Before buying more Gmail storage, check what is actually using your Google Account’s shared space. Gmail, Google Drive, and Google Photos draw from the same quota, so deleting large Drive files or Photos content may help more than clearing email. Review the storage breakdown, remove only what you no longer need, and permanently clear the relevant trash; exporting Gmail alone will not free space.
Why Gmail storage may not be the problem
Google Account storage is shared across Google Drive, Google Photos, and Gmail; in applicable accounts, WhatsApp backups also use the quota. Google says personal accounts include up to 15 GB at no charge, shared across Drive, Gmail, and Photos. Work or school accounts can have different limits and administrator controls. Google’s storage help page explains the shared quota.

When the account is full, you may be unable to send or receive Gmail, create or upload Drive files, or back up photos and videos. Start by finding the largest contributor rather than assuming email is responsible.

- Open Google’s storage management page and go to Storage Manager for the Google Account you want to clean up.
- Review the storage breakdown by service and the suggested cleanup categories. Check large videos, photos, Drive files, and email before selecting anything.
- Decide what you can safely remove. Deletion can be irreversible once items are permanently cleared, so preserve anything important first.
Google generally counts files an account owns. Shared items do not necessarily count against your quota, but copied files, files uploaded into shared folders, and ownership changes can affect which account is charged. Check ownership when a large Drive item’s quota impact is unclear; Google describes these distinctions in its storage management guidance.

Clean up large Gmail messages carefully
In Gmail’s search bar, try has:attachment larger:10M to find messages with attachments larger than 10 MB. Search matches are candidates, not automatic deletion recommendations: inspect them for receipts, records, or personal material you may want to keep. Google lists this operator in its storage cleanup instructions.
After deleting messages, remember that items in Gmail Trash and Spam continue to count toward storage until permanently removed. Review those folders before emptying them. Permanently deleting messages may be impossible to undo.

Check Drive and Photos, then clear trash
If Drive or Photos accounts for more of the quota, review large files and photos or videos through Storage Manager. Delete only items you are willing to lose, then inspect the relevant trash before permanently emptying it. Items left in trash continue using space, so ordinary deletion may not immediately reduce the displayed total.

Export Gmail before deleting messages you may need
If you want a copy of Gmail before cleaning it out, use Google Takeout’s Gmail export. Download the archive to a computer or another storage destination with enough free space, and verify that you can access the exported files before deleting cloud content.
An export is a copy, not a move: Google states, “If you download your Google data, it doesn’t delete it from Google’s servers.” The original Gmail data remains in your account and continues to use quota until you separately delete it. See Google’s data-download guidance.

Cleanup, an archive, or more storage?
| Option | What it does | Trade-off |
|---|---|---|
| Free cleanup | Removes cloud content you no longer need and can reclaim quota after permanent deletion and storage reporting update. | No subscription cost, but it takes review and can mean irreversible loss. |
| Local export or archive | Keeps a downloaded copy outside your Google quota. | Requires enough local storage; exporting alone does not free cloud space. |
| Google One | Adds shared Google Account storage. Google says plans start at 100 GB. | A recurring subscription; check the current price and availability for your region. |
For a personal Google Account, Google’s help page states that up to 15 GB is included at no charge and Google One starts at 100 GB. These figures are from Google’s current help page, accessed October 7, 2026; they do not establish a current local price or plan availability. Check Google’s storage-plan page for the offer available to your account.
Cleanup is a sensible first step if you can identify expendable files. If you need more capacity or prefer not to keep managing a nearly full account, a paid plan is a straightforward alternative. Choose based on the value of your time and the space you expect to need.
