It normally does not mean your Google storage is full. Sign in to the source provider, back up important mail, reduce the POP-visible mailbox by deleting or moving older messages, then retry the fetch. Google documents this diagnosis and recovery sequence at its troubleshooting guide.
This workaround is temporary for existing users: Google is retiring web-based Check mail from other accounts. New users lost support after the first quarter of 2026, and existing configurations are scheduled to work only until January 2027. Automatic forwarding, the Gmail mobile app with IMAP, or a one-time import are the supported alternatives.
What the error means
Gmail’s web setting Check mail from other accounts uses POP to download messages from an ISP, domain host, Outlook, Yahoo, or another Gmail account. The error indicates that the source server is presenting a message set that Gmail cannot import or process. A mailbox that has been left on the server for years is a common trigger, particularly when the Gmail setting leaves retrieved copies at the source.
A few newly arrived messages can still produce the warning if Gmail must first examine a much larger POP message list. “Fetch new mail only” is not a guaranteed escape from an oversized or incorrectly indexed source mailbox; users have reported the same failure in that situation (community example).

This message is different from authentication, connection, and POP-bandwidth errors. It is also different from a full Google Account quota.
Quickest safe fix
- Open Gmail on a computer and go to Settings → See all settings → Accounts and Import (some accounts show Accounts instead).
- Under Check mail from other accounts, identify the external address reporting the error.
- Sign in to that provider’s webmail, not merely to Gmail.
- Export or download anything important before bulk cleanup.
- Delete old source messages, or move them out of the POP-visible Inbox if the provider’s implementation supports that.
- Return to Gmail and use the available check or refresh control. Processing can take time; Google advises checking again if mail has not appeared after two hours during setup or troubleshooting (Google’s instructions).
Do not begin by deleting messages in Gmail. Those copies are usually not the mailbox Gmail is trying to read.
Detailed recovery procedure
1. Identify the source mailbox
In Gmail, open Settings, choose See all settings, then open Accounts and Import or Accounts. Find the failing address under Check mail from other accounts. If several addresses are listed, work only on the one associated with the error.
2. Inspect what the provider exposes through POP
In the source provider’s webmail, check the Inbox count, archived and moved mail, Trash, spam, and any setting describing POP access. Some hosts expose only Inbox messages; others expose multiple folders. Ask the host whether mailbox size, folder count, POP indexing, or administrator policies limit retrieval. Employer- or domain-hosted accounts may require the administrator’s help.

- Export or download messages needed for records, legal retention, a CRM, or another mail client.
- Move mail into a provider-supported archive folder when you have confirmed that archived messages remain accessible.
- Check the provider’s Trash recovery period before relying on deletion as a backup.
Retention and folder behavior are provider-specific. A desktop mail client can help archive or remove source mail after a backup, but it is an alternate management method, not a guaranteed fix.

4. Reduce the POP-visible set
Google recommends deleting messages from the other inbox or moving some into folders (official guidance). Deletion is usually fastest but can be irreversible or disrupt another application. Moving preserves mail, yet some providers continue exposing moved folders through POP, so test with a small batch first.
5. Retry and search broadly
Use Gmail’s check-mail control again and allow time for batches to arrive. If messages seem missing, search Gmail with in:anywhere; this includes mail outside the usual Inbox and category views. For example, in:anywhere from:[email protected] or in:anywhere older:2025/01/01 can narrow the results.
6. Verify server settings
For a Gmail account being imported into another Gmail account, Google lists these values:

For non-Gmail providers, use the host’s documented server name. Google identifies ports 110 and 995 as common choices, with 995 normally used for SSL (setup details). “Leave a copy of retrieved message on the server” is normally unchecked for a one-way migration, but changing it affects future retention and should match your backup plan.
7. Re-add the account only afterward
If cleanup and configuration checks do not help, Google’s secondary step is to remove the address from Check mail from other accounts and add it again. Do this cautiously: confirm what Gmail has already copied and whether the source account marks messages as downloaded, so you do not lose track of mail or create duplicate imports.

Is Gmail storage full?
Usually, no. The relevant mailbox is the external account Gmail is fetching from. You can have substantial Google storage available and still receive this error when the source POP mailbox is too large. Freeing Gmail, Drive, or Photos space addresses a quota warning, not normally this POP-processing failure.

How many messages are too many?
Google does not publish a dependable universal count for this error. Community reports are inconsistent: one report describes success after reducing a mailbox to roughly 88,000 messages, while other users still reported failures with tens of thousands remaining (example one; example two). These are anecdotes, not a Gmail limit.

The practical threshold can vary with the provider, folders exposed, message state, POP implementation, and server indexing. Do not delete an arbitrary number because an online article promises that figure will work.
If deleting messages is not acceptable
- Move older mail: Use a provider-supported archive folder and verify that POP no longer exposes it.
- Archive with a desktop client: Connect directly to the source account, create a verified local or cloud backup, then remove or relocate old mail.
- Contact the host: Ask about POP folder exposure, mailbox/index limits, and administrator controls.
- Keep the source account authoritative: If another client, CRM, or business process depends on those messages, coordinate retention before changing anything.
Alternatives as Gmail retires web POP fetching
Google’s current notice says existing web POP-fetching configurations continue until January 2027; new users are no longer supported after the first quarter of 2026 (retirement announcement).
Automatic forwarding
Choose forwarding when you want new messages in Gmail but can leave historical mail at the original provider. Enable and verify forwarding in the source provider; menus, filtering, sender rewriting, and spam handling differ by host. Forwarding does not import the historical backlog.

Gmail mobile app with IMAP
The Gmail app can add many third-party accounts using standard IMAP. IMAP synchronizes the external mailbox for reading and sending on the device; it does not necessarily merge every message into Gmail’s web Inbox. Google identifies this as a continuing option (Google’s notice).
One-time import
Use Gmail’s import option when you need historical messages copied once and do not need ongoing synchronization. Google says one-time imports remain available, but they do not continuously sync afterward.
POP versus IMAP
POP is download-oriented and can leave the source server carrying a large backlog. IMAP keeps folders synchronized across compatible clients and is generally better for multi-device access, although it is an access method rather than a web-Inbox migration (Google’s POP/IMAP explanation).
Frequently Asked Questions
Will deleting Gmail messages fix the error?
Usually not. Cleanup must reduce the message set on the external POP server; deleting Gmail copies mainly affects Google storage.
Can moving mail always solve the problem?
No. It works only when the source provider’s POP service stops exposing the moved folder or messages. Confirm the provider’s behavior with a small test.
Why did the error appear after years of working?
A growing source mailbox, changed folder exposure, or provider-side indexing can make a previously workable POP setup exceed what Gmail can process.
What happens to mail Gmail already downloaded?
It normally remains in Gmail. Before removing and re-adding an account, search with in:anywhere and verify what has already arrived.
