To make more room for school files without paying, first check which Google service is using your storage, then remove or move only files you no longer need. A personal Google Account includes up to 15 GB shared across Drive, Gmail and Google Photos; Android WhatsApp backups can also use account storage. So deleting Drive files alone may not be enough.
Find out what is using your Google storage
Open Google’s storage manager and review usage by service. It can help you see whether Drive, Gmail, Photos, backups or other storage is taking up the most room. A personal account’s included storage is shared across services, while school or work accounts may have different limits and policies.

When an account is over its storage limit, Drive uploads may stop, Gmail sending and receiving can be affected, and Photos backup may stop. Google says it may remove content from an account that remains over quota for two years, but says it will provide advance notice and an opportunity to act. Check Google’s current storage guidance for account-specific details.

In Google Drive, open Storage to see files listed from largest to smallest. Start with large videos, downloads, exports and old project files, then decide whether each is safe to remove. Google does not provide a built-in automatic duplicate-file finder, so review possible duplicates yourself rather than relying on a one-click cleanup.

Before deleting schoolwork, check whether you need it for a class, portfolio, application or future reference. If you want to keep a file but do not need it available across devices, download it to a personal device first. For large files, an external drive is an optional backup destination; it is not required to free cloud space.
Search Gmail for large attachments
Gmail messages with attachments count toward shared Google storage. Use the search box to find candidates, then inspect messages before deleting them:

These searches do not determine whether a message is safe to remove. Save any attachment you still need, and consider whether the email itself contains information worth keeping.
Check Google Photos, backups and other storage
If Drive and Gmail are not the main storage users, review Google Photos for large videos or photos you no longer need. Google’s storage manager can also show device backups and hidden data from connected apps under other storage. Android WhatsApp backups count toward account storage too.

Do not casually delete a WhatsApp backup: Google warns that deleting it is permanent and may leave you without chat history when changing phones or reinstalling WhatsApp. If you choose to remove one, review or change WhatsApp backup settings first. See Google’s instructions for managing WhatsApp backups.
Photo and collaborative-file storage treatment can depend on when content was uploaded, created or edited. For example, Google says Storage saver (formerly high quality) Photos backups uploaded before June 1, 2021 do not count toward storage, while some later uploads and newer or modified collaborative files do. Check Google’s storage rules before assuming a particular file is or is not using space.

Empty Trash and Spam only after checking them
Deleted items in Drive, Gmail and Photos can continue to count against storage while they remain in Trash or Bin; Gmail Spam can also use space. Review those folders for anything you may need to recover before permanently clearing them. Emptying them removes that recovery option.

After a large deletion, the storage total may take 48–72 hours to update. If the number does not fall immediately, allow that time before repeating cleanup. Google’s storage cleanup guidance explains how to review and remove items.

Know which shared files affect your quota
Files in Shared with me generally count against the owner’s storage, not the recipient’s. Deleting someone else’s shared file therefore will not free your quota. A copy you make, or files you add to someone else’s shared folder, can count against your own storage. Check ownership before spending time cleaning up shared items. Google explains the distinctions in its Drive storage and file ownership help.
Choose what to do if cleanup is not enough
If a file is worth keeping but does not need to stay in the cloud, download it to a device you control and verify the local copy before deleting the cloud version. That is free, but the file will not automatically remain available across devices, and you are responsible for maintaining the backup.
If you need more room while keeping files in Google services, Google One offers paid additional shared storage. Check the current plans and terms for your country on Google One’s plans page; availability and pricing vary by market.
