manager or employer responsible for schedules and workplace policy. If a proposed arrangement conflicts with a contract, roster, award, collective agreement, or local rules, check the relevant terms or seek appropriate local advice before agreeing.
