New Outlook for Mac does not normally put Mail and Calendar at the bottom. In Microsoft’s current Mac layout, those modules appear as vertical navigation on the left side of the folder pane. Microsoft says this arrangement is automatically enabled for Outlook for Mac version 16.71.0 and later. A supported setting to move the new interface back to the bottom is not documented. The bottom row belongs to legacy Outlook, and Microsoft is ending legacy support for many consumer and Exchange Online scenarios in October 2026.
You can install or update Outlook, enable the new experience, and use Mail and Calendar from the left. If the bottom icons are essential, you can switch back to legacy Outlook only while that option remains available for your account, license, administrator policy, and build.
What “new Outlook for Mac” means
This is the modern Outlook desktop app for macOS—not new Outlook for Windows and not Outlook on the web. Microsoft maintains separate Mac features and interface rules. The Mac app supports Microsoft 365, Outlook.com, Google, iCloud, IMAP, POP, and Yahoo accounts, although available features vary by account and license. Can you move the new Outlook icons to the bottom?
Not in the current standard new Outlook for Mac layout. Microsoft’s documented design puts Mail, Calendar, People, and related functions vertically on the left of the folder pane. The older interface placed those modules along the bottom. Microsoft’s explanation of the change is available at new location for key functions in Outlook for Mac.

Do not apply Windows instructions to a Mac. The Windows setting sometimes called “Show apps in Outlook” is documented separately at Outlook options for Windows; it is not a Mac method for restoring bottom navigation.
Install Outlook for Mac
Personal accounts
- Download Outlook from the Mac App Store.
- Open Outlook and sign in with a Microsoft account, or choose the option to add an account.
- Add an Outlook.com, Gmail, iCloud, Yahoo, IMAP, or other supported account.
- Approve any macOS permissions that Outlook requests.
Microsoft describes the app as a free download. Personal-account use does not necessarily require a Microsoft 365 subscription, although premium services and storage may require one. Details are in How licensing and access works in Outlook for Mac.
Microsoft 365 work or school accounts
- Go to
m365.cloud.microsoft/appsand sign in. - Select Install apps.
- Download and install Microsoft 365 or Office for Mac.
- Open Outlook and sign in with your organization account.
Desktop Outlook access requires an organizational license that includes desktop Microsoft 365 apps. If your employer or school provides only web or mobile access, an administrator must change the license or policy. Update an existing Outlook installation
- Open Outlook.
- Choose Help > Check for Updates, if that command is present.
- Install the available update and restart Outlook.
- If Outlook came from the App Store, open the App Store and check Updates there as well.
Microsoft 365 for Mac supports the three most recent major macOS versions. Microsoft states that macOS Sonoma or later is required for updates beginning with the September 2025 update (version 16.101). Microsoft 365 for home use lists 4 GB RAM and 10 GB available disk space as baseline requirements. Check the current macOS update policy and system requirements before troubleshooting an old Mac.

Turn on the new Outlook experience
- Open Outlook for Mac.
- Turn on the New Outlook toggle.
- Allow Outlook to restart or reload if prompted.
- Select Mail or Calendar in the vertical navigation at the far left.
In a narrow window, the navigation may appear as compact buttons rather than large labeled icons. The exact size and arrangement can change with window width, app version, and UI state, but the navigation remains on the left in the current design.
If you specifically need the icons at the bottom
The only supported route is to use legacy Outlook, if your installation still offers it:

- Open Outlook and look for the New Outlook switch; turn it off.
- If that switch is absent, check the Help menu for a command such as Revert to Legacy Outlook.
- Restart Outlook when requested.
- Confirm that Mail, Calendar, and other modules return to the bottom of the folder pane.
Menu labels and availability vary by build. Microsoft’s older documentation about a Help-menu command is historical, so its presence is not guaranteed. More importantly, this is a temporary compatibility choice: Microsoft says legacy Outlook for Mac support ends in October 2026 for Microsoft 365 Personal and Family and several Exchange Online scenarios. When the New Outlook toggle is missing
Work through these checks in order:
- Update Outlook. Use Help > Check for Updates or the Mac App Store. Microsoft specifically recommends updating when the newer experience is not visible.
- Check whether you are already in the modern app. A changed interface may mean the new experience was enabled automatically, particularly on version 16.71.0 or later.
- Check local-only data. Historical Microsoft guidance identified POP mail, local IMAP calendar items, and contacts or calendars under On My Computer as switching exceptions. Treat these as known historical failure modes, not universal rules for every current build, and verify that local data is backed up before changing interfaces.
- Check administrator policy. A work or school administrator can hide the switch, require a particular channel, or restrict legacy or new Outlook.
- Check licensing and account type. Desktop Outlook may require a license that includes desktop apps, while some server configurations support only selected experiences.
- Contact IT or Microsoft Support. Provide your Outlook version, macOS version, account type, and whether mail, calendars, or contacts are stored locally.

If legacy Outlook is no longer available
- Use new Outlook with the left-side Mail and Calendar navigation.
- Open Outlook on the web in your browser and add a Dock or browser-app shortcut for quick access.
- Use Apple Mail and Apple Calendar for accounts they support.
- Use the macOS Dock for application shortcuts, remembering that Dock icons are not Outlook’s internal module navigation.
Do not install an unverified “navigation customizer” merely to chase the old layout. Microsoft’s current Mac documentation does not require or endorse a third-party utility for this purpose.

Before switching: protect local data
- Identify any POP mail, local IMAP calendar items, or entries under On My Computer.
- Export or otherwise back up local-only calendars, contacts, and messages according to your organization’s retention requirements.
- Verify that essential data is synchronized to the server or cloud account before switching.
- After switching, open representative folders, calendars, and contacts and confirm that they are present.
