A WordPress demo XML import usually fails for one of five reasons: the file is not a WordPress WXR export, the official importer is missing, PHP limits stop the upload or processing, required theme or plugin objects are absent, or the importer cannot fetch referenced media. Start by identifying the exact stage and error, then apply the matching fix. Raising limits blindly or retrying the same file can leave duplicate content behind.

Identify the failure stage before changing anything
Read the complete error message and note when it appears. An error during upload has a different cause from a fatal error after posts begin importing. Record the filename, approximate size, number of records if known, the selected attachment option, and the server timestamp so your host can match the request in its logs.

Do not delete the XML or immediately launch another run. A stopped request may already have created users, terms, posts, or attachments. Inspect the destination site first and record what exists.

Confirm that the file is a WordPress WXR export
WordPress eXtended RSS (WXR) is the XML interchange format produced by WordPress’s export tool. The official WordPress Importer expects WXR. A theme package may contain a similarly named XML file for sliders, widgets, customizer settings, or proprietary demo data; that file is not necessarily a WordPress export and can produce an empty-file or invalid-format error.
Check the file you received
- Keep the original download and work from a copy.
- Confirm that the filename ends in
.xmland that the download completed rather than saving an HTML error page with an XML extension. - Open the beginning of the file in a text editor. A WordPress export normally contains an RSS/XML document with WordPress-specific namespaces and item data, not a theme installer’s private format.
- If the file came with a theme, read that theme’s installation notes to determine whether it requires a separate demo-data plugin or an in-dashboard importer.
If the file is not a WXR export, changing PHP limits will not make it importable. Obtain the proper WordPress export or use the tool specified by the theme author.

Install and activate the correct importer
In the WordPress dashboard, go to Tools > Import. Install or activate the official WordPress Importer, then select it and upload the WXR file. The importer readme warns that a very large export can exceed the host’s configured PHP memory limit; that warning concerns processing, not whether the XML is valid.
- Sign in with an account allowed to install plugins and manage imported content.
- Open Tools > Import and choose WordPress.
- Install the official importer if it is not present, then activate it.
- Select the WXR file and submit it. Wait for the upload and parsing screen instead of refreshing during processing.
- On the author-mapping screen, assign existing users or create the requested accounts according to your site’s policy.
- Select Download and import file attachments when the original media URLs are still reachable and you want the importer to fetch them.
- Start the import and keep the completion or error screen for your records.
The importer can create standard posts, pages, comments, categories, tags, and other data represented in WXR. It cannot create custom objects whose registering theme or plugin is inactive.

Load theme and plugin dependencies before importing
Demo content often references custom post types, taxonomies, custom fields, shortcodes, or media handlers supplied by a particular theme or plugin. If those components are absent, the XML may upload successfully but fail while an item is being processed, or it may import records without the structure the demo expects.
Dependency preflight
- Activate the intended theme before importing content that uses its post types, templates, widgets, or taxonomies.
- Install and activate every plugin identified by the demo instructions, especially those that register custom post types or fields.
- Use the same major theme and plugin versions for which the demo export was created when those versions are available and supported.
- Deactivate unrelated importers or migration plugins that hook into the same content types if the error stack points to a conflict.
- Check that required PHP extensions and WordPress permissions are available if the theme’s documentation lists them.
Do not infer a missing dependency from a generic 500 page. If the error names WXRImporter.php, obtain the complete server stack trace and identify the XML item being handled at the time. That item, together with the active plugin list, is what distinguishes a missing object from a memory or syntax failure.

Check the active PHP limits, not just an edited file
Four runtime values commonly control whether a demo export can be uploaded and processed: memory_limit, post_max_size, upload_max_filesize, and max_execution_time. WordPress’s Site Health screen and the runtime PHP information are more reliable than assuming that a particular php.ini file is the one serving your site.
Where to verify them
- Open Tools > Site Health > Info and expand the Server section.
- Record the displayed PHP memory limit, maximum input or post size, maximum upload size, and execution time.
- If a value is missing or appears inconsistent with your host’s control panel, ask the host which PHP SAPI and configuration file serve web requests for this site.
- After a change, revisit Site Health or the runtime PHP information. An edited CLI configuration does not necessarily affect the PHP process handling WordPress uploads.
The limits should be ordered as memory_limit > post_max_size > upload_max_filesize. The upload limit controls the individual file; the post limit covers the complete HTTP request; memory controls PHP’s processing budget. Increasing only the upload limit cannot solve a request-size or parsing failure.

Illustrative large-import settings
A WordPress.org FAQ published in 2018 gives the following example configuration for a large import: memory_limit = 300M, post_max_size = 200M, upload_max_filesize = 100M, and max_execution_time = 600. These are illustrative values, not universal requirements. The correct setting depends on the XML size, record count, active plugins, server resources, and hosting policy.

If you do not control PHP settings, ask your host for a temporary increase or use WordPress hosting with adjustable PHP limits. Request the change for the web runtime that serves the site, and ask whether a separate web-server timeout also applies. Do not set values beyond the host’s available memory or policy without confirmation.
Split a large XML when limits cannot be raised
The official WordPress Importer documentation recommends splitting a very large XML export when it would exhaust PHP memory and the host cannot raise the limit. Import the smaller files one at a time rather than repeatedly submitting the original.
- Keep an untouched copy of the original WXR export.
- Use a WXR-aware splitter or obtain multiple exports from the source site. The resulting files must remain valid XML documents with the required WordPress structure.
- Import the first file and wait for completion.
- Inspect the destination for the expected posts, terms, users, and attachments before continuing.
- Import the next file, recording which range or content it contains.
- Stop if a particular part fails; diagnose that smaller set instead of rerunning every part.
Splitting reduces the memory required for one request, but it does not repair malformed XML, missing plugins, unreachable media, or an invalid theme-specific file. It also does not eliminate the need to check for duplicates between overlapping parts.

Handle media as a separate import stage
Posts can import correctly while images, PDFs, and other attachments fail because the importer must make outbound requests to the URLs stored in the WXR. On the import screen, Download and import file attachments instructs WordPress to fetch those files; it cannot fetch a URL that is private, gone, blocked, or inaccessible from the destination server.
Media failure checklist
- Open several attachment URLs from a normal browser and verify that they return the expected files rather than redirects to a login page.
- Check whether the source site still has valid DNS, HTTPS certificates, and publicly accessible paths.
- Ask the host whether outbound HTTP/HTTPS requests, DNS resolution, or firewall rules block the destination server.
- Review execution time and server logs if the importer stops while downloading many files.
- Check disk space and the destination uploads directory before attempting another attachment-heavy run.
The available WordPress documentation supports treating attachment downloads as a separate step and checking resource limits, but there is no single media fix that works for every host. If the source URLs are permanently unavailable, the posts may be recoverable while the media must be restored from another copy.
Diagnose a WXRImporter.php 500 error
A 500 status identifies a server-side failure, not its cause. The filename in the message tells you which importer code was running, but it does not prove that the importer itself is defective.
Capture the evidence
- Copy the complete error text, including the PHP class, line number, and stack trace.
- Note the last item, post ID, attachment URL, or taxonomy entry shown before the failure.
- Check the PHP and web-server error logs for the same timestamp.
- Record active theme and plugins, PHP version, XML file size, and whether attachment downloading was selected.
- Retry only after reviewing what the first attempt created.
Use the evidence to branch the diagnosis:

WordPress’s Advanced Administration Handbook documents the example fatal text “Allowed memory size of 8388608 bytes exhausted.” Treat that number as the amount available in that particular error, not as a recommended setting for your site.
Recover safely from a partial import
A failed request may have committed some records before stopping. Before retrying, inspect the dashboard and database through your normal maintenance tools for newly created users, posts, pages, terms, comments, media, and custom post types.
- Compare the destination’s newest records with the source export or the expected demo inventory.
- Remove clearly unwanted partial records only after confirming that they were created by the failed run.
- If the site already contains useful imported content, account for it and avoid deleting it merely to make the retry look clean.
- Use a backup or staging copy when possible so you can restore a known state rather than repeatedly importing into production.
- When retrying, change one variable at a time: dependency activation, PHP limits, a smaller XML part, or attachment downloading.
Blindly rerunning the same WXR can duplicate posts, terms, and attachments. A clean import requires both a corrected cause and a destination whose existing records are understood.

A reliable recovery sequence
Use this order when the cause is unclear: preserve the original XML; identify the exact failure stage; confirm the file is WXR; activate the official WordPress Importer; load the required theme and plugins; verify active PHP limits and their ordering; split the file if limits cannot be raised; import with attachment downloading only when source URLs are reachable; and inspect for partial records before every retry. This sequence isolates upload, parsing, content creation, and media retrieval instead of treating “demo XML failed” as one undifferentiated problem.
