If your marketplace sales report does not match your GST returns, reconcile the underlying orders and documents before changing a filed figure. Compare the same transactions and tax period across marketplace reports, invoices and credit or debit notes, GSTR-1, GSTR-3B and—where relevant—the e-commerce operator’s GSTR-8 information. Differences often come from timing, returns, fees or reporting classifications rather than a missing sale.
Start with the records that describe the same sales
Do not compare a marketplace payout total directly with a GST return total: a payout may already reflect refunds, marketplace fees, tax on fees or other deductions. Build the reconciliation from the transactions and supporting documents, then compare period totals.

- Marketplace records: export order and transaction details, including completed, cancelled and returned orders.
- Source documents and books: collect tax invoices, debit notes, credit notes and the corresponding accounting entries.
- Settlement and fee records: separate gross sale value, refunds or returns, marketplace charges, tax on charges and net remittance.
- Filed returns: compare GSTR-1 records and summary with GSTR-3B outward tax liability for the same period.
- Operator reporting: where applicable, inspect GSTR-8 data or the portal-reported supply details available to you.
Match transactions using a stable order or invoice reference. Record invoice date, customer GSTIN or status where relevant, delivery state and place of supply, taxable value, rate and tax amount. Keep distinct fields for transaction date, reporting period, credit-note or return date, and settlement date: these dates can fall in different periods and explain apparent omissions or duplicates.

The CBIC-hosted CGST Rules compilation dated 23 April 2019 describes matching e-commerce operator GSTR-8 details against supplier GSTR-1 using place of supply and net taxable value. CBIC’s Sectoral FAQs state that returned supplies reduce the net value of taxable supplies used for the operator’s TCS calculation. These are reasons to check period cut-offs, returns and state classifications carefully; verify later amendments and current portal practice before relying on procedural details.

Investigate the mismatch in a consistent order
1. Check period cut-off and settlement timing
Compare the supply or invoice period with the marketplace report period, the return period and the settlement date. A later payout does not by itself mean the sale belongs in a later tax period. Trace the transaction to its source document and the period in which it was reported.
2. Review cancellations, refunds and returns
Check whether cancelled orders were incorrectly counted as completed sales and whether returned goods have the appropriate supporting records and return treatment. Marketplace refund totals and GST credit-note reporting are not necessarily identical, so match the underlying orders and documents rather than treating the refund figure as a direct return adjustment.
3. Match credit and debit notes to the original sale
Verify each note’s number, date, value and tax treatment, and identify the sale it relates to. A note for an earlier transaction may appear in a different period; check whether it was included in the correct return period and whether it has been duplicated or omitted.

4. Find duplicates and missing transactions
Compare order IDs, invoice numbers and source exports. Look for duplicate imports, cancelled invoices still included in totals, missed orders and manual journal entries that do not have a matching marketplace transaction or document.
5. Validate tax classification and place of supply
Check customer registration status, supply category, applicable rate and whether the transaction is taxable, exempt or otherwise treated differently. Confirm the destination and place-of-supply fields against the return classification. Do not infer tax treatment from a marketplace label; the result depends on the transaction’s facts and applicable rules.
6. Separate gross sales from net payout
Reconcile the sale, refunds, marketplace fees, tax on fees and payout as separate amounts. Do not reduce reported sales simply because commissions, shipping charges or other deductions made the cash remittance smaller. The accounting split is a reconciliation check; the tax treatment of a particular charge depends on its documentation and facts.

7. Compare operator reporting where applicable
Inspect the GSTR-8 or portal-reported information available to you and compare it with the supplier records, especially place of supply and net taxable value. GSTN’s functionalities compilation for April 2023 to March 2024 describes a portal view of supplies reported by e-commerce operators, including amendments, for the relevant unregistered-supplier functionality. Check which view applies to your registration and period.

Choose a correction route only after checking filing status
First establish which forms have been filed and whether the discrepancy is in the underlying sales statement, the tax-liability return or operator reporting. Do not add a duplicate sale merely to make a portal total match; trace the difference to an invoice, note or other source document.
GSTR-1 is filed, but GSTR-3B for that period is not
The GST Portal’s GSTR-1 guide describes GSTR-1A as an optional same-period facility to add missed records or amend GSTR-1 records before filing that period’s GSTR-3B; the changes are auto-populated to GSTR-3B. Confirm that the facility is currently available and that the taxpayer and period are eligible before using it.

An earlier GSTR-1 filing needs correction
The portal guide describes amendment tables and filing-period-specific functionality. CBIC’s Sectoral FAQs also say mistakes may be corrected through an amendment table in a subsequent return, subject to a time limit. The FAQ gives a cutoff tied to the return for September following the financial year or filing of the annual return, whichever is earlier. Because provisions and portal facilities can change, verify the current statutory cutoff for the financial year in question rather than relying on that FAQ alone.
GSTR-3B liability differs
Reconcile the corrected outward-supply figures and tax liability before deciding whether a later return, payment, amendment or other action is required. The available guidance does not establish one correction route for every GSTR-3B mismatch. If tax may have been short-paid, a notice has arrived or the relevant periods are closed, have a qualified GST professional review the actual returns and records.
GSTR-8 differs from supplier GSTR-1
Compare at least place of supply and net taxable value, then identify whether the supplier’s or operator’s reported information is wrong. The cited 2019 rules compilation describes discrepancy communication and correction by either party, as well as possible liability consequences if a discrepancy is not corrected. Check later amendments and current portal practice before relying on those procedural details.

You receive DRC-01C
GSTN describes DRC-01C as a functionality for a specific difference between input tax credit available in GSTR-2B and credit claimed in GSTR-3B. It is not a general notice for marketplace outward-sales mismatches. Review the intimation and respond through the process stated on the portal; keep the ITC issue separate from this sales reconciliation.

A spreadsheet or accounting report can make the investigation reviewable. Use one row per invoice, order or credit/debit note, with columns for:
- Marketplace and order, invoice or note reference.
- Document date, supply period and settlement date.
- Customer GSTIN or status, where applicable.
- Delivery state and place of supply.
- Gross value, taxable value, rate, tax components and document total.
- Refund, return or cancellation status and supporting evidence.
- Marketplace fee and tax on the fee, recorded separately.
- GSTR-1 table or record and GSTR-3B period or category.
- GSTR-8 operator value, where applicable.
- Variance, reason, proposed correction, reviewer and filing reference.
Retain raw marketplace exports, filed-return acknowledgments, portal summaries, invoices, credit notes and operator statements. Add a dated note explaining each adjustment. If report formats change, preserve the export definitions or field mapping used for the reconciliation so a reviewer can understand how the figures were assembled.

Seek a qualified Indian GST professional’s review when the discrepancy could involve short-paid tax, an uncertain classification, a notice, a closed tax period or a material difference between supplier and operator reporting. The correct treatment depends on the transactions, documents, filing status and current rules; a reconciliation total alone cannot determine the filing or payment action.
