Forecast IT services revenue in two steps: estimate which opportunities are likely to close, then schedule the revenue from those wins across the periods in which services will be delivered and recognized. A weighted pipeline estimates expected bookings; it is not, by itself, a forecast of revenue earned in the period.
Choose what you are forecasting
Set the forecast period and metric before calculating. Pipeline is potential business, not booked or earned revenue. Salesforce defines pipeline as the total dollar value of the deals a sales team is working on: Salesforce’s pipeline overview.

- Expected bookings: the value of opportunities expected to close in a period.
- Recognized revenue: income expected to be earned as contracted services are delivered, subject to the contract and applicable accounting treatment.
- Invoiced revenue and cash collected: billing and payment measures that can fall in different periods from bookings and recognized revenue.
Salesforce distinguishes a sales forecast, which estimates how much pipeline will convert in a period, from a revenue forecast, which estimates income as it is expected to be earned. Its guide describes revenue forecasting as using historical sales data, current pipeline activity, and expected conversion rates: Salesforce’s revenue forecasting guide.

Build a clean, auditable opportunity list
Before applying probabilities, use one consistent record for each real opportunity. Include the fields needed both to estimate a win and to place its services revenue in time:
#1 Best Overall
- Opportunity owner, customer, service line, and customer segment
- Amount and currency, deal stage, and expected close date
- Win/loss status and, for won work, expected service start and end dates
- Where relevant, contract milestones, delivery schedule, and revenue-recognition treatment
Remove duplicates and handle stale opportunities under a documented rule—for example, a consistent period without meaningful customer activity. Keep the unweighted pipeline amount visible; it helps distinguish the full pool of potential deals from its probability-weighted estimate.
Calibrate conversion rates from your own results
Calculate stage-to-win rates from completed opportunities: for a given stage, divide opportunities that ultimately closed won by all completed opportunities that reached that stage. Use a consistent definition of “completed” and a consistent historical window. If a deal can move through a stage more than once, count it once.
Segment rates only when there is enough history to make the comparison useful. Service line, deal size, new business versus renewal, and customer segment can have different outcomes, but thin samples can make a rate unstable. Show the sample size and period alongside each rate, and review losses and no-decisions rather than quietly excluding them.
Rank #2
Do not treat generic stage percentages as IT services benchmarks. Salesforce gives 5% for a prospecting-stage deal and 90% for a negotiation-stage deal as illustrative examples in its guide; those figures are not recommended probabilities for your business.
Calculate expected bookings by close period
For each opportunity, multiply its value by the probability that it will close won in the forecast period, then sum the results for that period:
Expected bookings for a period = Σ (opportunity value × probability of winning in that period)
Rank #3
Use probabilities consistent with your historical calibration and stage definitions. A deal’s chance of eventually winning is not automatically its chance of closing this month: account for expected close timing, slippage, and the period being forecast. A simple example, using hypothetical values rather than an industry benchmark:

|---|---|---|---|
| Implementation project | $100,000 | 40% | $40,000 |
| Support renewal | $50,000 | 80% | $40,000 |
| Total | $150,000 | $80,000 |
The $150,000 is unweighted pipeline; $80,000 is probability-weighted expected bookings under the stated assumptions. Neither figure says when the work will be performed or revenue recognized.
Translate wins into service revenue periods
Map expected wins to the months or quarters when delivery is expected, using the contract’s service period, milestones, and the company’s accounting policy. Do not put the entire contract value into the close month by default. A project signed in March may start in April and run through September; its bookings and earned-revenue profile answer different questions.
Rank #4
At a high level, expected recognized revenue by period is the expected revenue from won or contracted work allocated to that period under the contract and applicable accounting treatment, plus other forecastable revenue streams such as recurring services or core-business revenue. This is a planning model, not accounting advice: contract terms and recognition treatment require appropriate review.
Forecasting software can support different measures and dates. Salesforce documents forecast types using different objects, measures, and dates; for opportunity line items, revenue may roll up into the period specified by the service date, and Expected Revenue can help where opportunity Amount often differs from actual revenue: Salesforce Pipeline Forecast Types. Salesforce Billing also documents order-based revenue schedules and separating a forecast schedule from reporting on the related invoice line: Salesforce Billing revenue-recognition reporting functions.
Check delivery capacity and timing
A likely win is not necessarily deliverable on the assumed schedule. Review the operational inputs that can shift or constrain recognized revenue:

There is no universal capacity adjustment to apply to pipeline. Use your own staffing and delivery records, and keep any operational adjustment separate from the base opportunity-probability calculation so reviewers can see why the forecast changed.
Review forecast performance and refresh assumptions
Save dated forecast snapshots, then compare each forecast with actual bookings and revenue for the same periods. Review differences by stage, service line, and close-date movement to identify persistent optimism, stalled deals, late closes, or sales assumptions that do not match delivery plans. Update probability and timing assumptions when evidence from completed periods supports a change; retain the old snapshots so the effect of revisions remains visible.
Refresh at a cadence suited to deal velocity: weekly for active, short-cycle pipeline or at least monthly for slower-moving services pipelines. Record material management overrides separately from the calculated base forecast, including the reason and affected period.
Use CRM forecasting as support, not as the method
CRM tools can organize stages, submissions, and history, but they do not make poor data or unvalidated probabilities reliable. HubSpot documents forecasts based on deal-stage likelihood, forecast categories, manual submissions, and submission history; availability for relevant functions is described for Sales Hub Professional/Enterprise and Service Hub Professional/Enterprise. Check current edition and configuration details in HubSpot’s forecast-tool documentation. The essential controls remain clear definitions, calibrated rates, service-period scheduling, and comparison with actual results.
