On macOS 13 or later, open Apple menu > System Settings > Privacy & Security > Files & Folders, find the app, and enable the relevant location. Then test the same action again. If the app still fails, check whether it is trying to access another location or is blocked by file permissions or an administrator policy.
1. Identify what the app cannot do
“Can’t access my files” can mean different things: the app may fail to open or import a file, index a folder, or save its output. Note the app’s name and version, your macOS version, the exact file or folder location, the action that fails, and any error message. These details help distinguish a macOS privacy setting from an app-specific or file-specific problem.

2. Allow access to the relevant location
Apple’s security model requires consent before apps access certain protected locations. Its guide says this applies in macOS 10.15 or later and identifies Desktop, Documents, Downloads, iCloud Drive, network volumes, and removable volumes among the protected locations. macOS 13 or later
- Open Apple menu > System Settings > Privacy & Security > Files & Folders.
- Find the AI app in the list.
- Turn on access for the listed location it needs, such as Documents or Downloads.
- Try the same action in the app again.
Apple’s user guide documents this path in Change Privacy & Security settings on Mac. The available controls can vary with the macOS release and the locations the app requests.

macOS 12 or earlier
Apple’s security guide documents the older path as System Preferences > Security & Privacy > Privacy. Use the settings path for your macOS version rather than following Ventura-era navigation on an older Mac.
3. Understand which permission applies

Start with the narrow Files & Folders permission if it matches the location the app needs. Full Disk Access is not simply another way to enable one folder: it is substantially broader, so do not enable it by default.

4. Check file permissions and management controls
A privacy toggle may not be the cause. Apple notes that you may need to change permissions if you cannot access a document, folder, or app. Read Change permissions for files, folders, or disks on Mac and check the particular item you are trying to use. If this is a work or school Mac, ask the administrator or IT team whether a device-management policy limits access. Network shares can also have their own access controls.
5. If the app still cannot see the folder
- Confirm that you enabled access for the location the app is actually using; the failed file may be on a network or removable volume rather than in Documents.
- Check that the file itself opens for your user and that the app supports the file type and the action you are attempting.
- If the device is organization-managed, ask IT whether a policy applies.
- Contact the app developer with the app and macOS versions, exact file location, action and error text, and the permissions you checked.
Apple’s general guidance does not establish a universal reset, Terminal command, or guaranteed restart procedure for an unidentified AI app. App-specific bugs, cloud-sync state, supported formats, and local configuration may require the developer’s help.
