If Windows says your printer is offline, start with the Windows 11 printer troubleshooter in Get Help. Then check the printer’s power and connection, review its status and print queue, restart Print Spooler if jobs are stuck, and remove and add the printer again only if simpler steps fail. The offline label can point to a connection, queue, printer, or service issue, so work through these checks in order.
1. Run the Windows 11 printer troubleshooter
On Windows 11, open the Get Help app and run its printer troubleshooter. Follow its prompts and try the recommended fix. If it does not resolve the problem, continue with the checks below. Microsoft’s offline-printer troubleshooting guide covers Windows 11 and Windows 10.

2. Check the printer and its connection
Power-cycle the printer
- Turn the printer off.
- Unplug its power cable and wait 30 seconds.
- Reconnect the cable and turn the printer on.
Wait for the printer to finish starting, then check whether Windows still reports it as offline.
If the printer uses Wi-Fi
Confirm that the printer is connected to the same network as the PC. Check the printer’s network or Wi-Fi menu, or consult its manual for the connection status. If your home has an extender, access point, or multiple wireless routers with different network names (SSIDs), make sure both devices are on the same network. If the printer offers a wireless connectivity test, run it. Microsoft also recommends checking the printer’s wireless connection in its connection and printing troubleshooting guidance.

If the printer uses a direct USB connection
Check that the printer is on and connected to the PC. The cited Microsoft guidance does not specify detailed USB cable diagnostics. If the existing cable is missing or visibly damaged, replacing it may be appropriate; a new cable is not a standard fix for a Wi-Fi connection or an unrelated queue problem.
Check for a printer-side error
If the printer itself displays an error, check for paper, ink, an open cover, or a paper jam. Resolve any device-reported problem before continuing with Windows settings.

4. Restart Print Spooler if jobs remain stuck
Print Spooler manages the Windows print queue. Restart it when jobs remain stuck or the queue does not respond:
- Open the Services app from the Start menu.
- Find and select Print Spooler.
- Choose Restart.
Check the queue again after the service restarts. If ordinary restarting does not help and spooler or queue problems persist, Microsoft’s Print Spooler troubleshooting guide describes a more involved recovery: stop the service, delete spool files, and start the service again. Use that procedure only for persistent failures, and follow Microsoft’s instructions carefully.

Why Windows says the printer is offline
“Offline” is a status, not a diagnosis. It does not establish whether the printer has lost its network connection, printing is paused, a job is stuck, the printer has a device error, or Print Spooler has stopped responding. The checks above address these different possibilities without assuming there is one guaranteed fix.
