If a pay stub looks wrong, identify the exact line and pay period, compare it with your own time and pay records, and send payroll or HR a written correction request. Keep the original statement and supporting records. If the problem is unpaid wages or overtime, a wrong W-2, or an inaccurate Social Security earnings record, use the separate route for that issue; each is handled differently.
First, identify what is wrong
Compare the statement with the pay period it covers and your own records. A smaller deposit does not necessarily mean your gross wages are wrong: deductions or tax withholding may account for the difference. Check each line before deciding what needs correction.

- Hours: Compare the listed hours with time-clock records, schedules, and shifts worked. Look for missed or duplicated shifts, and note whether the discrepancy affects overtime.
- Rate or overtime: Check the rate that applied during that pay period and the hours in the employer’s workweek. Overtime rules can depend on worker status and state law; a weekend shift or premium is not automatically federal overtime.
- Gross pay: Recalculate straight-time earnings and overtime or other listed earnings separately.
- Deduction or withholding: Ask what the item is for and how the amount was calculated. Whether a deduction is allowed can depend on the type of deduction and applicable law; federal rules restrict deductions that reduce covered workers’ pay below required minimum wage or overtime.
- Personal or tax information: Ask payroll to correct the employee record. If the error is on an issued W-2, follow the W-2 correction process below.
- Net pay: Compare gross pay, every deduction and withholding, and the amount deposited or paid by check. A net-pay difference alone does not identify which entry is wrong.
For covered, nonexempt workers, federal FLSA recordkeeping includes information such as hours worked, wage basis and regular rate, straight-time and overtime earnings, additions and deductions, total wages, payment date, and pay period. These are employer recordkeeping requirements, not a single federally prescribed pay-stub design. State requirements may specify additional statement information. See the U.S. Department of Labor’s Fact Sheet #21 and its recordkeeping overview.

Document the discrepancy and contact payroll
- Keep the evidence. Save the original pay stub, time-clock records or schedules, pay-rate notices, relevant deduction approvals, messages, and the deposit or check record. Do not alter the original statement. The Department of Labor recommends workers keep their own records of employers and hours; its recordkeeping guidance explains employer record obligations as well.
- Write to payroll or HR. Give the pay date and pay period, point to the specific entry, and state what you believe the correct hours or amount should be. Attach only relevant records. Ask for the calculation behind the entry and a corrected statement. If wages are missing, ask when the amount owed will be paid.
- Keep the exchange. Save your request and the employer’s response. There is no universal federal employee form or ordinary pay-stub correction deadline established by the sources cited here.
- Escalate internally if needed. If the first contact does not resolve it, ask for the issue to be reviewed by a payroll administrator or supervisor.
Federal law requires covered employers to keep accurate wage and hour records, but it does not set one nationwide pay-stub layout or guarantee a replacement statement in a particular format. State pay-statement rules differ, so check the labor agency for the state where you worked before relying on a state deadline or remedy.

Choose the right agency if the problem remains unresolved
The right next step depends on what is wrong. The Department of Labor’s Wage and Hour Division handles federal Fair Labor Standards Act concerns such as covered minimum-wage and overtime violations. Its worker discussions and complaints are free and confidential, with exceptions when disclosure is needed to pursue an allegation or required by a court. The FLSA does not provide a collection process for every promised wage or commission beyond its federal minimum-wage and overtime protections; state laws may address other claims. See the Department’s wage and hour recordkeeping information.
| Problem | Start with | If it remains unresolved |
|---|---|---|
| Current pay stub has incorrect hours, rate, deduction, or amount | Employer payroll or HR; compare the pay period with your own time and pay records | State labor agency for state procedures; U.S. Department of Labor Wage and Hour Division for federal FLSA issues |
| Annual W-2 has incorrect wages or tax information | Employer or payer; request a corrected W-2 | Follow the IRS process, including Form 4852 only if the current instructions say it is appropriate |
| Social Security earnings record appears inaccurate | Check your W-2s and pay stubs | Request a correction from the Social Security Administration |
If the wrong information is on your W-2
A pay stub is not a W-2, and Form W-2c is not a form for correcting an ordinary pay stub. If the annual W-2 is wrong, ask the employer to issue a corrected W-2. If it has not been corrected by the end of February after you requested it, IRS guidance says you can contact the IRS. The IRS may ask the employer to furnish the corrected form within ten days after its intervention. These are W-2 steps, not deadlines for ordinary pay-stub errors. Consult the IRS pages on a missing or incorrect W-2 and W-2 questions.

If filing time arrives before the employer corrects the form, follow the IRS’s current instructions on whether Form 4852 is appropriate. The IRS’s 2026 General Instructions for Forms W-2 and W-3 tell employers to file Forms W-2c and W-3c as soon as possible after discovering an error; those employer forms do not correct a pay stub.

How long to keep your records
The Department of Labor’s Fact Sheet #21 says FLSA payroll records generally must be kept for at least three years, while records used to calculate wages, such as time cards and wage-rate tables, generally must be kept for two years. Those are employer recordkeeping periods; keeping your own supporting documents gives you a basis for checking a discrepancy and explaining it to payroll.
